3Working in the Office is Easy
- Alan is working on a project with his team and
needs to share data when its created. - Because they have access to a LAN or wireless
network at their office, they can easily store
project data on their file server, print to a
printer and send files and messages to each other
using Email. - But what happens if Alan and his team need to
work at a client site where they cannot get a
reliable, high speed Internet connection?

4Create an Instant Network!
- Alan arrives at the client site where he and his
co-workers are given temporary offices near each
other. - Although they still need to share information,
they cannot easily get VPN access to their office
network. - With Colligo and wireless laptops, all they need
to do to connect together is click on the
Instant Network button at the top right corner
of Workgroup Edition. - Note Colligo also works over a standard WiFi
access point or Ethernet hub

5Instant Connectivity
- This will automatically configure each of the
wireless LAN connections in their laptops for ad
hoc mode. - Colligo does not affect the settings you use for
Wi-Fi back in the office. - Now Alan is connected directly to his co-workers
devices and they can get started.
Note The default Instant Network doesnt use
Wi-Fi security. Set up secure Instant Networks
by clicking Manage gt Options gt Instant Networks

6Discover Nearby Devices
- Presence awareness Colligo will automatically
discover nearby users. - Colligo can detect whether the users are in do
not disturb, away, idle, or available
mode. - Device-type awareness Colligo can detect whether
the users are using a desktop/laptop, Tablet PC,
or a Pocket PC handheld. - Alan can instantly see all the nearby people also
running the Colligo software.

7Authenticate Users
- All data sent or received through Colligo is
protected with SSL encryption, an industry
standard used by large financial institutions. - Authentication allows Alan to confirm whether or
not a user is indeed who they claim to be. - This will help prevent people from impersonating
your team members in order to gain access to
confidential information or resources.

8Authenticate Users
- The first time you communicate with someone you
are required to authenticate. - Colligos codeword authentication method requires
that you and your team member verify each others
identities through unique code words generated by
combining your individual certificates.

9Create Groups
The Rooms feature is another way to filter
Online Users into groups. Enable through the
Manage gt Options menu.
- Groups enable Alan to perform one action with
several team members simultaneously - Create new groups through the Manage menu or by
right clicking in the Group Membership pane. - Drag and drop Online Users onto the group name to
populate it.

10Three Ways to Access Colligo Tools
Left Click Actions to get a menu of functions you
can perform with all users

11Send Sticky Notes or Chat
Sticky Note
- Sticky Notes are a quick way to send a short
note. - You can also send a drawing or attach an image
file to your sticky note. - Broadcast sends a sticky note to all users. You
can also just send to a select group. - Chats allow you to engage in a private live
discussion with multiple people at once. - Chats are time stamped and can be saved in the
Transaction History for later reference. - Files can be dropped into chats and are sent to
all participants.

12Send Files
Choosing Send Files from the Actions menu
enables Alan to pick files to send to Mark
- Need to securely exchange files on the road when
no Internet connection is available? - Colligo allows you to easily send files to
another user or group wherever you may be. - Files can be transferred by dragging and dropping
them over a user or group or by choosing Send
Files from the Actions menu. - Optionally, files can be compressed to accelerate
transfer speed.
Mark is alerted to Alans request to send files
and can choose the location where they are put.
If he wants them in the My Received Files
folder he simply selects Accept

13Share Folders
Anne and Alan map Marks folder as a shared
drive, enabling them to run client-server
applications on their ad hoc network
- Mark can choose specific folders to securely
share with his team members. - Shared folders may contain files or other
folders, enabling large amounts of data to be
shared. - Folder sharing is secured with IPSec. Shared
folders are available only to authorized users
and shares go away when you exit Colligo.

14Share Folders
- To share folders in Colligo, Mark clicks the
Manage menu. - Next he adds folders, chooses the default drive
letter and gives Alan access.

- Alan can then see Marks shared folders by
clicking on the sign beside his name in the
Online Users pane.

15Share Printers
- Allows users to print their files on printers
shared by other Colligo users. - Set up just like shared folders by clicking the
Manage gt Shared Printers menu. - Print from any application as if the printer is
on a network.
Alan can then print by simply choosing File gt

Alan sees Marks printer and installs it by
double clicking it

16Share Internet Connections
- If the team is given a single Internet
connection, one member can share it out to
others. - Just double-click on the Shared Internet icon to
access the connection. - Note Shared Internet is not supported over a
dial-up (telephone line) connection.

17Share Internet Connections
- To share out your Internet connection click
Actions gt Share Internet gt Share. - Other users that would like to share your
connection may only do so with your permission. - Others cannot piggyback on your VPN connection
but may access their own VPN through your
connection so they have a secure link to the
office server.

connection to request it, he is notified and can
choose to accept it or decline it

18Share Outlook Calendars
- Book meetings through Microsoft Outlook even
when you do not have access to your Exchange
server by right clicking on a user. - Colligos unique Meeting Manager allows you to
instantly see the meeting slots when all members
are available.

He can instantly see the times when both he and
Mark are available to meet

19Share Outlook Calendars
- The calendar view enables you to view the groups
free time slots (not full calendar entries) for a
particular week and pick a time to meet. - Meeting requests can then be sent directly to all
group members.
By clicking on a time, Alan can see that Mark is
busy but cannot see other contents of his
calendar

20Transaction History
- Optional transaction history enables users to
save a record of all file transfers, chats and
sticky notes. - The transaction history is accessed by clicking
File gt Open Transaction History then choosing the
type of transaction and date.
Alan has a date- and time- stamped history of all
his communication with Anne and Mark. Note that
the chat log records his file transfers as well

- The features of Colligo can be configured through
the Options menu. - The Options menu is accessed by clicking Manage gt
Options
- Among other things, the Options menu enables you
to - Configure calendar sharing
- Configure file compression
- Configure transaction history
- Setup custom Instant Networks
- Set the name that others see
- Configure the Rooms feature
- Set up security

22Lotus Notes Version
- The Lotus Notes version of Colligo Workgroup
Edition enables you to replicate Lotus Notes
between users without the need for a Domino
server.
Alan can replicate up to 15 Lotus Notes databases
at a time with his team members by clicking this
