  • 1. What's your point? State it clearly and
    concisely A good business letter does not ramble
    on it supplies all pertinent information in a
    clear and concise manner.
  • 2. State your purpose in the opening sentence
    Many professionals skim their mail quickly.
  • 3. Use a formal tone Remember that the tone of a
    business letter should be formal, not
    conversational English.
  •   4. Correct spelling and grammatical errors
    Readers and skimmers notice spelling and
    grammatical mistakes, so spell- and grammar-check
    your document.
  • 5. Reread your letter closely out loud You may
    be surprised at the number of simple mistakes you
    will find.
  • 6. Get a second opinion If you have a competent
    friend who is willing to help you, have him or
    her read the letter.

  • For block and modified block formats, single
    space and left justify each paragraph within the
    body of the letter. Leave a blank line between
    each paragraph
  • In the first paragraph, consider a friendly
    opening and then a statement of the main point.
  • The next paragraph should begin justifying the
    importance of the main point with background
    information and supporting details.
  • The closing paragraph should restate the purpose
    of the letter and, in some cases, request some
    type of action.

  • Complementary Close
  • The closing begins at the same horizontal point
    as your date and one line after the last body
    paragraph.
  • Capitalize the first word only (for example
    Thank you) and leave four lines between the
    closing and the sender's name for a signature. If
    a colon follows the salutation, a comma should
    follow the closing.
  • Enclosures
  • If you have enclosed any documents along with the
    letter, such as a resume, simply type
    Enclosures one line below the closing
  • Typist initials (business letters)
  • Typist initials are used to indicate the person
    who typed the letter. If you typed the letter
    yourself, omit the typist initials.

Block, Modified Block, and Font
  • Block Format
  • The most common layout of a business letter is
    known as block format. Using this format, the
    entire letter is left justified and single spaced
    except for a double space between paragraphs.
  • Modified Block
  • Another widely utilized format is known as
    modified block format. In this type, the body of
    the letter is left justified and single-spaced.
    However, for the date and closing, tab to the
    center point and begin to type.
  • Semi-Block
  • The final, and least used, style is semi-block.
    It is much like the modified block style except
    that each paragraph is indented instead of left
    justified.
  • Font
  • Another important factor in the readability of a
    letter is the font. The generally accepted font
    is Times New Roman, size 12, although other fonts
    such as Arial may be used. When choosing a font,
    always consider your audience. If you are writing
    to a conservative company, you may want to use
    Times New Roman. However, if you are writing to a
    more liberal company, you have a little more
    freedom when choosing fonts.
  • Punctuation
  • mixed punctuation
  • after the salutation use a colon ()
  • after the closing use a comma.
  • open punctuation
  • This less common format omits the punctuation
    after the salutation and the closing.

5. Body of the letter.It is best to keep an
initial business letter short. Business people
are busy and do not have time to read long
letters! In a one-page letter, you will usually
only need three paragraphs, single spaced. Use a
double space in between paragraphs. See examples
that follow. 6. Closing. The most common closing
is "Sincerely yours." Notice the second word is
not capitalized. Follow this with a comma. Skip
four single lines after the closing and type your
name. Sign your name in the space above your
typed name. Sincerely yours,

your typed name and type "Enclosure" or
