Excellence Walk-throughs Instructions for
Basic Data Entry and Analysis in a Microsoft
Access Database Updated November 30, 2006
2Open the database
32. Go to the File menu and select open. Browse to
the location of the walk_throughs.mdb file then
open it.
43. Click Open at the security warning.
You will see the following window inside the
larger Access environment.
Under the Objects column, click the word Forms.
Then double-click the file called
dropin_ordinal1.
55. To enter a new record, click on the Add
Record button. If you fail to click on the Add
Record button, you will write over your existing
data.
66. Use the drop-down menu to select your school.
Complete the top part of the form appropriately.
77. Check the boxes as they match your
walk-through form. When you are ready to enter a
new record, click the Add Record button.

In the background of the application, each box is
assigned a numeric value from 1 to 4, with 1
being less aligned with Accelerated Schools and 4
being most aligned.
8. When you are ready to view results go to the
drop-down arrow next to the button with the
triangle. Then select PivotTable View. DO NOT
click on the Design View.
9 This view allows you to see the average for each
of the categories. Higher averages mean better
instructional methods within the categories.
10While Access is not the best application for
creating graphs, you can create a graph for quick
visualization of all results. 14. Go back to the
triangle and drop down to PivotChart View.
Again DO NOT click on the Design View.
11While this graph is not appropriate for a
professional presentation, you can mouse-over or
click on the column to see the value and the name
of the category.
1216. To return to the data entry form view, go
back to the drop-down and select Form View. If
