1
  exploreneT FILE BASED MAIL PROCESSING
SYSTEM FOR DOCUMENT INTEGRITY
MANAGEMENT (April 2002)
2
WHAT IS FILE BASED PROCESSING
  • The ability to process complex, multi-page
document mail packs using a Matching File created
at the time of the original Laser Print File.
  • The Matching File becomes a master control
file for the inserting system, providing all
processing instructions and combining end to
end document integrity, tracking and reporting.
  • The company network provides all file
transferring and Real Time job processing status
    viewable on network terminals.
  • As the job processes several reporting files
are automatically compiled and provide complete
auditable reports at the end of each job
  • The exploreneT integrity system runs in the
    background and requires little additional
    operator involvement in processing intelligent
    mailing applications.

3
inTelmail exploreneT BACKGROUND
  • The use of barcode document identification
and the inTelmail document tracking has for many
years provided the ultimate in document
    integrity.
  •   The requirement for system that would
provide simple job reporting, elimination of
    manual counting, documents reprinting,
reconciliation of mail-packs and the need for
network access to REAL TIME production
information led to the development of exploreneT.
  • The exploreneT Integrity Database System was
developed to enable absolute document integrity,
piece by piece tracking, comprehensive mail
processing reporting and full network connection.

4
inTelmail exploreneT FEATURES
  • NOT A NETWORK DEPENDENT SYSTEM
  • A complete exploreneT local network can be
connected to the main Network through a simple
Production Console. Minimum use of the main
Network allows inTelmail systems to operate if
that Network is inoperable for any reason.
Automatic directory Restore function, for file
    restoration after network failure.
  • LOCAL OR GLOBAL HOLDING OF JOBS IN PROGRESS
  • Easy Job allocation to inserters, easy job hold
on individual inserter or Global Hold, allowing
job in progress transfers to any other exploreneT
    inserting system.

5
inTelmail exploreneT FEATURES
  • JOB FILE SPLITTING NO LONGER A COMPLEX FUNCTION
  • Automatic splitting of large Job Files across
    several exploreneT inserting systems, at
    supervisor level
  • SET-UP IS AUTOMATICALLY PERFORMED UNDER HEADER
    CONTROL
  • Header Update Control - controls all functions of
the system including OCR camera, inkjet address
printer, exit barcode reader, selections, postage
    meters, pack integrity, etc
  • MOUSE CLICK SIMPLICITY
  • Operator Simplicity - Windows operating system
provides the operator with an easy to use
    application for job opening, processing,
    reviewing and closing

6
inTelmail exploreneT FEATURES
  • REAL-TIME LATE CHANGES FOR DIVERTS AND ENCLOSURES
  • Late Changes - Allows Late Changes to Jobs in
processing diverting of document set, insert
selection changes, etc. These changes can take
place before running or during production, up to
500 records, updated every few seconds.
  • SIMPLE DATA PREPARATION
  • Data Preparation - The preparation of the control
Barcode and Matching File is accomplished simply
using standard Data Formatting tools (ie.
    PrintSoft etc)
  • ALL OPERATIONS CONTROLLED AND TRACKED BY ILCOM
  • Option Compatibility The use of exploreneT
Database processing does not prevent the use of
    other processing options including Inkjet
    Printing, Multi-Stream Matching.

7
inTelmail exploreneT FEATURES
  • IN PROCESS PRODUCTION STATUS ON ANY NETWORK
    TERMINAL
  • Real Time Processing - All jobs being processed
can be viewed on the Network. Production
    statistics updated automatically every second.
  •  SIMPLE MAKE GOOD
  • Make Good Rescanning - Diverted suspect documents
can be inspected and if found correct can be
rescanned and placed in the output mail run,
eliminating the need to reprint all suspect
    document packs.
  • AUTOMATIC END OF JOB REPORTING AND REPRINT FILE
    GENERATION
  • Detailed Reporting - Automatic output Reporting
and Document Re-Printing for completed Jobs.

8
inTelmail exploreneT FEATURES
  • PASSWORD PROTECTION FOR SYSTEM INTEGRITY
  • Level 1 2 Password Protection - Separate
Password protection for Supervisor alterations to
    system and System Set-up functions
  • EXTENSIVE DATA COLLECTION DURING PRODUCTION
  • Set-up, Breakdown, Event and Rest Modes provides
complete processing information, plus allows the
operator to enter comments on the job.
  • SIMPLE OPERATOR MONITORING OF SELECTED FUNCTIONS
  • Flashing Indicator Messages For Selected
Functions - OCR on/off line, Address Printer
on/off line, Exit Barcode Reader on/off line,
    Post meters on/off line, etc.

9
inTelmail exploreneT NETWORKING
  • The server (Production Console) acts as a gateway
and files repository only, as such it does not
require any high-end server specification in
order to complete its required tasks. The Network
Structure is a typical server configuration, with
    back-up facilities
  • Attached to the Production Console is a
Supervisor Terminal for job allocation, Job
    splitting across inserters, production-monitoring
etc. Depending on the recovery and Document
Re-Print methods to be used . A further Recovery
Terminal can be added to the Production Console
  • Absolute minimum use of main Network allows
inTelmail systems to operate if the network is
inoperable for any reason. Automatic directory
Restore function, for file restoration after
    network failure

10
inTelmail exploreneT NETWORKING
Individual mailing systems can be operated
independently of the network Jobs can continue to
be processed, regardless of the network
status Automatic updating of current Status when
network is again re-established All network paths
and directories are automatically restored
11
inTelmail exploreneT MAIL RUN FILE
  • MATCHING FILE HEADER RECORD - AUTOMATIC JOB SETUP
  • THE HEADER RECORD is used to specify the details
of the job and configure the feeders and
    inserters
  • Complete Job Details including Customer ID, Job
Stream Number, Starting Doc Number, Selectable
Insert Selection, Control of Function Flags etc
  • Insert Names, Description of Inserts, Quantities
    to be used etc
  • Option Selection for selecting and controlling
    options including Inkjet etc

12
inTelmail exploreneT MAIL RUN FILE
  • MATCHING FILE DOCUMENT RECORDS
  • THE DOCUMENT RECORD has record and group specific
instructions such as station selects, number of
    sheets in a Document Set.
  • Document Group ID, sequential documents
    Identifier, including Random Check Character
  • Insert selections for the specific record
  • Plus any other information such as customer
details, name, address, account number, billing
    amount, etc, etc
  • Group Quantity for number of sheets in the
    Document Set
  • Status Information including Date and Time of
    completed Document Sets

13
inTelmail exploreneT MAIL RUN FILE
  • TERMINATOR RECORD - AUDIT CHECK
  • THE TERMINATOR RECORD has summary information
which can be reconciled at the end of the run,
against the actual totals captured by exploreneT
    during processing

14
inTelmail exploreneT BARCODE
  • inTelmail exploreneT uses the 3 OF 9 barcode
format, which provides you with the ability to
create your own barcode inhouse. This barcode
format is easily accepted by systems operating at
very high speeds, and ensures maximum processing
    accuracy and integrity.
  • The slim line barcode format improves the
    appearance of the standard barcode.
  • Other Barcode Formats can be used, including 2 of
    5, 2D, glyphs, etc
  • Most Data Formatting Tools can be used for the
Generation of Barcodes and Print Files. (ie.
    PrintSoft etc)
