20 Date Calculation Methods
  • Sections Meeting for the Same Amount of Time Each
    Session
  • Use cheat sheet that outlines which session the
    20 date should be or multiply .20 X the total
    number of sessions
  • Using a calendar count each session up to the 20
    session to find the exact date
  • Calculated worksheet is not necessary for this
    simple calculation method.

20 Date Calculation Methods
  • Shared (Co-Listed) Sections
  • Breaks are usually less than 15 minutes making
    the hours per session and total hours harder to
    determine.
  • Minute calculations work better for this
    situation and give an FTE edge at times.
  • If the amount of instructional time is not the
    same for each session the 20 date should be
    calculated based on the total hours/minutes.
  • Cheat sheet or usual .20 X number of sessions
    cannot be used in these situations.
  • An automated worksheet example will be shown.

  • Combination On-Line/Classroom Sections
  • Division 55 uses a method jointly designed by the
    director and operations to fit their needs.
  • All other divisions should contact operations for
    input before adopting a calculation method.
  • Automated worksheet cannot be used for these
    situations.

20 Date Calculation Methods
  • On Line Sections
  • Entire section is on-line
  • Count the total number of on-line days including
    weekends and holidays
  • Example July 1, 2008 to July 31, 2008 31 days
  • 31 days X .20 6.2 or the 7th session since we
    always round up to the next session to determine
    the 20 date.
  • July 7, 2008 is the 20 date.
  • Calculated worksheet cannot be used for on-line
    sections.

Shared (Co-Listed) Sections
  • Assign sections to shared courses based on the
    credit CRN effective 200970.
  • The last 3 numbers of the credit CRN should be
    assigned to the CAF as the section for our
    course.
  • Example credit CRN is 22209. The non-credit
    course is HOU150 and the section would be 209.
  • HOU150-209 would be the course number on the CAF
    and in Banner.
  • 200970 Shared Course Sections not assigned as
    noted above should be revised with the CCRF.

  • Details the multi days/times/dates
  • Automatically details the multi teaching/MHEC hr.
    calculations
  • Automatically details the CEU hr. calculation
  • Indicates 20 point for the CAF Banner in
    hours/minutes
  • Ideal for shared (co-listed) sections
  • Ideal for sections that have days/dates with
    different times
  • Automated worksheet cannot be used for on-line or
    combination on-line/classroom sections.

  • Division 59 Denise Bellamy put together a CAF
    process for program areas.
  • Contract CAF Tasks
  • Open Enrollment CAF Tasks
  • Both documents incorporate steps from the
    initiation of a CAF through the submission of the
    final roster
  • Will be posted on the Administrative Operations
    Web Site for reference

Course Section Review Report
  • Report for Proofing CAF/Banner Information
  • Focus report was compiled for proofing
  • All CAF fields data entered into Banner/ConedSup
    appear on the report
  • Information pulled from Banner to compare to CAF
  • Program staff to test proofing with the report
  • Need feedback based on current report
  • Work order will be prepared for any revisions
    necessary
  • Report can be downloaded in excel format
  • Sort/filter feature in Excel 2007 allows the
    information to be manipulated in a variety of
    ways
  • Report can be used for more than just proofing

CCRF ProcessContacting Students
  • When Program Area Contacts Students
  • Print the ConEd Sup roster and at the top write
    CANCELLED/RESCHEDULED ON CRN ______.
  • Call the students using the phone number from the
    Coned Sup roster.
  • Write Drop/Refund, Drop/Add or other phone
    contact results next to each name on the ConedSup
    roster.
  • Fax the ConedSup roster to Mildred Green in
    Catonsville, V-bldg. at 410-455-4952.
  • There are times that students show up for class
    because they did not receive the cancellation
    message.
  • Call Center staff may need to reference note
    details

  • Out of Term Due to Incorrect Freeze Date
  • 20 date drives the term of the section
  • Example of out of term error
  • 20 Date 6/23/08 using the 200970 term
  • Results in an Out of Term error
  • Cross Listing Course Numbers
  • Sections to be cross listed must part of the same
    course number
  • Cross list sections must involve the same class
    of students and instructor

Status Report Updates
  • Inactive Course Numbers
  • Approximately 48 sections are pending the
    reschedule process
  • 7 course numbers are pending the assignment of a
    new number
  • Coordinator needs to submit paperwork
  • 13 sections completed the reschedule process
  • Verify the course number status in Banner SCACRSE
  • ConedSup course is having technical difficulty
    and does not always report the status correctly
  • Kathleen de Wit sent out a notice some time ago
    regarding this problem

SFRSLST Training
  • Banner Class List Report Training
  • Approximately 20 staff completed training and are
    currently using the report
  • Additional sessions will be offered at the end of
    the April or beginning of May
  • Staff can always request individual training
  • Contact Jo Ann Keener or Joyce Kenney
  • Report allows all students in a section to print
    out on one page See example
