Title: Statewide Resource Sharing Update : Bringing Libraries

1
Statewide Resource Sharing Update Bringing
Libraries
Screen Shot Demonstration
2
What percentage of library users do not find what
theyre looking for in the catalog and leave
without submitting an ILL request?
  • 0?
  • 10?
  • 15?
  • Higher than 20?

No one is sure, but everyone agrees that the
answer is not 0!
3
The Vision
  • Anyone
  • who has a valid card from a participating
    library
  • Can borrow anything
  • if it is available and circulates
  • From anywhere in Ohio
  • if that library has agreed to participate
  • and pay for delivery

4
Benefits of resource sharing
  • Strength in numbers
  • Coordinated collection development efforts
  • Can expand overall coverage of library
    collections
  • Provide greater resources in more cost-effective
ways to students, teachers, and library patrons.

5
Principles of Cooperation
  • All libraries that borrow will lend.
  • If it circulates, it goes.
  • Policies conform to the borrowing library
  • All participants must be on the delivery loop.
  • Libraries will process statewide resource sharing
    requests daily.

6
The Delivery Loop
  • Statewide contract with US Cargo
  • Flat fee for delivery service
  • Prorated for state fiscal year, July-June

7
Its alive!
  • We have a working system with over three
different library systems using three different
    automation vendors
  • Dynix
  • DRA Classic
  • MultiLIS
  • This is how it works

8
Accessing MORE
  • Users search their own catalog first
  • If they dont find what they need, they click on
a button/icon, Click here for MORE
  • Takes them to a splash screen explaining MORE
    system
  • From there, they go to the MORE home page

10
Logging into MORE
  • When they click the link, users will be taken to
a screen that explains what MORE is all about.
  • They can then continue to the login screen.

11
Here users enter their library card number and
password/PIN (if their local system requires
one). They choose their library or school
district from the list. The MORE system checks
the local system to authenticate the patron.
Anyone with excessive fines or overdues can be
blocked.
12
SIP the Standard Interchange Protocol
  • How does MORE get into your local system?
  • Using a technology called SIP2, which was
    designed to operate library self-checkout
    stations.
  • A developing standard, NCIP, will improve on
    this.
  • Ask your library vendor about SIP2 NCIP(If
youre automated with INFOhio, you already have
    SIP2!)

13
Simple Search
  • The Simple Search screen appears after logging
in. Users can do a title search from this
screen, and can choose which catalogs to search.
  • Note searching a particular librarys catalog
does not mean that the requested library will
come from that library. Requests can be filled
    by any participating library.

Advanced Search
  • There is also an Advanced Search Screen, which
offers more searching options, such as Author and
    Subject searches.
  • With Advanced Search, users can combine terms
to search for both an author and title at the
    same time.

Z39.50
  • The software uses Z39.50 to search different
    catalogs.
  • Z39.50 is a standard for searching different
catalogs with the same sets of commands.
  • Ask your library vendor whether they offer a
    Z39.50 server. (Most do).
  • (If youre automated with INFOhio, you already
    have Z30.50)

18
  • Searches are done in real time against the live
    catalog.
  • After searching, the system returns brief
    citations.
  • Users click on the details button to see more
    information.

19
  • Special instructions can be entered I only
    need volume one.
  • Libraries can also offer several pickup
    locations.

20
Review and look ahead
  • The student has searched MORE catalogs and placed
    a request.
  • The MORE system now searches the state for
libraries that own the item, and builds a list of
    potential lenders (the rota).
  • When this is done, the request can be
    automatically authorized, or manually authorized
    by staff.

21
Library staff use the same login screen as
patrons, but they choose MORE Central Office as
their local library.

23
Here are some requests made by this library.
This item has already been shipped. The others
are Idle until staff authorize them.
24
As a requester, library staff
  • Authorize requests (can be automatic)
  • Process incoming material
  • Change MORE status from shipped to received
  • Circulate item to patron (create brief record)
  • Change MORE status to returned

25
Requests have to be manually authorized if
  • Your library owns the item (you can choose to
release the request anyway, or place a hold
against the item in your own catalog)
  • The system cant build a rota
  • The patron placed a note in the request record
    (I need vol. 2)

26
Where we are now
  • Patron has searched and placed a request
  • The software has built the rota (identified the
    libraries that own the item)
  • The requesting library has authorized the request
    and released it
  • The request will now be sent to libraries that
    own the item (responders)

27
As a responder, library staff
  • Print Picklist get titles off shelves.
  • Requests you cant fill answer nonsupply
  • Others change MORE status to shipped

28
When can we get MORE?
  • The system is now live with our first Dynix and
MultiLIS libraries. If you are on one of these
systems, watch for an announcement that were
    ready for more participants.
  • We are testing MORE with the remaining library
systems in Ohio. We hope to begin bringing those
libraries into the system this summer and fall.

29
Implementation groups
  • In process
  • Dynix, DRA Classic, MultiLIS
  • In testing
  • Sagebrush
  • Sirsi
  • Galaxy
  • TLC
  • Spydus
  • Innovative
  • Need test site
  • Follett
  • Horizon
  • Polaris
  • Alexandria
  • Inlex
  • Your system?

30
Next Waves
  • January
  • Training and live testing with 7 Dynix MultiLIS
locations CCPL to be DRA responder
  • February March
  • Dynix INFOhio/MultiLIS launch
  • DRA Classic launch
  • April May
  • Next waves of systems depend on results of system
    tests and readiness of libraries

31
Start thinking about
  • Pickup locations and delivery services
  • Staff workflow
  • Who will be your MORE contact person?
  • Will one building centrally manage for a group,
or will each building manage their own work in a
    decentralized arrangement?
  • System preparation
  • Do you have Z39.50 SIP2?
  • Have you registered an Internet name for your
    server
  • Create a MORE patron (extended loan, no fines, no
    maximum overdues, no notices)
  • Open ports on your firewall

32
Likely Implementation Process
  • There will be an announcement on email lists that
we are ready for your system.
  • Review checklist posted to MORE Website, and
    submit electronic form.
  • Well reply with forms for you to complete
  • Z39.50, SIP, location preferences
  • Test
  • SIP authentication
  • Z39.50 searches
  • Rota creation
  • SIP Checkin/Checkout
  • Schedule staff training

33
Meanwhile
  • Watch email lists for further news
  • Refer to the MORE website for additional
    information http//www.moreforohio.org and
    announcements
  • Dream about all the stuff youre going to have
    access to.
