First Things First
  • All students at this point should have accepted
    their Work-Study Award.
  • All students need to submit a Work-Study
    Preference sheet.
  • From the Work-Study Preference sheet, we place
    you in a job and produce a Referral Form that we
    have here for you today.
  • What to do with the Referral form
  • Other requirements will be covered.

Work History
  • You are starting your work history.
  • A good reference is a good mark on your resume.
  • Be responsible, be sure to communicate with your
    supervisor.
  • You can be withdrawn from the Work- Study program.

Your Award
  • Your Work-Study is a set amount
  • You may not earn over the total awarded.
  • Work-Study is typically for the fall and spring
  • (no summer Work-Study available).
  • You may earn more one semester than the other.
  • Single semester awards are half the annual
    amount.
  • Keep track of your total earnings.
  • Plan ahead for 9 months.

Pay Rates
  • Pay rates are submitted by your supervisor.
  • Rates are based on skills and experience.
  • Comparable to IH rates-subject to approval.
  • It is not based on the number of hours you have
    to work.
  • Calculating hours per week
  • Award pay rate 32 weeks Hours per week
  • 1500 6.00 hr 32 weeks 7.81 Hours per week
  • This example would approximately be 93.72 a pay
    period

  • Your total award amount is to the right and down
    from your name.

Work Schedule
  • Discuss the job - is this the job for you?
  • Set up a schedule with the supervisor.
  • Show up when scheduled and be ready to work!
  • Inform supervisor if unable to come in to work or
    are sick.
  • Yes, you can get fired!
  • You are only paid for the hours you work.
  • There is no vacation or holiday pay or overtime
    with Work- Study.
  • See the supervisor listed at the top of the
    Referral Sheet.
  • They will refer you to the supervisor for your
    position.
  • Meet with you supervisor soon.
  • If you cant find the supervisor, leave a note or
    check with the secretary.

Job Changes
  • You may change jobs if the first one does not
    work out.
  • Go back to the supervisor for other choices.
  • See the Financial Aid Office for job listings.
  • Listings will be limited.
  • Carefully consider which job will work best for
    you.
  • Fill out a Job Change Form
  • Pick up a new Referral in two working days at
    FAO.

WS and your Taxes
  • Work-Study is taxable income.
  • A W2 will be available the 3rd week in January.
    You can pick up your W2 at the Student Accounts
    Cashiers window. These are NOT mailed to
    students.
  • You should include Work-Study earnings on your
    tax return and on your FAFSA form.
  • Save your receipts from fees, books and supplies
    -you may be able to deduct these.
  • All grant/scholarship aid in excess of expenses
    paid is taxable income.
  • Check with a tax consultant or the IRS for
    details about the Hope Scholarship and other
    possible education-related provisions.

Be sure to re-apply in January!
  • File your FAFSA yearly
  • The priority deadline is February 15 each year.
  • If you miss the deadline, no WS will be awarded
    (as well as other campus based aid.)

After this session you need
  • Work Authorization
  • Required to work on campus
  • To get it you must complete an I-9 Form, W-4
    Form, and Child Labor Form (if under 18)
  • Your referral papers will have a color coded note
    attached telling you what to do to get work
    authorization.

What is the colored slip for?
  • Gold- You are authorized to begin work!
  • Blue- Your Work Authorization has expired. You
    must recertify BEFORE you begin working.
  • Purple- All new student workers that need to
    obtain a Work Authorization BEFORE beginning work.

Your Department May Also Need.
  • A child labor form if you are under 18.
  • You to satisfactorily complete a criminal or
    driving background investigation prior to
    allowing you to work.
  • You to complete application materials for their
    jobs so they can check references.

The Payroll System
  • Pick up your referral today and complete the
    packet of forms (Work Authorization card, I9, W2,
    Direct Deposit).
  • See the delegate who will refer you to a
    supervisor.
  • If the supervisor agrees to hire you-
  • The Referral is signed by the supervisor and the
    delegate and returned to the Financial Aid
    Office.
  • The timekeeper enters an EPAF online.
  • The EPAF must pass through the approval process
    before the timekeeper can enter hours.
  • You have your timesheet signed by the supervisor
    and turn it into the timekeeper of your
    department.
  • The timekeeper enters the time at the end of each
    pay period and a check is available two weeks
    later.
  • Never, never hold timesheets! Please turn them in
    when they are due.

Department Deadline
  • Be sure to check with the timekeeper and find out
    when the deadline is for turning in your hours.
  • This will help make sure that you get paid for
    every pay period that you work.
  • Missing the deadline may mean another 2 weeks
    before you get a pay check.

Paycheck Information
  • Run two weeks behind.
  • Are issued bi-weekly.
  • May not get your first paycheck until the first
    pay period in October.
  • May do direct deposit but requires a new direct
    deposit form available from Human Resources.
  • Give the Payroll Office a self -addressed stamped
    envelope to mail your last check.

The Financial Aid Office
  • See your Financial Aid Advisor if
  • You are not returning Spring Semester.
  • You have unusual circumstances that affect your
    finances.
  • Youve used up your WS award and the years not
    over! Talk with your advisor to explore possible
    options.
  • See the WS Coordinator if
  • You have issues with your job that you have been
    unable to resolve with your supervisor.
  • You are unable to earn all of your award and need
    to change jobs.
