  • Encounters- Billable Encounters
  • Background This module allows you to document
    progress notes, whether Billable or
    Miscellaneous.
  • Entry Steps Login, Select Facility, Client List,
    select client, Activity List.
  • Billable Notes Click Encounters, click the Add
    New Billable Note . Note Click on Review in the
    Actions Column to review prior entries.
  • Complete at all required system and agency
    fields.
  • Click Next to complete the fields on the other
    screens.
  • Click Save or Finish after completing the last
    screen.
  • If your agency is using the billing function or
    you are an IFB funded agency and receive payment
    for encounters from ADAA, click Save Release to
    Billing. This will release the encounter for
    billing and this encounter will no longer be
    editable. This is usually a supervisory function.
  • State-wide Residential Contract Clients
    Make sure you select Yes in the Billable field,
    and select IFB Authorized Billing in the
    Billing Case field. A Treatment encounter MUST be
    entered on the day of admission. Progress notes
    documenting a SWRC clients progress, must be
    entered once a week unless circumstances warrant
    additional notes. Clicking Save Release to
    Billing will finalize the note, thus making it
    un-editable. In addition, it will forward your
    note to ADAA for processing.

Miscellaneous Notes
Encounters Miscellaneous Notes
  • Entry Steps Login, Select Facility, Client List,
    select client, Activity List.
  • Click Encounter.
  • Click Add New Misc. Note.
  • Complete all system and agency required fields.
  • Click on Save or Finish.
  • Helpful Hint A. Use the Alert feature
    by clicking the Alert hyperlink to indicate if
    the client requires immediate follow-up. The
    clients name will appear in Red on the Client
    List if the Alert feature is used. B. The
    encounter screen becomes non-editable once you
    click Save or Finish.
  • Print Notes Click Encounters on the menu bar to
    pull up the Notes List screen.
  • Click Print Notes.
  • Enter the desired date in the Note Date field,
    and click Go.
  • Click Export to export your report in MS Excel or
    click Finish to return to the Notes List screen.

Note Use the space bar at the bottom of the
screen to reveal the Actions column and click
Review.
