What is EventCal?
  • EventCal is THE Calendar of Events for Gannon
    University
  • On-Line, Web-Based
  • New Programming - Alumni Community Calendar
  • Used by anyone viewing our website
  • Comprehensive
  • ALL Gannon-Sponsored Events
  • ALL non-Gannon Events held on-campus

What events should be put on EventCal?
  • Events that have a widespread appeal to the
    Gannon Community
  • Events of interest to the majority of students,
    faculty or staff
  • Closed meetings or events open to very few
    people, should NOT be on EventCal
  • No hard-and-fast rule use your discretion

Who is responsible for posting Gannon-sponsored
Events?
  • Presidents Staff has determined that the area
    sponsoring an event is to ensure that the event
    is entered and kept up-to-date on EventCal
  • A representative from each area would be able to
    update events.
  • Congratulations! You have been selected!

Who is Responsible for posting non-Gannon Events?
  • Communications
  • Individuals responsible for reserving rooms are
    to notify them
  • Why?
  • Ensures that EventCal will contain all events
  • Gannon community needs to be aware of all events
    held on-campus
  • To be able to inform visitors (e.g., Where is the
    XYZ conference being held?)
  • To allow Gannon community members to participate
    in and support on-campus events

How do I post Events?
  • http//www.gannonalumni.org/privateroot/admin_cale
    ndar.htm a link will be added to the EventCal
    maintenance menu
  • Enter your special Username and Password
  • Walk through the main options
  • Add Events
  • Edit/Delete Events
  • Ask questions at any time
  • Enter sample events (Edit, Delete, Verify)

Event Posting Tips
  • Group Determine which Calendar this event
    should be posted to
  • Admissions/New Student Events - all events for
    prospective students and applicants to the
    university.
  • Alumni Events - all events planned specifically
    for Alumni whether by the Alumni Office or
    another department on campus.
  • Athletic - all athletic events to include men's
    and women's sporting events.
  • Academic and Cultural Experiences - all
    activities with an educational or cultural focus.
  • Student Activities - all activities planned
    specifically for the student body.
  • Gannon Community - all events/activities planned
    specifically for the Gannon Community at large to
    include any combination of the following
    faculty/staff/administration/students.
  • Spiritual Development - all religious or
    community-service oriented activities.
  • Non-Gannon Event - any events held on campus by
    an external group.
  • Help!! ? in the upper-right hand corner lists
    tips and technical support contacts
  • Required, Optional

Event Posting Tips
  • Event Name Be brief, but descriptive
  • Event Image Not used at this time
  • Date and Time shown on calendar Click Default
    (e.g., Tuesday Jan 1, 2002 at 100 AM) change
    as desired. Recommend adding end time.
  • Location Building abbreviation and room number
    (E.G., Z 104)
  • Description Enter a detailed description of
    the event.
  • Restrictions Enter only if an event is limited
    to certain members of the community or if there
    is a cost for the event
  • Contact Include the name, telephone number and
    email address of the individual sponsoring the
    event
  • Required, Optional

Event Posting Tips
  • CHECK SPELLING!! There is no built-in
    spell-checker so be extra careful!
  • VERIFY!! Always view the event details before
    you are finished.
  • To Copy an Event
  • After adding an event, click the BACK button on
    your browser, change the information (E.G., date
    for reoccurring events) and Click Submit
  • Youll save time by entering all occurrences of
    an event at once
  • Edit/Delete Events
  • Click the down-arrow and highlight the event you
    would like to edit, then click Edit Event
  • Edit - Make desired changes and Click Submit
  • Delete Select the Delete checkbox and Click
    Submit

  • Next Week
  • Communicate to Individuals that sponsor events,
    they must keep you in the loop
  • Enter ALL events for September-October
  • Even those already posted on OLD EventCal
  • Dr. Garibaldi to communicate importance of
    EventCal to Gannon Community
  • On-Going
  • Enter events At Least three months in advance
  • Ensure all events in division are on EventCal
