KNOW YOUR STUDENTS
  • Make sure the colleges and universities you
    choose fit the students youre bringing.
  • Dont choose colleges and universities just
    because you want to visit them.
  • Use GPA, test scores and your knowledge of your
    students.
  • Know your students financial situation.
  • If your students have applied to that school or
    have been accepted at that institution
  • If the school offers programs students are
    interested in.

CONTACT SCHOOLS FOR VISITATION DATE
  • Ask what constitutes a tour (admission
    presentation, financial aid and special
    scholarships, diverse student panel).
  • Ask about meals on campus
  • Ask about visiting a dormitory
  • Send request in writing.
  • Request confirmation by fax.
  • Remember, that every contact must be professional
    ( Thank You cards).

  • Legally the bus driver can only drive 10 hours.

HOTEL ACCOMODATIONS
  • Block of double rooms 2 students per room, 2-3
    chaperones per room, 1 room for the drivers.
  • Research the best deals/with good accommodations.
    (Free breakfast etc)
  • Ask about payment policies.
  • Ask about bus parking.
  • Choose hotels that are close to highways.
  • Choose hotels that are surrounded by fast food
    establishments or malls.
  • Ask for separate floors for the males and females
    and bus drivers. (If separate floors can not be
    arranged ask for students to be on the same floor
    students with males and females separated by the
    chaperones).
  • Ask for meeting rooms (evening meetings and food
    if possible)
  • Request phone shut-off in student rooms.
  • Ask about ordering/delivery from food outside of
    the hotel (pizza etc)
  • Request contract by fax and ask for original to
    be mailed.

TRANSPORTATION
  • Send bus company tentative itinerary for quote
  • Number of seats on the bus (drivers need 2 seats)
  • Bus policies on food, beverages, garbage, rest
    room.
  • Request contract by fax.

    their cps.edu account.
  • Signature form (student, parent, counselor,
    principal)

  • Medical release form/copy of medical card
  • Code of Conduct agreement
