1
John S. Lemon University of Aberdeen
  • Can we strangle those Wizards (sic)
    kfromMicrosoft ?

2
Introduction Background
  • Universities have reduced budgets
  • Need to find ways of reducing costs
  • Microsoft is going to cost more
  • Faced with a number of choices
  • Reduce software portfolio
  • Move all applications to Microsoft
  • Use Star Office
  • ?

3
Introduction Background
  • Constant review of software
  • Primary target is SiR
  • Why ?
  • Not understood by managers
  • Experts dont like hierarchical data base
    managers
  • Have had to justify regularly over the years vs.
  • Rapport
  • Oracle
  • Access

4
Eliminating the opposition
  • Rapport was easy
  • Never really took off
  • Cumbersome interface
  • Died after short and unspectacular life !!!
  • Oracle harder
  • Also cumbersome
  • Not user friendly
  • Barry Robinsons paper
  • No statistical facilities

5
Eliminating the opposition
  • Access is harder to eliminate
  • Appears more user friendly
  • Cheap part of Office licence
  • Wizards to help create / manage data bases
  • Lots of Teach yourself books
  • Windows compatible
  • Claims to be multi-user
  • Managers love it because everyone is using it
  • Need a test to prove the winner

6
Too complex to try as an experiment
7
Test data base
  • Three record types
  • Sex, date of birth, hair eye colour in all
(NB. L. Blue, D. Blue Blue for eyes )
  • Aberdeen graduate in Parent Spouse
  • Date of Marriage Marital Status
  • Child Status

8
The experiment
  • Will use screen shots as experienced crashes when
    doing live
  • Act as a novice
  • Make the same assumptions
  • Try and interprete Microsoft speak
  • Start up Access and see what happens

9
  • What do we choose ? try the wizard ?

10
  • Not a lot of help so go back

11
  • Try a new project

12
  • Calls it a project ! carry on anyway

13
  • What the . Is this ?

14
  • Even more confusion try OK

15
  • Help !!

16
  • ???

17
  • Hi - it looks like Ive got a data base

18
  • Now for a form

19
  • Oops

20
  • Back to the drawing board

21
  • Lets try a new data base

22
  • What next

23
  • Hey I can just enter data

24
  • Perhaps not

25
  • Now try the wizard

26
  • No help from wizard so ..

27
  • Subject is 1st field and its text

28
  • Length changed but what are other fields ?

29
  • Does lookup help ?

30
  • Not really

31
  • Decimal places for an INTEGER ?

32
  • So far so good how do I save it ?

33
  • Yes - thank you

34
  • Give it a name

35
  • What is this oh go ahead and do it

36
  • Hoorah my first table

37
  • Now how do I get data in

38
  • Will this wizard be any better

39
  • I get to choose the layout

40
  • This looks boring

41
  • So does this

42
  • Hey I like this

43
  • A pretty background as well

44
  • Of course I want to open the form - stupid

45
  • If I ask for help I cant see the form

46
  • Lets start
  • I can have X for Sex and K for married ..

47
  • I entered 29th Feb 1963 its not too large

48
  • Lets give up as Im confused

49
Stage Two
  • Aberdeen Maternity Data Bank would be a
    conversion
  • No Export / Import directly
  • How to transfer
  • Via Excel files
  • Try this

50
  • Export from SiR

51
  • This looks easy

52
  • Find the CSV file

53
  • Hey some intelligence at last

54
  • Even better no field naming !

55
  • Of course I want a new table

56
  • Better still I can change things if I want

57
  • I now know about Primary Keys

58
  • It remembered the file name

59
  • Of course I want to analyse it

60
  • Hoorah

61
  • Yes - please

62
  • Not quite what I expected

63
  • Keep going it might get clearer

64
  • Just keep going . Im lost and confused

65
  • Whats this about splitting tables I want
    statistics !

66
  • What on earth is going on ?

67
Stage Two import the rest of data
  • Repeat for Spouse records
  • Continue with Child
  • Problem with Primary Keys
  • Nothing is simple

68
  • But it still completes the task !

69
  • If analyse Child record it tries to split it

70
  • I dont like the proposals !!

71
  • More primary key warnings

72
  • Looks OK

73
  • At last three tables

74
  • Another wizard fingers crossed

75
  • What are relationships ?

76
  • Just Spouse to add

77
  • Now how do I link them ?

78
  • ?

79
  • So these are the Join types what do I do ?

80
  • Ignore the types and join the dots

81
  • Now to find Blue-eyed children of Blue-eyed
    parents

82
  • I have to modify as no chance to select

83
  • This is the query add the eye colour select

84
  • One word YES !!!

85
  • What are you blethering about ?

86
  • As clear as mud

87
  • After a lot of effort I get this
  • Only SIX - (6) records
  • Was it worth it ?

88
  • The vPQL solution

89
  • Need I say more ?
  • Wizards only partly help
  • Sometimes confuse naïve users
  • Do not make life easy for those of us who help /
    advise users
  • Access is not the Philosphers stone
  • SiR lives to fight another day
