Welcome to WebVenice Inventory
  • WebVenice Inventory allows you to manage your
    inventory tasks using your computers web
    browser. Using WebVenice Inventory, you can
  • Enter and maintain information about specific
    stock items at specific inventory sites,
    including aisle/bin quantities, reordering and
    restocking, and vendors.
  • Issue, return, and transfer stock items to and
    from inventory.
  • Allocate and adjust inventory quantities at
    inventory sites.
  • Count and replenish stock items at inventory
    sites.
  • Generate pick lists to track stock items
    distribution.
  • Associate stock items with Asset Codes.
    WebVenice uses asset codes to link Inventory data
    to Fixed Assets data, so you can track fixed
    assets and transfer them to and from inventory.
  • Inventory functions are split into two
    sub-options on the main WebVenice menu.
  • Inventory menu sub-option includes Issues, Issue
    Kits, Returns, Pick Lists, Replenishment, and
    Maintenance.
  • Warehouse menu sub-option includes Transfers,
    Adjustments, Allocations, Manual Receipts, and
    Counts.

Issues
Click the Inventory menu option to display the
Inventory submenu.
Click the Issue sub-option to display the Issue
document submenu.
Click the New Issue sub-option to display the new
issue document wizard.
Create Issue documents from scratch adding one
stock item at a time, or create from an issue kit
Use Next button to move through the Document
Wizards steps after making your selections
Select a source site in Step 1, whether using a
kit or not

Issues New Document Wizard
Select the Charge To Department of the customer
being issued the stock items in Step 2.
If multiple Bill To and/or Ship To addresses
are defined, click Display, then select the
correct address in Step 3. (If only one address
is defined, WebVenice skips this step.)
Enter a description and select the name of the
requestor in Step 4. By default, Requestor is set
to the person creating the issue document.
Click Create after making selections.

Issues New Document Link
After you click the Create button, the Step 4 tab
displays this message.
Click the hyperlinked document number to open the
new Issue document.
Do NOT use the back button on the browser because
you to create another issue document.

Issues Document Header
Click the newly created issue document number
hyperlink to display the Inventory Header.
The inventory Document Type is shown here
Modify Print Format for this issue document if
needed. The format defaults based on Document
Type if the System Administrator did not
configure a specific format. For example, Issue
Document type defaults to Issue Ticket print
format.
Information entered from the wizard now populates
the issue document header.

Issues Document Items
Click the Inventory Items tab to display a list
of items that were added to the current issue
document.
You can view accounting distribution and any
accounting errors
Click the hyperlinked item number to open Item
Detail tab.
You can add items from list.
WebVenice automatically notifies of back order
status.
You can add, change or delete item accounting
Click the hyperlinked Stock Item description to
open Stock Item Maintenance tab.
Only stock item number is required to add items
from the item list. If aisle/bin is not entered,
WebVenice searches for the first active aisle/bin
with on hand quantity greater than zero. Enter a
specific aisle/bin to have WebVenice use the
specified aisle/bin instead of searching. If an
error occurs when adding an item, the error
message displays next to the problem item.

Issues Item Detail
Click the hyperlinked item number from the Item
List to display Item Detail tab. Click Add Item
button from the Item List to first select a stock
item to add to the issue document and then
display this tab to edit new item details.
Quick and easy method to issue backordered items
once in stock.

Issues Issue Item Warning
If you change the issue quantity to a number
greater than the quantity on hand for the
aisle/bin, WebVenice displays a message asking if
you want to replace the overage on back order.
Once the items are placed on back order,
WebVenice waits for a receipt to occur for the
stock item and then sends a message to the Site
Administrator to advise that a back order can be
filled for the newly received stock item.
An organization can select between using the
original average cost of a stock item when back
ordered or using the current average cost of the
item at the time of issue. When this option is
set to use the current average cost, all issued
items to use the current average cost of the
stock item at the time that the item is issued.
Your organizations WebVenice Administrator
must contact Venice Support to request any change
to the Average Cost setting.

Issues Item Accounts
Click an items Acct hyperlink on the Inventory
Items list to display the item accounts tab.
Click Add Account to display the add account
criteria so you can search for an account based
on a partial or full account code. Click the
hyperlinked account code to add the account code
to the current stock item on the issue document
When you add an account the first account is set
to a percentage of 100 because it is the only
account for the item. If you add another account,
the percentages are split into 50 for each
account.
To change percentages you must blank out dollar
amounts when saving your new account settings.
The dollar amount overrides the percentage values
when saving changes so you can specify an
accounting split to the penny.

Issues Inventory Transactions
Click the Transactions tab to display all
inventory transactions created when working on
the current issue document.
Data is shown in black text for the first row of
information, and in red text for the second row.
The table header displays in two rows, one row in
bold black and the second row in bold red and
brown.
Click the hyperlinked stock item number to open
stock item maintenance tab.

Issues Close/Re-Open Document
Click the Re-Open Doc button to reopen document
Once all required issue document data is entered
the Close Doc button is visible. Click this
button on the Inventory Header tab to change the
document to read only mode.

