2Data Set Number (_ _ _ )
- During your project, the data you create in SAP
will be identified with a unique data set number.
- Each team AND each student in each team will be
uniquely identified by their data set number.
The format for the data set number is above. The
next slide has information on what it means.
3Data Set Number (_ _ _ )
- Each team will be assigned a group number. Your
group number will be a three digit code
represented by the three underscores in your data
set number (_ _ _ ). - Eg. Group 9 will be 009 and your data set number
will look similar to the following
(009).
4Data Set Number (_ _ _ )
- Each team will also consist of six team members.
Each member will be represented by the sign in
the data set (_ _ _ ). - Eg. Member 6 in Group 9 will have the following
data set number (0096)

6Logging On SAP GUI
- To log on to the SAP system with the SAP GUI, you
need the proprietary SAP GUI (Graphical User
Interface) software loaded on your system and an
internet connection

7SAP GUI Configuration
- First, you need to tell the SAP GUI which system
you want to log into
If you dont have any systems already
defined, click on New Item. If the New item
button does not appear or does not work, another
button labeled User Defined will appear. If it
does, click on User Defined.

- A new window will appear which will look like the
following
Click on Next
9System Definition (provided by UCC)
Text description (your choice)
Address of system (cairo.cob.csuchico.edu)
System Number (24)
System ID (CIO)
SAP Router usually not required
Click on Finish

Select System double-click or Logon button

Enter Client (215) Enter User (provided by
Instructor) Enter Default Password (SAP4US)
(Note this is case sensitive) Dont worry about
language English will default in

On the first time logging in to a new account,
you will have to change the passwordtry To
remember your new Password Then a message or

15SAP Document Principle
- Each business transaction that writes data to the
database creates a uniquely numbered electronic
document - Each document contains information such as
- Responsible person
- Date and time of the transaction
- Commercial content
- Once created, a document can not be deleted from
the database

Database and Application Server
Nothing is saved on your PC. Only things saved
on our server in Chico are saved, and they are
saved for good.
17Saving in Windows vs. SAP
- In Window Applications, you save often so you
dont lose everything when you get the Blue
Screen of Death

- In SAP, there are very few delete options
- Dont save if things dont look 100 correct!
Exit the transaction and start over.

20Changing data in SAP
- In SAP, you have options available if you need to
correct and change data. Sometimes this option
is labeled Change as seen below and in other
instances it may be labeled Maintain.
21Displaying data in SAP
- In SAP, sometimes the safest thing to do is to
simply display data you already created before
making changes. To do that, simply select the
Display option. Displaying protects you from
making any accidental changes.
