Purpose of the Session
  • To introduce new LSA grantees (or new staff at
    LSA grantees) to the data collection, management,
    and reporting capacities of the LASSIE system.
  • To help LSA grantees prepare for working with
    their subgrantees on the use of the system
    through the 2008-2009 program year.

What is LASSIE? (www.lsareports.org)
  • LASSIE (Learn and Serve System Information
    Exchange) is a web-based reporting system that is
    designed to provide CNCS, LSA Grantees and the
    public with consistent, reliable information on
    the Learn and Serve America program.
  • Web-based system initially implemented in 2004-05
    (now beginning the 5th year of operation)
  • All grantees/subgrantees receiving LSA funds are
    required to use.
  • Data is used for annual CNCS reports to Congress,
    state performance reports, and for program
    planning and assessment.

Getting Started

Logging On
  • Go to www.lsareports.org
  • Click on any of the Login links
  • Enter your username and password (sent to you by
    CNCS or your grantee)
  • Click on the LOGIN button
  • Forgot your password link

Using the Home Page
  • The Home page provides links to the five major
    steps that users will take in completing their
    reports.
  • Update Grant Profile
  • Enter Sub Grant Info
  • Manage Active Subgrants
  • Complete Your Survey
  • Submit Your Survey
  • The grey Navigation Bar is on every page and can
    be used to go to any section of the site.
  • Note The Online Help section provides quick
    start guides, tutorials, and help-line
    information.

Updating Your Profile
  • The Profile page contains your organizations
    contact information and several questions that
    determine which parts of LASSIE you need to use.
  • Update/correct your contact information
  • Add additional contacts (you can then send the
    new contact an email with his/her login info).
  • Answer the questions about organization type,
    whether you provide training, whether you make
    subgrants, and whether you directly run
    service-learning activities.
  • NOTE You must complete your profile before you
    can enter data into LASSIE.

Entering/Updating Subgrant Information
  • Use the Sub Grant Information page to enter your
    subgrantees in LASSIE or update information on
    existing subgrantees.
  • If you have existing subgrantees who are
    reporting in 2008-09, update their grant amount
    and check active.
  • If you have new subgrantees, click on Add a Sub
    Grant to create a new profile.
  • Click on Save Active Sub Grants to save your
    list.

The LASSIE Survey

The Survey Progress Page
  • The Survey Progress page provides an overview of
    the LASSIE survey.
  • The survey is broken into 12 tabbed sections.
    The tabs are used to move from section to
    section of the survey.
  • The Table shows which sections have been started
    (white), completed (green) or not yet begun
    (pink).
  • You can print a copy of the survey with your
    answers using the Print Survey button on the gray
    navigation bar.
  • At the bottom of the page is the Submit Survey
    button.

Completing the LASSIE Survey
  • Use the Tabs to move from section to section
  • Pages automatically save when you move to
    another section (or when you click the save
    button).
  • Highlighted links provide definitions and added
    instructions.
  • Some sections require the numbers entered to add
    up (for example total participants, grade, race,
    etc.). The site provides automatic error
    checking.
  • You do not need to complete the survey in one
    sitting. Plan ahead!

Participants, Beneficiaries, Duration
  • The Participant, Beneficiaries, and Duration
    pages require some advanced planning. It is
    important for subgrantees to know what data to
    collect at the beginning of the year.
  • Download copies of the survey forms in the Fall
    (click on the Download Surveys link at the bottom
    of any page).
  • The Online Help section includes worksheets that
    can help you to collect participant information.

Managing Your Sub Grants

Manage Active Sub Grants Page
  • The Manage Active Subgrants page gives you tools
    for managing the subgrantee reporting process.
  • You can check on the status of subgrantee surveys
    (Never logged on, not started, in progress,
    submitted, etc.).
  • You can sort/select by survey status.
  • You can email all or selected subgrantees
    directly from LASSIE.
  • You can view (but not change!) subgrantee
    surveys.
  • You can change subgrantee contact and grant
    information.
  • You can download subgrantee information for use
    in other programs.

  • Grantees have access to data on their
    subgrantees/ programs through the View Reports
    function in LASSIE.

Basic Report
  • The Basic Report provides data from your programs
    and national totals on five basic measures
  • Service-learning participants
  • Teachers/faculty/staff
  • Service Hours
  • Community volunteers
  • Partner Agencies
  • You can filter data by year, organization type
    (K12, HED, CBO) and region.

Your grants National totals

Performance Indicators
  • The Performance Indicators Report provides more
    detailed measures of LSA program performance for
    your grants and national totals, such as
  • Percent of K12 schools with 50 or more of
    students in the free/ reduced price lunch program
  • Percent of student participants from minority
    populations
  • Percentage of SL participants in programs that
    last at least a semester and have 20 hours of
    service.
  • Percent of organizations that have adopted at
    least 6 of the 9 institutional supports for
    service-learning.
  • Reports can be filtered by year, organization
    type, and region.

Comprehensive Reports
  • The Comprehensive Report page provides detailed
    summary data on your grantees.
  • You can select reports for different years (all
    under the same grant number)
  • The tab pages parallel the sections in the
    LASSIE survey.
  • You can download Excel spreadsheets for each
    page with your data.

  • The Online Help page provides contact information
    for the LASSIE Help Line and help materials for
    the site.
  • Access the Online Help page from the grey
    navigation bar or the footer on any page.
  • Help materials include an online LASSIE training
    tutorial, Frequently Asked Questions, and
    Participant Tracking Worksheets.
  • The Help page also has the 800 number and email
    address for the LASSIE Help Desk.
