Goal Setting and Prioritising
  • Define the task and how success can measured.
  • Brainstorm concepts, ideas and the feel of the
    event.
  • Create a timeline for the planning and for the
    event.
  • Contingency plans (have a backup!) are vital part
    of the planning process.
  • Set down the important points early, deal with
    the minor details.

Allocating Tasks and Advertising
  • Subcommittees are useful tools for planning once
    the initial points are set down.
  • Everyone must know what to do, and when.
  • Distribute timelines to all parties
  • Saturation advertise!
  • Use on-campus newsletters, chapter newsletters,
    email, Internet, flyers and word-of-mouth.
  • Dont forget to invite honorary members and
    corporate sponsors
  • network at every opportunity!

Communication is VITAL!
  • The full exec must be regularly briefed on
    progress.
  • Make agenda item every meeting
  • Keep on-campus organisations informed.
  • Youll be surprised how many groups can help.
  • Contact your outside speakers regularly.
  • Use letters and phone.
  • Ensure they are comfortable with their topic.
  • Provide them with directions.

Showtime!
  • Ensure everyone who is involved arrives early.
  • Run dress rehearsal.
  • Leave time for each individual to prepare.
  • Public speaking is stressful! Ensure everyone is
    comfortable with their tasks, including yourself.
  • People prepare in different ways, but quiet time
    is usually a common denominator

After the Event
  • Debrief
  • Involve all the committee to review and plan for
    next year.
  • Document EVERYTHING for Awards Application and
    for next time.
  • Get feedback from your clients
  • Thankyou letters must be written.
