Developing a Computerized Accounting Information
System
  • Using a mirror image of the books for the
    database structure generates anomalies
  • Accounting Transactions reflect business
    transactions
  • Business transactions are stored in separate data
    objects
  • Redundancy and possible inconsistency

9
Developing a Computerized Accounting Information
System
  • Mirror the existing manual system

Bookkeeping structure
Redundant Database structure
10
Developing a Computerized Accounting Information
System
  • Using an appropriate database structure
    eliminates some possible anomalies
  • Accounting transactions derived from business
transactions should not be physically stored
    they should be derived
  • Accounting transactions derived from business
transactions should be found on database views
(stored queries) of the business systems

12
Developing a Computerized Accounting Information
System
  • Reengineer Accounting
  • An established profession whose principles are
    based on tradition and consistency
  • A profession made up of individuals not usually
    inclined to change
  • A powerful charter that regulates the profession
  • Accounting will progress through evolution not
    revolution

13
Developing a Computerized Accounting Information
System
  • Mirror the existing manual system
  • Back to mirroring the manual system in both the
    background and the foreground
  • Leave the foreground (User Interface) but
reengineer the background (DB structure and
    algorithms)

14
Developing a Computerized Accounting Information
System
  • Technologies Trends
  • Develop in-house
  • Software packages
  • Large ERP system that includes best practices
  • Flexible packages that adapts to current
    organizational infrastructure
  • Adapt a generic program from and by a consulting
    company
  • Outsource--Hire the service over the web
  • Java technology
  • HTML technology

15
Developing a Computerized Accounting Information
System-Summary
  • We Should not design the DB structure as mirror
    images of the accounting books
  • We cannot change the way that accountants view
    accounting
  • Except for accounting firms, Accounting
Information Systems (AIS) are not part of the
core of the business of most companies
  • If your AIS is not a part of your core business
treat it as a service/necessity and not as an
    asset

16
The SIM model
  • SIM is a database model developed by Cautus
Networks Corp. and used by SecureAccounting
  • The SIM model eliminates the database redundancy
normaly inheritated from the manual system
  • SecureAccounting creates a user interface that
use views of the SIM model to mirror the manual
    system

17
Advantages of an AIS service through the web
  • No investment on AIS as an asset
  • Concentrate in your core competencies
  • Worldwide access (Internet)
  • Always updated
  • Professional data backup
  • Professional data security
