Logon by clicking the VistA Imaging Capture icon
on your desktop or by clicking Start Programs
VistA Imaging Programs and VistA Imaging Capture.

Or, you can open CPRS select a patient and
click Tools, VistA Imaging Capture.

After entering a valid VistA Access and Verify
code, the Image Capture window will be
displayed. This is an example of a generic
workstation configuration. It is suggested that
Configuration Buttons be created for the
workstation, which will ensure accuracy,
consistency, and efficiency in the Image import
process.

To create a Configuration button for Imported
images select Configurations, Configuration
Settings, All Settings. More information about
Configuration buttons is available in the VistA
Imaging Workstation Configuration document.

Make the appropriate selections in the
Workstation Configuration Window for Source,
Format, Mode, Association, and Images Saved as.
Select the Save Settings As option to give the
Configuration button a name.

If the Batch box is checked before changing the
Images Saved as to Study (Group) a
confirmation message will be displayed.

It is suggested that the options shown here be
selected for Batch Imports.

Import Directory options can be specified for the
workstation by clicking Tools and Import Options.
If the Source has been set to Import, the Import
Directory Options can be selected. There are
options to Remove a directory from the list and
to set a Default Directory.

The Add Directory button will allow specific file
folders to be added to the list. Click Add for
each directory you wish to place in the Import
Directory List and click Close when you have
finished making your selections. There is also an
option to automatically add selected directories
to the list if that box is checked.

To begin the Import process select a
Configuration button if applicable, or click
Source and select Import from the choices. Click
Saving and select either Single Image or Study
(Group).

Click the Select Patient button and follow the
instructions at the top of the Patient Lookup
window.

If the Select Progress Note button is clicked
before the Select Patient button, the Patient
Lookup window will display. A patient must be
selected before the process can continue.

  • There are three ways to attach imported images,
    such as digital photos, to a Progress Note
  • Select an existing Progress Note
  • Create an Addendum
  • Create a new Progress Note from within VistA
    Imaging.

To import and attach an image to an existing
note, click the Select Note tab, choose a
Progress Note from the list, and click OK.

To make an Addendum, select a note from the list
and check the Make Addendum box. The Addendum
Status options will be displayed next to the text
entry area. The Electronically Filed option
requires the MAG NOTE E-FILE security key. The
creation of an Addendum should be done in
accordance with the local HIMS policy.

To create a Progress Note from within VistA
Imaging click the Create New Note tab.

Select the note title from the list and select
the New Note Status. The option Electronically
Filed for both New Notes and Addendums should
only be used within the local HIMS policies.

few characters of the name of the location as
shown here.

After selecting a note, creating an addendum, or
creating a new note, the Capture window will be
displayed again. There is a new field called
Doc/Image Date. This field and the Note Date
field can be edited if the dates are not the
same.

When selecting the Note Date or Doc/Image Date
you can type a date in the field or click the
button to display a calendar and select the date.
Choosing a time is not required.

Time Saving Tips
To change the month click the name of the month
instead of the left and right arrows.
To change the year click the year and use the up
and down arrows.

Each of the Index fields need to be filled in as
seen in this example.

The Hold Value option is used to retain the
settings of the Index Fields. To add a Hold
Value, right-click the name of an Index Field
and left-click the push-pin, or click the
Configurations menu option and Select Hold
Values. Place a check-mark next to the fields to
have a Hold Value.

The Long Description text box can be expanded or
collapsed in the Capture window by clicking the
blue double arrow.

Directly above the Import Directory List is the
file path to the currently selected directory, a
blue double arrow icon, and a file folder
icon. The blue double arrow icon will expand or
collapse the Import Directory List. The file
folder icon will display the Files to Import
window, as seen on the next slide.

After the patient, progress note, and index
fields have been populated, images can be
selected to import. In this example a single
image has been selected in the Import List.

Image manipulation tools are located above the
Capture window and can also be accessed by
clicking the Image menu option, or by
right-clicking the image in the Capture window.

After verifying the quality of the image, click
the capture button and a confirmation message
will display. If the user clicks OK, the image
will be saved to the patients record. If the
user selects Cancel the capture process will be
aborted.

In this example there are entries in the Import
List. The Batch check-box has been selected,
which displays the Batch Capture List.

Images in the Import List can be selected
individually or in multiples. The single and
double blue arrows are used to move images
between the Batch Capture List and the Import
List.

The capture window is shown here after moving
three images to the Batch Capture List. If no
image is selected in the Batch Capture List, the
system will automatically select the first image
when saving images to the patients record. If a
specific image should be saved first, select the
image of interest and move it to the top of the
Batch Capture List. The Import List and the Batch
Capture List enable drag-and-drop to any
location in either list. Multiple images can be
selected for dragging to a new location.

Click the Capture button and a confirmation
message will display.
Click OK on the confirmation message and the
Batch Capture Image Description window will
appear. Enter descriptive text for each image
captured. The progress note title is the default
text, as seen here.

After the Batch Capture Image Descriptions have
been completed, click the Study Complete button.
The Study Group is Complete window will display.
Entry of additional information is optional.
Click OK to finish the process.

There are several new icons displayed in the
Capture window. Click Options, Icon/Shortcut Key
Legend, and select the appropriate tab to view
the icons and their meanings.

If Vista Imaging Capture is started from the CPRS
Tools option and there is an image displayed in
the Capture window, and then a patient change is
made in CPRS, VistA Imaging Capture will
automatically change patients to match. A
warning panel will be displayed that overlays the
Image OK button as seen here.

In order to comply with Section 508, which is a
Federal law that requires Government documents be
accessible to individuals with disabilities, the
Menu Options now have shortcut key combinations.

The Contents option will redirect the user to an
on-line Help program.
For additional information select the Help menu.

Users may also select Use Internet Explorer for
help to view the HELP files. Click Contents
after selecting the Internet Explorer option.
