• An interesting issue arose with a client recently
  during our tender writing process which to a
  degree unsettled our tender writers.
• The client had contacted us very late requesting
  our tender writing services and gave us only a
  week for our tender writers to prepare a great
  tender something we were very comfortable that we
  could achieve.

• Our highly experienced tender writers set about
  the task but immediately the client was panicking
  wondering if the tender would be completed on
  time.
• Our tender writers would ask for information from
  the client about a specific issue with the tender
  and once that was supplied expected to see a
  virtually instant response from the team as to
  how they had responded to that specific section
  of the tender.

  managing client expectations as it is about

• As the client continued to hound our team about
  getting her instant responses I needed to remind
  the team and also the client that we have a
  process we go through in our tender writing
  strategy to ensure we prepare our high quality
  documents and to ensure we cover off every aspect
  of the tender.

• At times like this particular case time is of the
  essence but we are highly highly experienced and
  as such we have the right strategies in place to
  ensure we can deliver in tight timeframes.

• While my Consultants were initially flustered by
  the constant hounding of the client, once I
  reinforced to the client that she needed to trust
  our tender writers and let them do what they do
  best and support them by providing information
  quickly as needed, the client relaxed to a degree
  and the process was much smoother.
• I then pondered on the issue of when is it time
  to panic during the tender writing process.

• Well to us it is time to panic when the deadline
  for tenders has passed and the work has not been
  completed.
• Then to us it is time to panic as it is then too
  late. We have never ever missed a deadline for a
  tender and our tender writers have never ever let
  a client down even on urgent jobs such as this
  one.
• We trust our processes our team are all very
  experienced so to us there is never any panic.

• We have in fact had clients call us on Friday
  seeking a tender to be completed by the following
  Monday and we have always been able to deliver.
• The situation my tender writers faced in this
  instance of the panicking client was a good
  learning situation for the team in that they
  needed to be firmer with the client and nicely
  but strongly advise the client that they had the
  situation in hand, that a draft tender response
  would be prepared a day or two in advance and
  that by implementing the processes we have in
  place we can assure the client that we will
  produce quality documents well before deadline.

• As I have said our tender writers just like our
  grant writers and job application writers are
  highly experienced, we have specific processes in
  place which ensure we can produce high quality
  documents to meet short timelines.
• We trust our processes, they work we win
  clients tenders and as such our tender writing
  process and service is second to none. So to us
  there is never a need to panic given we always
  have the situation in hand.
