How to Complete Your Timecard on TEP IMS
  • Active Temps Currently on Assignment

Timecard Guidelines
  • All TEP employees are required to complete a
    timecard for hours worked during the pay period
  • It is recommended that you enter your time on a
    daily basis
  • Once your assignment or the pay period ends you
    need to make sure all your hours are entered on
    the timecard and then you must submit your
    timecard for approval
  • Follow the detailed instructions to learn how to
    do this

Login
  • Enter the TEP URL into your web browser
    http//tep.ucsf.edu
  • The systems displays the UCSF Temporary Employee
    page
  • Click Record Your Time in the red Timecards box

  • Enter Username
  • Type your UCSF employee ID number (that begins
    with 02)
  • Enter Password
  • Click SUBMIT

Not sure what your UCSF ID Number is? Check the
lower left hand corner of the Statement of
Earnings for your most recent pay check.

Login Password Problems?
  • Your password for first time login to TEP IMS was
    the last four digits of your social security
    number
  • When you activated your account you were asked to
    change your password and store it in a safe
    location for future reference
  • If you cannot remember your password, click Lost
    password and follow the system prompts to create
    a new password

Fill Out Your Timecard
  • Once you are logged in the system displays your
    current temporary placements
  • Click My Timecard

Fill Out Your Timecard
  • For the current pay period, use the drop down
    menu to Select an Assignment
  • If you have more than one assignment you will
    need to complete a timecard for each assignment

  • At the top of the screen, the system displays
    general information about the assignment
  • Your name
  • Order
  • Time Code
  • Step
  • Payrate
  • Hours balances
  • Department Name
  • Supervisor
  • Surrogate timecard approver
  • Assignment Start and End Dates
  • Timecard Status

Fill Out Your Timecard
  • Scroll down to the actual timecard you will
    complete for the current period
  • The timecard displays
  • Day (of the week)
  • Date
  • Hours
  • Minutes
  • Type
  • Action

Fill Out Your Timecard
  • For each day you worked in the time period, enter
    the number of hours and minutes and the type of
    pay (e.g., regular, night, evening)

  • If you need to enter multiple pay types for a
    particular day
  • Enter time for the first pay type for that day
  • Click Record Timecard
  • Then, click the green cross associated with that
    day

  • The system will save the time you entered and
    then add another row for that date
  • Enter appropriate time and pay type
  • If you have accrued vacation or sick balances,
    you will be given the option of selecting those
    pay types

  • If you wish to write an explanation for the time
    you entered
  • Type a brief note in the NOTES box
  • Click Add

  • Once you have entered the hours you worked, click
    Record Timecard
  • If you dont, your hours will not be recorded

Forward Timecard
  • At the end of the pay period, finish entering all
    hours worked
  • If your assignment ends before the pay period end
    date, enter your time and submit on your last day
  • Then click Forward Timecard to submit your
    timecard for approval

Forward Timecard
  • Once you submit your timecard, its status will
    show Forwarded for Approval

  • When youre done LOGOUT
