1Writing Your Family History BookPart4
By Moira E. Connor
- British Columbia Genealogical Society
- Follow up to November 4, 2009 Meeting
2Questions that required Follow-up
- How do I enter footnotes?
- How do I enter and display Source information?
- How do I enter captions and produce a Table of
Figures?
3Enter a Footnote or Endnote
- Place your cursor where you want to insert an
endnote of footnote. - Go to the References tab on the ribbon and click
Insert Footnote, or Insert Endnote. - The system will assign the footnote (or endnote)
number and take your cursor to where you can
enter the information (either at the bottom or
the page, or end of document).
4Enter Footnote or Endnote
- If a footnote, your numbered entry will display
at the bottom of the appropriate page. - At any time, you can change footnotes to endnotes
and vice versa. - An example of a footnote (related to a source) is
shown below.
5Source Citations Bibliographies
- WORD 2007 allows you to create a Master List of
sources that can be used to insert source
citations in any of your documents. You can - Insert source from scratch.
- Copy an existing source from your Master List to
the Current List. - Import sources from others.
- Search external online libraries and import data
directly into your Master List. - This presentation will focus on the first two
options.
6Insert Source from Scratch
- Select the References Tab on the Ribbon.
- The Source Manager dialog box displays.
- Select NEW.
7Insert Source from Scratch
- STYLE
- Before you start to enter your citations, choose
the Style you wish to use from the drop-down menu
next to the STYLE icon. You can change the style
later if you wish to.
8Insert Source from Scratch continued
- The Create Source dialog box will display
select the type of source, complete the
appropriate information and click OK.
9Considerations!
- The Source Manager allows sort by Author, Title,
Tag name and Year this is a real help if youre
managing hundreds of sources! - In the create source dialog box, authors names
can be typed with first name first, for example
Joseph Priestly, Susan B. Anthony. After you
click OK, WORD will change the last name to
appear first, e.g. Priestly, Joseph, and Anthony,
Susan B. - To enter multiple authors for a reference,
separate with semicolons.
10Master and Current Source Lists
- In the example below, Ive added a Scottish
research web site the source entry is listed in
both my Master List and my Current (document)
List.
11Enter Citation within Document
- Now that the source is noted in your Current (and
Master) source Lists, the source is entered as a
citation where you have the cursor in your
document. Note that citations are shown in
parentheses.
12Create the Bibliography
- You can create a bibliography at any point after
you insert one or more sources in a document. - Click where you want to insert a bibliography,
typically, at the end of the document. - On the References tab, in the Citations
Bibliography group, click Bibliography.
13Create the Bibliography continued
- Click on either Bibliography or Works Cited
- Note If you click on Insert Bibliography, a list
of works cited will be inserted and does not
include a title or a page break.
14Create the Bibliography continued
- Below is an example of the Works Cited
bibliography displaying the example source I
entered in the Source Manager.
15Insert Table of Figures
- If you want create a Table of Figures
(photographs, drawings, etc.) enter a caption for
each object you want to show in the Table of
Figures. - Note Captions can not be indexed. If you want
to find the object in the index, enter the index
entry somewhere else on the same page.
16Inserting a Caption
- Click on the object you wish to caption.
- The Picture Tools tab on the WORD Ribbon will
become active. - Click Insert Caption a Caption dialog box will
display. - Complete the Caption information and click OK.
17Photograph Caption
- Example of a caption added to a photograph.
18Insert a Table of Figures
- Go to where you want the Table to display.
- In the References Tab click on Insert Table of
Figures. - Table of Figures will list all objects you have
added a caption to. See example below.
19Secrets
20Secrets
- Turn the page upside down. A good design looks
good either way its balanced! - Using a grid, or a table, divide your book page
into thirds - Place layout elements on the page within these
thirds for a more interesting and balanced look - Be very, very careful using the MARK ALL index
option..I usually avoid!

22White Space
- By far the most important consideration in page
layout is spacing. Readers love and crave white
space. They shun and may even flee in horror from
clogged, cramped gray pages that is, from
pages that are covered top-to-bottom,
side-to-side, corner-to-corner with thick,
crowded, undifferentiated text. - From the Graphic Design Web Site at
