Definition of cataloging
  • Processes involved in constructing a catalog
    describing documents so as to identify and
    characterize them providing entry points
    peculiar to the document, e.g., author headings
    or title headings providing for subject and
    format information. Sometimes used to include the
    process of classification.

What we used to do
  • Create 3 x 5 cards with a hole in the bottom

Library Management Systems -- LMS
  • Comprehensive integrated computer-
  • based system that provides control
  • over all major library functions
  • including traditional processes such
  • as cataloging, etc., statistics provision
  • and more recently developed services
  • such as access to an organizations PC
  • network remote databases and the
  • web.

What we do now (Our Mission)
  • The Cataloging Department supports the teaching,
    research, and service missions of Frazar Memorial
    Library and the University by providing
    bibliographic access to the collections housed in
    the main stacks, Reference, Curriculum Materials
    Center, Farrar Hall, Government Documents,
    Special Collections and Archives, and the
    Performing Arts Library, Shearman Fine Arts Hall.

  • To accomplish this goal, the Department strives
    to
  • Create, organize and maintain accurate and
    comprehensive bibliographic data for all the
    material in the Library's collections.
  • Follow recognized national and international
    standards for cataloging.
  • Remain current in bibliographic and technological
    advances.

  • To accomplish this goal, the Department strives
    to
  • Insure maintenance of quality through continuing
    education and training.
  • Insure efficiency by examining existing
    procedures and possessing a willingness to
    institute new procedures and technology when
    appropriate.
  • Create and maintain harmonious atmosphere with
    other Library Departments and the University.

  • Search item in Workflows from acquisitions module
  • Check record for fullness and match points
  • If overlay is needed, search the item in
    Connexion to find the correct record

  • If not in WorldCat, call up work form for the
    type material and proceed to do original
    cataloging
  • If overlay is needed, use SmartPort either
    connecting to LC or OCLC

Ongoing projects
  • Upgrade NetLibrary records to have LC call
    numbers
  • Record enhancements (adding contents notes when
    possible)
  • Database clean-up (removing items at discard
    level)
  • Keeping new items cataloged ASAP (back log is
    minimal)

  • Electronic resources more websites needing to
    be added to our catalog
  • MetaData
  • FRBR (record gathering)
  • RDA (revised AACR2)

Database enhancement
  • Review and revise withdrawn procedures
  • Withdraw item in our system from public view and
    cancel holdings in OCLC as needed
  • Add new locations as needed
  • Add material types and item categories as needed
    to enhance searching in iLINK

  • Complete our staff manual
  • Place our staff manual on the library web site
  • Continue to interact with staff to provide
    quality cataloging and processing of all items in
    the collection
