BAIPHIL SILENT AUCTION RULES
  • A. PRE CONVENTION AUCTION ACTIVITIES
  • 1. Prior to the scheduled Silent Bid activity
    (at least a month before the National
    Convention), the BAIPhil Secretariat will
    release Silent Bid Auction guidelines.  To build
    up interest on this activity, announcements thru
    emails to all BAIPhil members (institutions and
    associate members) will be released to announce
    a. List of very interesting items to be
    auctioned
  • a. Description of the items maybe pictures to
    entice bidders 
  • b. Suggested Retail Price
  • c. Minimum Bid Amount

  • 2. A pre-convention auction will likewise be
    conducted during the January and February 2009
    GMM and thru emails.
  • The Secretariat will release the Auction Rules
    via email to all associate members and the
    updated list of Inventory of auction items.
  • b. During the GMM the items for auction or
    picture of the items for auction, will be on
    display at the registration table.  A sample BID
    SHEET (as described in No B.1 below) should be
    prepared and attached to the item for BID.  The
    Secretariat will inform all members registering
    to look at the items for auction to draw their
    interests.

  • c. Interested parties who wish to participate in
    the auction may either indicate their bid amount
    on the Silent Auction Bid Sheet or may send their
    bid via email addressed to the secretariat
    Attention Ms. Gina Mendoza.  Emailed Bid should
    indicate the following minimum information
  • i. Control Number
  •   ii.      Item description
  •   iii.      Name of Bidder
  •   iv.      Bank name and contact numbers
  •   v.      Amount of BID
  • d. Gina Mendoza/BAIPHIL Secretariat will confirm
    receipt of BID via Email as soon as emailed BID
    is received within 24 hours.  A pro-forma email
    reply will indicate control number, item
    description and amount of bid recorded.
  • e. The last highest bid will be the
    starting bid that would be used/placed on the
    auctioned item come convention time.

  • B. CONVENTION AUCTION ACTIVITIES 
  • 1. Each item in the Silent Auction shall have a
    Bid Sheet.  Under no circumstances should the
    Bid Sheet be removed from the Auction Table.
  • 2. NOTE Even similar items (same book, same
    title, and same quality) will have respective
    Bid sheet.  Each Bid Sheet will have a Control
    Number. 
  • 3. For items that received a pre-convention bid
    offer, the beginning bid will be the best price
    received during the pre-convention bid that were
    received either during the GMM or bids thru
    email.

  • 4. BIDDING is OPEN TO EVERYONE.  It will not be
    limited to the BAIPhil membership attending the
    convention but could include also the exhibitors
    or anybody interested on the items. NOTE
    BAIPHIL members who cannot make it to the
    convention could also send their bids through
    representative. Even members of the SP
    Sub- Committee on Silent Auction may also bid.
    This is a silent and open auction process. Thus,
    the best price will be awarded as winning BID. 
  • 5. Those who wish to make a BID may do so by
    writing on the Bid Sheet, the corresponding
    required information such as Name, Bank of
    Company name, telephone or contact number and
    BID amount.

  • 6. Each new bid must be written on the next
    blank line available on the BID SHEET. The next
    bid must be higher than the original bid in
    multiples of P100.00 
  • 7. Each bid must exceed the minimum indicated
    amount on the Bid Sheet to constitute a valid
    bid. Silent auction bids will be disqualified if
    the minimum incremental bid as indicated on the
    Bid Sheet is not met.  
  • 8. Only the Special Projects Sub Committee on
    Silent Auction may nullify a Bid.

  • 9. The highest bidder becomes the purchaser,
    provided his or her bid meets the minimum
    increments listed in the Bid Sheet (NOTE
    PHP100.00 depending on the item and the decision
    of the SP Silent Auction Sub Committee) 
  • 10. No further bids, will be allowed once the
    auction is closed and the Bid Sheet has been
    turned face down by the auction official. At
    least 2 auction officials (members of the SP
    Silent Auction Sub Committee) must sign on the
    Bid Sheet to certify the final and winning
    bidder.  The BAPHIL Auditor or designated
    representative will review the BID Sheet and if
    in order will affix his or her dated initials on
    the space provided on the BID SHEET. The Auditor
    will close the Bid sheet and turn said form face
    down.

  • 11. The CLOSING BID CIRCLED and SIGNED BY AT
    LEAST TWO (2) AUCTION OFFICIALS CONSTITUES THE
    WINNING BID. All decisions of the SP Sub
    Committee on Silent Auction are final after the
    Auditors review.
  • 12. The Silent Auction will open at 200 p.m.
    of March 13, 2009 after the first plenary
    session and will close at 7PM on March 14, 2009.
    The Special Project Committee will announce the
    winners during the closing plenary session.
  • 13. All sales are final.  There are no exchanges
    or refunds on items or services.  Purchasers are
    bound by restrictions specified by the donors.

  • 14. Payment in full by cash or checks is to be
    made to BAIPHIL on the day of the function and
    before taking delivery of the item purchased. 
  • 15. All tangible auction items must be removed
    from the Convention area by the purchaser at
    their own expenses before midnight of Silent
    Auction date. 
  • 16. In case physical items, were not brought to
    the convention by the committee, said items may
    be picked up from the BAIPHIL Secretariat office
    and arrangements may be made directly with the
    office manager Ms Gina Mendoza at Tel no
    8310081.

  • C. POST-CONVENTION AUCTION ACTIVITIES
  • 1. A week after the conduct of the Silent
    Auction, the SP Silent Bid Sub Committee will
    submit a report to the BAIPhil Board thru the SP
    director in charge to summarize the results of
    the project.
  • 2. In a remote situation that an item was not
    sold in the auction, the Special Project
    Committee will agree on the best way to dispose
    of the items. It may consider the items as token
    to Lecturers under the Special Project
    activities.
