3OSHA Compliance
1910.1200(g)(8) The employer shall maintain in
the workplace copies of the required material
safety data sheets for each hazardous chemical,
and shall ensure that they are readily accessible
during each work shift to employees when they are
in their work area(s). (Electronic access,
microfiche, and other alternatives to maintaining
paper copies of the material safety data sheets
are permitted as long as no barriers to immediate
employee access in each workplace are created by
such options.)

- Where employees must travel between workplaces
during a work shift, i.e., their work is carried
out at more than one geographical location, the
material safety data sheets may be kept at the
primary workplace facility. In this situation,
the employer shall ensure that employees can
immediately obtain the required information in an
emergency.

- 1910.1200(g)(10)
- Material safety data sheets may be kept in any
form, including operating procedures, and may be
designed to cover groups of hazardous chemicals
in a work area where it may be more appropriate
to address the hazards of a process rather than
individual hazardous chemicals. However, the
employer shall ensure that in all cases the
required information is provided for each
hazardous chemical, and is readily accessible
during each work shift to employees when they are
in in their work area(s).
6OSHA Compliance
- 1910.1200(h)(1)
- Employers shall provide employees with effective
information and training on hazardous chemicals
in their work area at the time of their initial
assignment, and whenever a new physical or health
hazard the employees have not previously been
trained about is introduced into their work area.
Information and training may be designed to cover
categories of hazards (e.g., flammability,
carcinogenicity) or specific chemicals.
Chemical-specific information must always be
available through labels and material safety data
sheets.

8Site Administrators
- Assign a site administrator to each area that
currently stores chemicals or products requiring
an MSDS. - A site administrator will be responsible for
inventorying MSDSs, adding MSDSs and removing
MSDSs. It can be a graduate student, work study
student, a staff member, or a faculty member. - File administrators will be assigned a user name
and password - After all areas have contacted EHS with the name
of the site administrator, a tutorial file may be
downloaded from http//people.alfred.edu/envhealt
hsafety/training.htm . - EHS will provide additional training as required.
9Time Line
- The program is scheduled to be activated in
September 2006. - All MSDSs are to be completed by
- May 2008.
103-Ring Binders
- Once all MSDSs are added to your location you
may then dispose of the old paper files, unless
there is no computer access in the vicinity of
your storage location. If you do need to
maintain a hard copy of MSDSs, you are still
required to maintain the electronic version. 3-

11Completion
- Inform EHS
- When all MSDSs have been entered into the system
- If there is a change in the site administrator
- If storage areas of products requiring MSDSs
have changed. - Send a note to envhealthsafety_at_alfred.edu
12Details about program
- You may add and remove chemicals at any time by
following the prompts of the screen. Messages
for additions and deletions will be delivered to
EHS by the program. - ANYONE on or off campus can access the lists of
MSDSs for any area. Only administrators can
make changes. - EHS will post the web address and simple
directions on our web page.

15No Computer Access
- Any area where there are employees working and
there is no network computer available to access
MSDSs will be required to manage their files
with paper, however, it will also be required to
have an online file, and therefore a site
administrator will need to be assigned.
Arrangements will be made to accommodate the site
administrator for a computer to administer MSDSs.
16Cost
- EHS will assume the cost of the yearly program
fee. - Divisions will not be charged for use of this
program. - Will save a lot of time and money in the future.
17EMERGENCIES
- In the event of a large scale emergency the
satellite access and emergency generator will
enable access to the MSDS files. - Even outside sources like the fire department
will be given access to view our MSDSs.
