SSEM Website Update
  • The new SSEM2 website was created at the end of
    April to resolve the multiple server errors when
    accessing SSEM through ProgressBook.
  • This is the same database only a different way of
    accessing/logging into the data.
  • Once SSEM2 was created we began to see less
    errors.
  • Last week it went down for 2 days and users were
    moved back to old server.
  • Diagnostic Tools have now been installed on SSEM2
    and usage is being monitored.
  • SSEM2 was connected back in ProgressBook
    Wednesday, May 16th.
  • On Monday, we will review whether to proceed
    forward with the software release 4.0.

Known Bug 1
  • The current software still has some bugs in it.
    Until we update to SSEM 4.0, here is how to get
    around them
  • Accommodations from Bank. When the users access
    the Import from Bank for Accommodations on the
    Testing Page and only selects a couple of the
    subject areas, other information is pulling into
    the blank subject areas when returning to the
    form. This only occurs for students with
    finalized IEP in the system, form is pulling
    values from previous IEP. Extra values can be
    removed by highlighting unwanted text and
    inserting a space. Resolution to the issue will
    be included in version 4.0.

Known Bug 2
  • Auto Save on Progress Reports. For some users,
    when goal pages automatically create progress
    reports, the progress reports are not
    automatically saving. This is apparent when the
    user goes to Print Merge and the form displays
    blank but displays with information when the form
    itself is opened. This was a previous problem
    which has reoccurred for some users. Temporary
    fix is to open Progress Report, save the form,
    and then open the form in Print Merge.
    Resolution to the issue is currently under
    investigation and will hopefully be included in
    version 4.0.

Known Bug 3
  • Deleting Accommodations. When users attempt to
    delete information previously saved into the
    accommodations sections of the PR07P6 Testing
    page and saving their changes, the text reappears
    after the form is reopened. Temporary fix is to
    replace the unwanted text with a space and then
    save the form. Resolution to the issue will be
    included in version 4.0.

Student Demographics
  • The forms pull in the address that is listed as
    the primary contact under the parent contact.  In
    DASL a student can have up to six contact
    addresses, but only one can be primary and that
    is the one that will populate the forms. 
  • The student demographics should be made in two
    places in DASL
  • Home gtgt SIS gtgt Student
  • Home gtgt SIS gtgt Studentgtgt Contacts

Manually Add Student Demographics
  • The alternative way to change the student
    demographics is to log into the ProgressBook
    admin page, select the student ,select the
    address tab and make the necessary updates.
    There will be an immediate update.
  • As long as the change is the same as on the
    Contact Page in DASL it will not be overwritten
    in ProgressBook.

System Requirements
  • The system requirements for SSEM 4.0 will change.
  • PC - Windows XP SP2 IE 7.0 is the only PC
    version compatible with Adobe 8.0
  • Mac OS 10.4.7 10.4.9 Safari 2.0.4 is the
    only Mac versions compatible with Adobe 8.0
  • Please review the System Requirements
    documentation before doing any updates.
  • Downloads for 8.0 is on the NEOnet website under
    Services/Special Education once the update is
    complete.

Homepage Link
  • The homepage link has moved from the left side
    under the school house to the right upper corner.

Select Page to View
  • If a page already exists for a form, clicking on
    the edit icon will open the select form to view
    screen.

  • Instead of a drop down box, users will see a
    listing of all forms created for the selected
    student

Form Naming Page
  • Clicking on Create New Blank Page will navigate
    to the Form Naming Page.

Lock Form
  • Only the user who locked the form and a user with
    admin privileges can view locked forms.

Unlock Form
  • Only the user who locked the form or a user with
    admin privileges can unlock a form.

Lock/Unlock Status
  • The select page to view will indicate which forms
    are unlocked or locked and by whom.

Admin Unlock
  • Only the user with admin privileges of 450 can
    unlock a form.

Date Type Code
  • The new form is designed to record any event
    during the school year from July 1st to June
    30th.
  • If finalizing last years IEP include a blank
    copy.
  • If finalizing a new IEP, fill out the appropriate
    data for future EMIS reporting.

Upload Additional Documents
  • Any supplemental forms or documents can be added
    to the IEP during finalization.
  • Must be a valid PDF.

Free PDF Software
  • Free PDF software is available for download at
    www.primopdf.com if you dont have Acrobat
    Professional.
  • For PCs only.
  • Installs as a PDF printer.
  • Select File/Print to create a PDF.
  • Do Not Set as your Default Viewer, you still need
    Acrobat Reader to write IEPs.
  • Ask your Tech Director about installing this or
    purchasing Adobe Professional.

District to District Transfer
  • A user with Transfer Privileges of 600 can select
    a student and send his/her form group(s) to
    another school district when a student changes
    school districts.
  • To begin the Student Transfer process, click the
    Transfer Student moving van Icon from the side
    menu on the SSEM homepage.

D2D continued
  • Select the Building, Student Name and Forms to be
    transferred.
  • Select new district to transfer IEP forms to.
  • This will be covered in an admin training to be
    announced.

EMIS Data Collection Form
  • The EMIS Data Collection will be automatically
    created for a student once the IEP has been
    finalized by selecting IEP/EMIS.
  • This form can be printed by the teacher or the
    admin
  • Only a user with EMIS privileges can make
    corrections to this form.

EMIS Integration
  • This piece of the software is in its final
    development.
  • One selected district will pilot this module.
  • A separate meeting will be held for the admin.

Year End
  • ProgressBook SSEM will be completely down one
    week at the end of June.
  • Make sure all IEPs are finalized.
  • Make sure all MFEs are finalized.
  • Make sure all current Progress Reports are NOT
    finalized.
  • Mark All Case Management / Sped / Special
    Education Course as Ungraded if you plan to use
    them next year.
  • Print screens of all Classrooms created.
  • After roll-over there will be a script to restore
    any classrooms created, possible with students.

Hints Tips
  • Avoid Double Clicking in the SSEM Program.
  • Click once and let the program refresh.
  • On Steps 1 2 it is creating duplicate forms and
    it appears data is lost.
  • Windows Vista has not been tested against SSEM.
  • New User Manual for 4.0 is still under development

  • What are the District Required Forms (IEP/EMIS
    Set)?
  • District Required Forms are forms that your
    district and the SSEM system require for EMIS
    reporting. The set consists of the following
    forms
  • Required forms are PR07P1, PR07P2, PR07P3,
    PR07P6, PR07P7
  • Optional Forms (that the system pulls if
    present) are PR02P1, PR02P2, PR07P4, PR07P5,
    PR07P8, PR06P2
