Overview

• Smooth transition achieved from the prior EC
  thanks to their cooperation and time spent with
  us
• 4 EC meetings held thus far 2 in Dec 2 in Jan
• Excellent Group of VPs Co-VPs lot of
  enthusiasm
• VPs have identified top 3 priorities for each
  function
• Sub Committees formation mostly complete except
  for PR, Facility and Finance
• New Budget prepared to be presented to the BOD
  today
• Events Execution Procedure defined will not
  have a separate Event Management function

Religious Committee

• Review visiting scholar or sadhu-muni program for
  Paryushan consider adding morning Pravachan and
  evening Pratikraman besides the only evening
  Pravachan we have been having
• Improve quality of Bhawana recruit more singers
  and invite outside artists - Pravinbhai already
  at work on this issue
• Review and recommend new rates for donations for
  various religious activities
• Look into joining Religious Interfaith Group for
  better exposure of Jainism into the main stream
  community of the Bay Area
• Plan for other scholars visits during JAINA.
  Two Samanijis to be here from March to May 2003.
  Dhirubhai Mehta scheduled for Paryushan

Education Committee

• Held meeting with all teachers to understand
  various issues affecting them
• Decided to review implementation of the Jain
  Shala curriculum with some uniformity and conduct
  some achievement measurements of students for
  feedback
• Teachers requested additional training we will
  work with Harendrabhai Shah and others to achieve
  this
• Monthly meetings to continue for ongoing dialog
  with teachers and coordinators of the three
  Shalas
• Overall feedback is positive for the education
  program survey results to be published soon

Operations - Facility

• Reviewing possible addition of a third staff
  member for better coverage of the Bhawan Programs
  for security the entire EC feels that
  volunteer effort will not work for security
  monitoring !!
• Painting authorized for most of the rooms on the
  first floor
• Estimate received for tile repairs for all
  cracked tiles
• Built in storage estimates requested for storage
  cabinets under the stairs to match doors finish
• Storage shed to be procured for outside placement
  behind the dumpster

Finance

• New budget prepared higher than prior ECs
  budget from the last board meeting by about 30K
• Need for more detailed spending views by each VP
  to create possibility of future zero based
  budgeting
• Quick Books to be used for recording and
  invoicing of pledges for religious activities,
  donation commitments and any other financial dues
  from the community
• Dual Accounts consolidation complete thanks to
  Kaishal, Tushar and Bharatbhai for their efforts
• Plan to prepare for an independent audit this year

Cultural Events

• Combination of Religious and Cultural Events to
  result in one event every other month at the
  Bhawan
• Youth recruiting in progress for cultural
  programs music, raas, garba and other cultural
  performances
• We will have participation at the JAINA
  Convention for their cultural program competition
• Immigration Seminar planned for February 22 led
  by Nita Itchhaporia
• Adult vs Youth debate being planned for religious
  and cultural issues

PR and Membership

• Consider adding some articles in the JCNC
  Newsletter for creating enhanced interest in
  readership
• Consider Ad insertions in the Newsletter for
  revenue generation guidelines will be set up
  followed!!
• Implement online registration for events and keep
  membership data current by allowing members to
  access their data and make changes. Proposal from
  123 SignUp to be considered
• Start using India West, India Post and other
  publications for our events announcements
  broader visibility and attendance
• Work on better ways to collect membership dues to
  keep them current

Technology

• Library data base work in progress
• Audio Video systems training for all EC members
  and some others to start immediately
• Work in conjunction with Membership and PR for
  online registration and database update issues
• Improve the auditorium overhead projection
  system, curtains, lighting
• Review web casting its utilization vs costs

Rental

• Rental income projection reduced in the 2003
  budget compared to 2002 by 15K
• Committee thinks our rents may be high
  requested new recommendations for review and
  approval
• Requested simplification of rentals for chairs,
  mikes, tables etc do not nickel and dime
  our renters !!
• Some questions with respect to what was agreed
  upon for prayer meetings use of the facilities by
  the last EC

General

• We meet every other Monday at 745 pm with the
  next meeting scheduled for February 3rd
• Comments, questions, feedback, criticism can be
  directed to Bipin Shah prefer that board
  members do not direct VPs for actions of any
  kind. They may ask them any questions they want
  or provide suggestions for review at EC meetings
• Please do not hold any meetings with any EC VP
  that is considered a Bhawan Business meeting
  without first notifying and getting agreement
  from the President
• The third member of the board from the EC is
  Pravinbhai Turakhia besides the President and
  VP of Finance
• Thank you very much for your patient attention to
  this long presentation future ones will be
  shorter !!
