How has Technology been used to Improve
Efficiency in a Business
Technology has made large strides especially in
the last 20 years, and over the next 20 years,
technology is set to advance so much more. Nobody
can escape technology, with it becoming an
essential part of everyone's lives, from leisure
to daily activities, to the workplace, technology
plays a significant role in our lives.
Businesses are constantly looking for new
methods, and advancements in technology to
always stay ahead of the curve whilst also trying
their best to not be left behind. Technology
provides the opportunity to get things done
quickly and to the highest quality whilst being
achieved with minimal effort. Even as I write
this article, I'm able to write significantly
quicker by typing on my laptop, compared to
writing by hand on paper. Technology is the
present and the future and can be used
resourcefully by businesses to improve their
efficiency, and here are some ways how Improved
Communication Communications between the staff
and customer has never been easier. The best use
of technology within a business is to use it to
communicate efficiently. This can be achieved in
a variety of ways. Firstly, having group chats
on social media is a quick and easy way for
members of staff to keep in contact, schedule
meetings, ask questions and remain informed on
the latest progress and any possible difficulties
they may be having. Additionally, optimising the
use of shared spaces is another great way to use
technology to improve efficiency. Having a
shared space such as Microsoft Teams, Microsoft
OneNote and Google Drive provide great
opportunities for businesses to share
information, and work on joint projects with
ease. For example, you can have members of staff
working from home, whilst all in a meeting,
whilst working on the same document editing
different aspects at the same time. This not only
saves a lot of time, but allows all members of
staff to see what is being done, what hasnt been
done and who has done what. Another great use of
technology has been the use of group video calls
during the pandemic, and to improve efficiency
moving forward, maintaining the use of this is
going to be important. Not only does it save
travel time, it allows members of staff to be
comfortable, and more awake due to not having to
compensate for time to travel to
work. Specifically in the restaurant business,
you can have apps that allow you to hire staff,
set working schedules and keep staff
updated. Manufacturing Technology has had a
significant impact in this sector and still has
room for improvement. Currently, technology has
been used to improve the speed of manufacturing,
with more robotics being used, and large-scale
systems in place to mass produce products to meet
demands. Technology has allowed for products to
be made with the highest of quality, leaving very
little percentage of error when making the
product. With technology, you can now analyse
data more

accurately, and manufacture the product to meet
the exact demand of your clients. Not only has
technology reduced the time it takes to
manufacture products, but also reduced the cost
of wasted materials due to high quality
analysis. Recruitment Technology has been used
to optimise the recruitment process in a number
of different ways. Firstly, job roles are now
advertised in a variety of ways. Jobs are now
advertised on multiple different platforms, from
job search engines like Indeed, to LinkedIn. This
allows businesses to optimise their recruitment
process as it allows a large range of people to
apply for roles, reaching out to a variety of
people from different backgrounds. This makes
finding the right candidate significantly
easier. Secondly, having technology advancement
in the recruitment process has sped up the
process reducing the number of applications which
are not the right fit for the role. With CV and
cover letter readers, you can identify who meets
the requirements for the role, and who doesnt.
Finally, having online testing to make sure
candidates are up to scratch before inviting
them to complete the application has enabled
businesses to reduce the time spent looking for
candidates as these tests will reduce the total
number of applicants significantly. Additionally
having online interviews allows for more
interviews to take place, again making the
recruitment process more efficient. The future
does not stop here. New technologies such as
Artificial technology (AI) and machine learning
are relatively new technology which is currently
being implemented to provide customers with a
personalised experience. In terms of efficiency,
having machine learning and AI technology to
identify trends, and use this personalised
information can help businesses to reach their
potential and can start to perform repetitive
tasks with ease. Additionally, using technology
such as AI can help businesses to reduce risks
they might face, again making accurate
predictions based on previous data to help
businesses prepare for what is to come before it
actually happens. This helps with efficiency
because you are dealing with issues and
limitations before they occur. However current
use of technology has made businesses
significantly more efficient in a variety of
different sectors optimising their success, there
is still room for future advancements in
technology to make even more of a positive
difference in the everyday lives of people as
well as our businesses.
