Receipt of Materials
  • Upon receipt of material, use the district copy
of the school packing lists to verify you
received all boxes and all materials for each
    school.
  • Use the IPT Forms Assignment Notification and
Guidance to verify that you have received the
correct form A or B for each grade-span within a
    school.
  • Pre-ID Labels will be provided in separate
packages by form. A special yellow highlighted
label will be used for students taking Form A.
  • If any boxes or materials are missing contact
Pearson at 800-627-7990, state code 803
  • If any additional materials are needed, place
ORDER on SchoolHouse for more materials.

SAMPLE Forms Assignment Notification
  • Form B of the IPT, Alaska's English Language
Proficiency Assessment, is scheduled to be
administered to LEP students during the spring
testing window (February and March, 2009).
However, in order to facilitate a research
sampling study, some schools and some grade-spans
within a school will administer Form A. This
guidance lists only the schools and grade-spans
in your district that have been randomly selected
to take Form A of the IPT test. All other schools
and grade-spans will test using Form B.

Pre-ID Labels
  • This year both Form B and Form A may be
    administered in your schools.
  • Pearson will provide a separate pre-id package
for each form within a school.

17
Pre-ID Samples
  • The Form A labels will say, FORM A in the
yellow highlighted area on the label.
  • The Form B label will say, FORM B in the same
area on the plain white label.
  • Use the form designation on the pre-id label to
ensure the correct form is being administered.

18
Inventory Materials
  • Set up a formal inventory control system for
receipt and distribution of reusable materials.
  • The District or School Packing Lists can be
downloaded into an EXCEL spreadsheet to
facilitate tracking of documents going out or
coming in to the district office.
  • Make sure your inventory control system is up to
    date

19
Distribution of Materials to Schools
  • Determine the number of reusable materials from
the district inventory that will be needed for
    each grade-span within each school.
  • Pull the reuseable materials from the district
inventory and record on your inventory report the
    counts being pulled.
  • Sort the materials out by school and box (may use
additional boxes) with the materials received
from Pearson for distribution to each school.

20
Return of Materials from Schools
  • Using the school section of the Test Materials
Return Instructions and the School Transmittal
Form and School Checklist, train School
    Coordinators/Administrators on how to return
    materials to the district.
  • Stress the value of checking documents for
completeness and accuracy. (State Student ID,
    Grade).
  • Also be sure schools understand how to sort and
    prepare materials for return.
  • -Banding Form B separate from Form A
  • -Using appropriate School Headers
  • Require School Transmittal Forms and School
Checklists to be signed and returned with
materials. Count and record the correct number
of each type of document being returned.

21
School Headers
  • This year both Form A and Form B may have been
administered in your schools. Be sure the
assigned form was administered for each
grade-span within a school. (Please call AKEED
if you find any deviation from the assigned
    form.)
  • Separate materials by document type and form.
Count and record the correct number of each type
    of document being returned.
  • Use the Regular School Header Sheet (Blue) for
return of Form B answer documents.
  • Use the Form A School Header Sheet (Red) for
return of Form A answer documents.

22
Return of Materials to Pearson
  • Early Return If you complete testing early,
materials may be returned to Pearson as soon as
testing is completed. Package materials and call
for pickup using the instructions and labels in
    your Return Packet.
  • Regular Return - Schedule return from outlaying
schools (early if necessary) so you can meet the
no later than April 3 due date for return to
    Pearson.
  • Follow the district instruction on the Test
    Materials Return Instructions and District
    Transmittal Form and District Checklist.
  • If you have questions, contact Pearson at
