Title: Organization ATF collaboration and responsibilities
1Organization (ATF collaboration) and
responsibilities
2The SP serves the following tasks Direct and
coordinate the work required at ATF (including
ATF2) in accordance with the ATF Annual Activity
Plan, which outlines the activity plans of
ATF/ATF2 including the budget and beam time
allocation for each Japanese fiscal
year. Report the progress made by the
collaboration to the ICB and the director of
KEK. ( See ATF Web. Site.) Report the matters
related to KEK budget and KEK properties to the
director of KEK. Deputies Deputy1Hardware
maintenance, Deputy2Beam operation,
and Deputy3Design, construction and
commissioning of ATF2.

4International Collaboration Board (ICB)
- The International Collaboration Board (ICB) is
the decision making body for the executive
matters related to the ATF collaboration. - The appointment of the ICB members is based on
recommendations from relevant research institutes
in each area and approval by the director of KEK.
The ICB may revise or expand its member
composition, as deemed appropriate, when more
universities or research institutes join the
collaboration in the future.
5- The ICB serves the following tasks
- Nominate the Spokesperson (SP) of the ATF
collaboration. - Approve the appointment of the Deputies and
System/Group Coordinators of important subsystems
or subprograms. - Review and approve the ATF Annual Activity Plan.
- Receive the reports from the SP, as found
appropriate, and oversee the progress made by the
collaboration. - Approve the new membership and withdrawals of
collaborating institutes. - Help communicate the progress being made at ATF
with members of the home institutes.

7- The TB consists of approximately 45 members from
each of the Asian, North American and European
regions. The members of the ATF Technical Board
(TB) are nominated and appointed by ICB. The TB
serves the following tasks - At the request of ICB, assist the Spokesperson in
formulating the ATF Annual Activity Plan, which
outlines the activity plans of ATF/ATF2 including
the budget and beam time allocation for each
Japanese fiscal year. - Assist the ICB in assessing the scientific
progress that is being made by the ATF
collaboration.

9System/Group Coordinators (SGCs)
- The System/Group Coordinators will be appointed
by the Spokesperson with an approval of ICB. - The appointment of the System/Group Coordinators
shall be made in a manner consistent with the ATF
Annual Activity Plan. - The System/Group Coordinators will coordinate the
tasks charged to the assigned Systems or Groups,
and will assist the Spokespersons and the
Deputies coordinate the ATF/ATF2 research
programs. - In case of small study groups with less than 5
members, the Spokesperson or the Deputies may
assume the role of its Coordinator on an acting
basis.
10- We had 1st ICB meeting at Snowmass2005.
- 2nd ICB meeting will be in Vancouver.
- 1. Coordination for each Institute If personal
proposal from researcher will be given to SP, SP
should ask related member of SGC and he has to
ask the intention of his institute. If each
institute approves his proposal, the institute
must support him. - 2. ATF2 schedule in the Future
11Usually schedule of ATF machine operation is
divided to two blocks of operating time per year
with about four months summer long shutdown. One
block is from mid. of Oct. to Dec., and the other
is from mid. of Jan. to mid. of June. Since there
are many collaborators, we propose two meetings
of TB per year in Dec. and May for review and
recommendation of the research programs at ATF.
We allocate following points usually. TB and
SGC Joint Meeting in Dec. is mainly devoted for
the evaluation on present RDs. TB and SGC
Joint Meeting in May is mainly devoted for the
evaluation on new proposals. Of course, we will
discuss both issues on RDs and new proposal in
TB and SGC Joint Meeting.
12- Requests to new proposal Purpose, Research
method, Period of the research, Manpower, Budget
plan etc. should be reviewed for the approval. - See Template for the new proposal of ATF Web.
Site. - Member of ATF operation group Shift leader is
responsible for the safety and should be KEK
staff. Since ATF operation group is responsible
for beam tuning, making a good beam and required
beam by RD group, ATF operation group can
involve many foreign physicists and engineers.
13Responsibilities of Group Leaders
- There are many groups for ATF operation, Research
programs, ATF2 design, ATF2 construction and ATF2
beam commissioning. - Group leaders are responsible for the completion
of the aim of each group or the achievement of
the goals of each research program. - Never give-up
14Assignment of the ATF Beam Time
Typical 22 weeks/year
About 20 of total will be used for the
maintenance and the beam tuning. It is estimated
by current results.
Maintenance
Beam Tuning
- Guideline for approved studied by SP.
- Short term study
- No conflict with approved studies
- by TB and ICB.
- Test study for new proposal
- SP can accept until two shifts/week
- but it depends on the situation of
- studies.
SP Approved Studies
TB Approved Studies 2/3
15Schedule of ATF operation, TB meeting and Long
shutdown
16Ideal schedule for floor refurbishment of ATF2
- 2006 summer shutdown (from mid. of June
- to mid. of Oct.) Facilities for Crab Cavity and
X-band TF should move away another place. - 2007 summer shutdown (from June to Oct.) Floor
Refurbishment - From Nov. to Jan. 2008 Installation, Alignment,
Cabling, etc. - From Feb. 2008, Beam Commissioning will be
started.
17Delayed schedule due to unexpected reason
- 2006 summer shutdown (from mid. of June
- to mid. of Oct.) Facilities for Crab Cavity and
X-band TF should move away another place. - 2007 summer shutdown (from June to Oct.) Floor
Refurbishment - 2008 summer shutdown (from June to mid. of Oct.)
Installation, Alignment, Cabling, etc. - From Oct. 2008, Beam Commissioning will be
started. - ATF normal beam operation can continue.
