Learnings

• If the collaboration tool(s) are not as easy to
  use as e-mail then they wont be used.
• Enforcing the use of tools that do not inherently
  support the collaborative process will result in
  them
• being seen as an administrative overhead that
  gets in the way of the real work
• only being used for the bare minimum to meet the
  rules
• Video does not significantly improve
  collaboration that already supports conferencing
  with application sharing and voice
• Collaboration tools, especially synchronous, can
  be disruptive and counter productive without
  discipline
• Dont be surprised when you experience
  serendipity but dont plan for it either
• Security and ease of use are generally mutually
  exclusive. The trick is to find a balance, always
  a compromise, that can acceptably meet both
  requirements

Novo Nordisk RD collaboration platform

• There are 64 requirements specified for a NN RD
  collaborative project room.
• Out of these 64, 26 have been prioritised as
  being core requirements
• Of the 26 core requirements
• 14 can be delivered by SharePoint portal server
  out of the box
• 10 can be met with development of custom
  SharePoint modules
• 1, external access, is platform independent but
  has been rated as the primary requirement.
• 1, real-time collaboration, has been met by a
  separate initiative.
• Conclusion SharePoint, with additional
  development and supporting products, meets RD
  requirements.

Requirement CVI template

• Provide common look and feel with consistent

• The IntraWeb CVI will better project the Novo
  Nordisk brand across the company
• RD specific project templates will also be
  developed based on learnings from phase 1 pilots,
  while maintaining the Intraweb CVI

Requirement NovoDocs integration

• NovoDocs is the Novo Nordisk, validated, document
  management system based on Documentum
• In Q2 2004, NNIT Novo Nordisk carried out a
  proof of concept project to demonstrate that
  SharePoint can seamlessly (assuming the user has
  a Documentum account) use a Docbase as a
  repository
• Integration will only involve viewing related
  documents and providing a NovoDocs link to the
  document. NovoDocs will still control all access
  to the document

Requirement email publishing / archive

• Forums can be assigned a mailbox on the exchange
  server. Mails sent to this mailbox will
  automatically appear as a discussion
  subject/thread with the sender as author
• Any mail attachments are attached to the
  discussion
• Users with alerts set will receive an email
  notification with a link to the discussion
• This captures and structures information that
  would otherwise be lost, in a process that is
  completely transparent to the user