Issues Using Kits
You can use an issue kit (if one is available) to
create a new issue document. Issue kits allow you
to create standard kits of items, which you can
issue to a user simultaneously, rather than
issuing each stock item individually.
You must select a site before you can create an
issue document using an issue kit
Click From Issue Kit to display a list of
available issue kits for the selected site.
Click the hyperlinked kit description to use the
kit to create a new issue document.

Issues Kit Items
Click the hyperlinked kit description to display
the list of kit items associated with the
selected kit
Click Select a Different Kit to select another
kit.
Kit items must be associated to a stock item
before the issue document can be created
If the kit is not in read only mode, you can
remove kit items before creating the issue
document
Click the Create button after you configure the
issue kit
Click the hyperlinked stock item number to change
the associated stock item

Issues New Document Using Kit
Click the Create a New Issue Document Using these
Kit Items button to proceed to the next step in
the new issue document wizard. Open the new
issue document to display a finished issue
document (if accounting is required then
accounting must be added before the document is
finished). At this point any items associated
with the kit have their associated quantities
issued from inventory. The person creating the
issue document can now create a Pick Ticket,
click the Close Doc button to close the document
or continue editing the document header and items.
You can add other items to issue document in
addition to kit items

Click the Inventory menu option to display the

Issues Search Results
Click the Search for Issues button to display the
list of issue documents that fit the specified
search criteria
The Recent Changes tab displays a list of
inventory documents you have modified, sorted by
modified date. If you are searching for issue
documents then only issue documents display in
the Recent Changes list.

Issues View Report
You can display the Issue Ticket Report from the
issue document header tab.
Click View Report to display the Issue Ticket
report as an Adobe Acrobat .pdf using the
specified print format
All inventory document types are listed, but only
those associated with a particular document type
(Issues, Returns, etc.) print valid reports. If
you select another type of report it displays
blank. Report types are Adjustment Ticket,
Allocation Ticket, Charge to Department
Transactions, Charge to Department Transactions
Recap, Inventory ABC Analysis, Inventory Forecast
Analysis, Inventory Performance Analysis,
Inventory Value Analysis, Issue Ticket, Master
List, Inventory Site Listing, Manual Receipts,
Physical Count Slips, Pick/Ship List, Receiving
Reports By PO, Inventory Exception Report, Return
Ticket, Inventory Transaction Log, and Transfer
Ticket.

Pick Lists New
Initiate the pick process from the issue document
header by clicking the Pick Ticket button. The
Pick Ticket button displays the Pick/Ship List
report with items on the issue document to be
picked. This button also creates a WebVenice pick
list so you can pick items using WebVenice or
PocketVenice.
Pick list items are taken from inventory and
moved. Inventory site staff can create an
itemized list of items they need to pick from
inventory, complete with quantity, Aisle/Bin
location, etc.

Pick Lists List
Once the pick ticket has been printed from the
issue document header the pick list created can
be viewed by selecting the Pick Lists menu option
on the inventory submenu
Click the Inventory menu option to display the
Inventory submenu
Click the Pick Lists sub-option to display
available pick lists that are not in finalized
status.
Click the hyperlinked pick list description to
display pick list items.

Pick Lists List Detail
Click a hyperlinked pick list description on the
Select Pick List tab to display pick list
items. WebVenice displays the Total Picked if an
item was previously picked, along with a blank
space to enter a new quantity to add to the
current quantity picked. Click the hyperlinked
stock item number to go to the stock item
maintenance tab.
If you add a new quantity, it is added to the
existing quantity picked and does not replace the
value. If you add 1 to the previously picked
total of 1 and click Save Changes, a new Total
Picked of 2 appears because the quantities are
added together.
Click Finalize Pick to end the pick process and
delete the pick list. WebVenice displays a
confirmation message.

Pick Lists New Items
Once you create a pick list, adding a new item to
the issue document creates a pick ticket
addendum. Click the Recent Changes tab when
searching documents to open your most recently
updated document.
A new item was added to this issue document
If you click the second item WebVenice displays a
status message because the item has already been
picked and cannot be changed

Pick Lists Reprint Items
The Reprint All Pick Items checkbox appears after
you create a pick ticket. You can reprint the
entire list of items if you check this box. If
you leave it unchecked and click Pick Ticket, a
pick ticket addendum report is displayed. The
addendum lists only the new item added to the
issue document.
After the addendum is displayed, WebVenice
creates a new addendum pick ticket and flags the
new item as placed on a pick ticket.

Pick Lists Addendum
After the pick ticket addendum is created you can
navigate to the Pick List tab to pick the new
item.

available pick lists that are not yet finalized
ADDENDUM was added to indicate the item was added
to a previously created pick ticket

Pick Lists Bypass Pick Ticket
Users can bypass the normal pick items process
once. The user must follow the normal pick ticket
process if additional pick items are added to the
issue document.
Create an Issue document for the desired item(s).
Click the Finalize Ticket button to finalize the
issue document as if the pick items process had
been completed normally. This button displays
only if a pick list doesnt already exist for the
issue document (once the Issue document is
finalized the Finalize Ticket button disappears).
When you click the Close Doc button WebVenice
closes the Issue document and you cannot add
additional inventory items unless you either
reopen the existing Issue document or create a
new Issue document, according to your
organizations preferred method.

