- BRASS has been designed to allow you to view all
the assets you have, when they are available or
when they are booked.....quickly!
- Using the 'Filter' tool you can ....

- Search for assets available by asset type e .g. a
car, 15ft vans, 8 tonne trucks or cordless
drills. - Search for an asset at a particular site.
- Or any combination of the above!
The BRASS 'Filter' tool gives you the power to
perform Quick! Powerful! searches on your assets
so that you can provide fast answers to your
potential customers and existing clients.
12The BRASS scheduling screen is split into three
parts.
1. The Filtering tool where you apply a set of
criteria to narrow your search. 2. The Assets
Bookings Visual Scheduling Chart which displays
the results of your search, and 3. The tabs to
either review or edit an existing booking or to
create new booking.
So you want to know what assets are available for
a particular period, so you can hire it? First we
apply a set of filter criteria. Asset category
selected, Selected both med small status
available, Start site all sites, Date range of
view. 2. Assets that match the enquiry are
listed, against a specified time scale, and if
the asset is booked the booking numbers are
shown. 3. We select the available asset our
customer wishes to hire and we create a booking
for a specified date.

To start a booking is quick and easy. Just click
on the required start time for the asset on the
Visual Scheduling Chart, 'drag' the booking line
to the finish time required. Full details of the
start and finish of the selection are shown below
and can be refined from this booking tab.
13Booking Module Detailed Method
We can enter in all details for your customer
here, or they may already exist in your
B.R.A.S.S. customer database, in which case you
can search for their details. If you are an
ACCPAC user, this customer listing will also link
to the ACCPAC Accounts Receivable customer
database. Licence information regarding your
customer will be displayed as well. Within your
customer maintenance you can flag for special
requirements such as a deposit or a bond.

16Now that you have seen how easily B.R.A.S.S.
provides the information you require.....let's
see how easy it is to apply B.R.A.S.S. to any
rental industry. First we will look at the
features, modules and set up of B.R.A.S.S. in
more depth.
17Employees Module
The Employees Modules allows the administrator to
assign details of the employees authorised to use
B.R.A.S.S. We can also set-up the level of
security access and assign a log-on password for
each user.
Here you can define the level of access for users
across your organisation. Allowing the user
access dependent on the modules of BRASS they
require. From the 'administrator' who need to
oversee all modules to a 'user' who is an
employee that may only need access to one module
to make a booking.
You can enter details for each user, assign an
employee code. The user can also be made inactive
from this screen as well.

If you deal with an agents for your bookings you
can record all their details here, record a
contact person for the company and include any
commissions by percentage or a flat rate.
20Sites Module
The Sites Module allows the administrator to
record a number of different sites or locations.
If you are a large company with multiple sites or
hold your assets in a number of different
locations, your sites can all be given a unique
identification code and have the relevant contact
details listed here.

Customer maintenance allows you to record your
Customers details. Within each tab, enter
address, contact person and staff details.
Customer details can also be imported from
ACCPAC Accounts Receivable.

Individual Asset Users details can be recorded
to allow for authorised (active) or unauthorised
(inactive) certification.
Full Tax/Billing details are initially set up in
the Tools menu Tax Services, and then applied
as required to the individual customers via the
Tax/Billing tab.

unlimited appropriate persons in the company

27Asset Category Configuration
To be able to hire out our assets we need to
enter our assets into B.R.A.S.S. First we need
to set up our asset categories. The Asset
Category Configuration allows you to construct
the Asset Categories and configure the self
defined descriptions that you will be able to
apply to each asset.

QUANTITY ITEMS Categories can be determined to
track Assets which are of a Quantity nature eg.
Scaffolding, Safety signs. We maintain only one
Asset type and issue quantities against that type

The Asset Category Configuration is also where
you specify for Asset types the meter units for
later costing maintenance scheduling, and
attach a master default picture in the damage
record.
31Asset Explorer
The Asset Explorer allows you to add new asset
types to your asset categories, and then add your
assets
To add a new Asset Type and Asset is as easy as -
1. Select the Asset category you wish to place
the asset type into. 2. The Asset Types are
listed. 3. To add a new asset type Click on 'New'.

Adding or Modifying Current Assets. To Add or
Modify an existing Asset is as easy
this.... Select the Asset Type within which you
would like to add /modify your asset in. A list
of any current assets will appear. Double-click
on the Asset to modify or to Add a new Asset just
click on the 'new' button.

ASSET Linked Charges Additional Items can be
linked individually to each Asset Type. This can
be a timely prompt to sell additional
items/services to specific assets. EG. Room
service with Room hire, Roof Rack with Vehicle
Hire, Chips with a BigMac

The Asset Information Tab allows you to enter
the information about your asset, according to
the descriptions you have previously defined.
You can edit details when required and view
damage of the asset.
35Asset Module Acquisition Disposal Tab
The Acquisition Disposal Tab allows you to enter
in information regarding the date amounts you
acquired and disposed of the asset. From this
Module we can also view damage records for the
Asset. Click on the 'Show Damage' Tab.
36Asset Module On Hold Comments Tab
The On Hold Comments Tab allows you to place an
asset 'on hold' for any reason, note the date and
make any comments, such as the date you disposed
of the asset.

BRASS can track Month to Date, Year to Date Costs
and Sales, by Asset Branch
38Damage Screen
From this screen we can view 'All' , 'Current' or
'Repaired' damage related to the asset. From the
layout we can select the 'damage spot' and view
all the details for that particular incident.
The damage picture located here can be any
imported image of your particular asset.

Now you want to set up your pricing structure for
the assets that you will be hiring out. The price
is defined by applying a dollar value to the
Asset Types you have previously set-up.

Scheduling Module allows you to perform a variety

Once you have identified the assets that will be
included in your booking, you can 'Create the
Booking' using the 'CREATE BOOKING' button.

The schedule window is split into Assets and
their Bookings. You can adjust the split to

Once you have created the booking for the asset
within the previous Schedule Module. You will
enter all relevant details required for the
booking within this one powerful module. There
is no shifting between different modules in
B.R.A.S.S., everything required for the booking
is done from this one screen, from customer
details to payments. Each tab covers different
aspects of the booking.

This tab shows you which assets you have listed
for the booking. Assets can be added to or
deleted from an existing booking.
- For each Asset shown you can select Rates,
Additional Charges and Insurance applicable using
the Tabs on the left. - Rates for each asset are selected.
- Additional charges, such as booking fees,
cleaning costs, extra items to go with your asset
etc can be added here as well. - Insurance details for your booking are selected
in the insurance tab.
