  • Open QuickBooks and navigate to
    the Employees menu.
  • Select Payroll Tax Forms and W-2s and then click
    Process Payroll Forms.
  • Move to the File Forms tab, select the Annual
    Form W-2/W-3 Wage and Tax Statement
    Transmittal.
  • Next, click on the Create Form button.
  • Under the File Form window, select the employees
    name and the filing period.
  • Click Submit Form to continue printing.
  • Select the Print/E-file option to open the Print
    W-2 and W-3 Forms window.
  • Now, print the Form.

Steps to print a replacement employee W2 form in
QuickBooks
  • Open QuickBooks and move to the Payroll Tax
    Center (PTC) from your QuickBooks file
  1. Select Employees and then choose the Payroll
    Center.
  2. Go to the File Forms tab.
  3. Click View/Print forms W-2s.
  4. Next, enter the Payroll PIN and click OK.
  • Move to the W2 page and select View/Print W-2
    forms for all years if you dont see any list of
    employees.
  • Click on the Employees name and open the W2 form
    you want to print.
  • Select View Reprints if prompted and click
    Continue.
