1Receipts
2- There are two ways to process receipts in
GhostPractice - On-Line Receipts This is where the client either
pays in person and requires a receipt immediately
OR where the client sends a proof of payment
where electronic payment is made. In this case
the receipt can be e-mailed to the client. - Batched Receipts This is where the bookkeeper
can post receipts from the bank statement or
generally where the client is not paying in
person or sending a proof of payment.
3On-Line Receipts
When using on-line receipts - the system
automatically presents all matters linked to the
client. This gives you an opportunity to allocate
the money to the appropriate matter or matters.
Here we are splitting the R12,000 trust receipt
between the clients three matters. The system
will automatically process and complete all the
resulting entries between the client/matter
ledger and general ledger.
4The receipt is produced and can be printed and
mailed to the client or emailed directly.
Where there is a split receipt, a separate page
is produced detailing for the client, how the
receipt has been allocated.
5Batched Receipts
Used when no receipt is necessary, you may
capture multiple receipts for a bank and then
process all of the receipts at once.
6When you receive money via a cheque or cash
(this would be typical in collections), the
system automatically creates a bank deposit list.
7When you process the bank deposit, the system
prints out a bank deposit slip (duly completed).
While the receipt is recorded on the system when
it is processed, but the bank balance is only
updated in the general ledger, once the bank
deposit is run.
8The person handling this debt collection will see
the receipt amount as soon as it is processed.
Additionally, they will be able to call up a copy
of the receipt, if necessary, as GhostPractice
always attaches any document or print out.
