Step 1 - The Flyer
  • Boy and Adult Leader draft an outing flyer
  • Use MS Word.
  • E-Mail the .doc file to the Outings Coordinator
    for distribution via email and snail mail. 
  • Ask Outings Coordinator for a template if needed.
  • Bring Flyers to the Troop Meeting

Step 2 - Present to the Troop
  • Present the trip at the Troop meeting (3 weeks in
    advance is a good target for nearby trips).
  •  
  • Boy Leader discusses the trip
  • Have flyer copies on the table (about 10-15)
  • Pass around clipboard with a signup list
  • Use Props
  • Slide shows, Movies, Bikes, Kayaks, Backpacking
    gear etc.

Step 3 - Medical Forms
  • Get current medical forms for all scouts and
    adults from the Forms Manager
  • Class 1 ? Less than 72 hours, such as day hikes
    or weekend trips?Completed by parent or
    guardian?Good for 12 months
  • Class 2 ? More than 72 hours, e.g. summer
    camp?Must be completed by the scout's physician?
    Good for 36 months
  • Class 3 ? High Adventure, e.g.backpacking or
    river rafting. Completed by physician. Also for
    Adults gt40
  • Good for 12 months

Step 4 - Authorization Forms
  • Along with the medical forms, get the current
    authorization forms for each scout from the Forms
    Manager

Step 5 - Arrange Transportation
  • Organize your drivers. Obtain, for each driver
  • Drivers License Numbers (Not Plate)
  • Car makes models
  • of seatbelts
  • Insurance limits
  • Much of this info is already on Troopmaster. See
    Outings Coordinator for details.

Step 6 - Assign Personnel
  • Adult Leader - (Advises the Boy Leader)
  • Arranges car pool and transportation
  • Prepares Local Tour Permit
  • Retains Medical Forms and Authorization Forms
  • Advancement Work
  • Boy Leader (Leads the boys)
  • Presents to the troop
  • Plans/Coordinates the hike or other activities
  • Manages cooks and assigns cooking groups
  • Obtains the gear from the Quartermaster
  • Advancement Work
  • Assistant Adult Leader (2-Deep)
  • CPR Certified Adult
  • Safe-Swim-Defense Trained Adult
  • Online course available at

Step 7 - Local Tour Permit
  • Available from www.bsa-troop237.org
  • User name troop237
  • Password (ask Scoutmaster or Outings Coordinator)
  • Get signature from troop committee member, NOT
    the Scoutmaster or Adult Leader or Assistant
    Adult Leader.
  • Fax to council office (925-674-6190) with your
    return fax number
  • Do not go on the trip unless you receive the
    approved fax.

Step 8 - Plan the Meals
  • Calculate your budget and plan your menus.
  • -Check the Troop 237 website for ideas.
  • -Make sure all meals are well balanced and
    nutritious.
  • -Include appropriate beverages for each meal
  • -Charcoal briquettes if you are using a Dutch
    oven.
  • For each meal assign one assistant from your
    patrol to assist in preparation and cooking and
    one assistant to help with cleanup.
  • Secure patrol cook kit, camp stove and/or Dutch
    oven (if needed) from Quartermaster.
  • Make sure all troop items are returned clean and
    dry.
  • Turn in all your food receipts the Adult Outing
    Leader

Step 9 - Get the Gear
  • A week before, Boy Leader and Quartermaster
    secure the gear from the troop locker
  • First aid kit.  Check to make sure its complete
  • Tents
  • Stoves
  • Cook Kits - Utensils
  • Radios
  • Wash Buckets

Step 10 - Enjoy the trip
  • Adult Leader carries the following documents at
    all times
  • Local Tour Permit
  • Signup forms
  • Authorization Forms
  • Medical Forms
  • On hikes, keep in touch with Troop radios Ch 7/21
  • Keep the boys together, not hanging with adults
  • Keep it fun!

Step 11 - Finishing Up
  • E-mail final list of participants to Scout
    Master, Outings Coordinator, and Treasurer.
  • Include miles hiked or biked
  • Nights camped
  • Service Hours
  • Indicate if a backpacking trip
  • Credit will be entered into Troopmaster by the OC
  • Send in receipts to the Treasurer for
    reimbursement.
  • Return Authorization forms and Medical Forms to
    Forms Manager
  • Boy Leader assigns a Scribe to write up the trip
    for The Scouting Spirit.
  • Participants upload photos to the troop web site
  • Feedback to Scoutmaster.
  • Cite successes, problems and good/bad behavior
