10Whats the process?
- School establishes a budget, fundraises, asks for
parent donations, writes grants - School can form a cultural arts committee
teachers, parents, administrators to plan, set
goals, coordinate curriculum - School researches presenters

11Whats the process?
- School plans a program with a presenter
- School sends in a program request to BOCES (ie.
Fall 2006) - BOCES charges the school district for the program
(timing varies on this) - BOCES sends a contract to the presenter
12Whats the process?
- Program happens
- BOCES pays the presenter
- Aid is dispersed the following school year.
- For example, in 06-07 your school district will
be reimbursed by NY state for programs you booked
this year, 05 06.
13Whats the process
- Reimbursement based on your districts state aid
ratio varies from 30 90 - Reimbursed in one lump sum with all other BOCES
aid and made in 3 separate payments, beginning in
January, with the 2nd and 3rd coming a few months
later
14So, whats all this mean for me?
- Consult your business office and ask what your
budget is for AIE (BOCES can tell you what the
service request is what the district SAID they
were going to spend in the current year.. Confirm
this with your business office.) - Ask your PTA if they fund AIE (this would be in
addition to the business office budget) - BOCES does not require that you use funds from a
specific AIE budget
15So, whats all this mean for me?
- Form a committee for planning/grant writing
GREAT way to involve parents, local artists
cultural organizations - Ask local businesses and parents to contribute
toward costs - Ask your business office to set up a line item
for AIE, and to put aid generated from BOCES back
into the line item, as well as the fundraising
dollars you generate.

- Address Arts Learning Standards --THIS IS KEY
(overview at end of this presentation) - Workshop or residency with outside providers,
museum theatre admission, assembly, student
conference, teacher professional development - Student supplies for the above
- Student transportation costs ARE NOT eligible for
aid (artist transportation lodging are) for
BOCES aid - Admission tickets to museums, plays, concerts ARE
eligible for BOCES aid