Returns Copy Issue Item
Click the Inventory Items tab to list all items
currently on the Return document. Click Add Item
or Copy Issue Item to add new items to the Return
document.
Click Copy Issue Item to display an entry tab
where you can create a return item from an issue
receipt. Use this method use the original average
cost.
When you create a return for a stock item, either
the current average cost or the original average
cost for that item can be used as the return
cost. Click the Add Item button to use the
current average cost.
You can create a return item from a specified
Issue document and stock item. The person
returning the item can be credited for the exact
dollar amount as when the item was issued.

Returns Item Detail
When you add a new item to the return document,
the new items price is set to zero.
Quantity On Hand updates when you click Save
Changes.
Enter the original issue document number and
stock item number, then click Save New Item to
use the original average cost method.
WebVenice populates Restock Accounting
information from the Site administration table.

Click the Inventory menu option to display the
Inventory submenu

Click the New PO sub-option to display the list
of inventory sites available to be replenished
Replenishment allows you to automatically
replenish inventory stock when stock drops below
a certain level. Replenishment integrates with
Purchase Orders (POs).

display a list of stock items to be replenished

the site list (Open Market tab) to display a list

When an item is already on order it is not
available to be placed on another replenishment PO
Open Market, Vendor, Manual, and Blanket/
Contract tabs are different stock item ordering
methods. You must click each tab to place those
items on the replenishment PO.
Only stock items with a status of Order can be
replenished. The status change can occur manually
or by the current quantity on hand going below
the minimum quantity allowed.

Replenishments Ready to Send
Click the Ready for Approval button to change the
status of the replenishment document. If no
approval routes are required, the status process
skips the Ready for Approval status and goes
straight to the PO Approved status.
The status message states what status change took
place on the replenishment

the replenishment document to the vendor.

Deliver PO Vendor List
click on the Vendor List tab to display all of
the associated vendors for the selected documents
for delivery. For example, if you were delivering
two document to the same vendor, that vendor
would only be listed here once since the vendor
delivery preferences apply to the vendor and not
to the specific document.
Changing preferences only applies to the current
delivery job. You must use vendor maintenance to
change preferences permanently.

tab where you can change the vendor preference

method and click the Save button

default printer and the number of copies to print.

Deliver PO Vendor Delivery Options
Click the URL hyperlink to send an e-mail to the
vendor with a specified hyperlink. Use this
method if you want the vendor to use a web
browser to see the documents instead of attaching
them to an e-mail.

Click the Delivery Summary tab to display a
summary of all the delivery options and vendor
preferences for the documents being delivered
Review the data, then click the Submit button to
submit this job to the job scheduler for
processing

When you submit the job WebVenice generates a
report that can be printed to keep a hardcopy of
the delivery job summary information

Click the Delivery Status tab to display a list
of delivery jobs. Jobs that are still pending to

Once the Job Scheduler has successfully processed
the job the job status to change to Job
Completed.

When the Job Scheduler successfully delivers a PO
the status of the PO changes to PO Sent.

Click the Inventory menu option to display the
Inventory submenu
Click the Replenishment menu option to display
the replenishment submenu, then click New Receipt.
Once a PO is successfully delivered the next step
is to create a receipt once items are delivered
by the vendor. click the New Receipt menu option
to display the PO search criteria screen to
search for the replenishment.
Click the Search for Purchase Orders without
Receipts button to display all replenishment POs
that are in a status of PO Sent and have not
had a receipt entered

Search results are based on the specified
criteria to display a list of replenishment POs

Enter a value in the Update Qty field and click
Save Changes to add the specified quantity to the
currently received total displayed as Recvd Qty
It is possible to configure your system for blind
receipts that would prevent the receiver from
knowing the expected quantity
Once an item has been fully received the Recvd
Qty total to display in green. Partially received
items to have a quantity displayed in yellow.
The update quantity entered is added to the
received quantity when click Save Changes. It
does not replace the received quantity.

PO Receipt PO Header
Click on the hyperlinked PO number to open the
replenishment PO document
Once all items on a replenishment PO have been
fully received the status of the PO changes to
PO Complete Receipt
Click the Close PO button to close this PO so no
further changes are made.

confirmation message to make sure you want to
close the PO
Click the Yes button to close the PO and change
the status of the replenishment PO to PO Closed

redisplay the replenishment PO receipt item list
and show the status of the PO as PO Closed.

item. Here you can see the receipt transactions
that occurred.

Transfers Document Items
Click the Inventory Items tab to list the items
on the current transfer document. Select a
destination transfer site before adding items to
the transfer document.
Once a destination site has been selected and
saved on the transfer header the Add Item button
is available on the Inventory Items tab.

Transfers Conversion Factor
When adding a new item the conversion factors of
the source and destination site are compared to
make sure a conversion factor exists. If no
conversion factor exists, a new one must be
created before a quantity can be saved.
Click the Create New Conversion Factor button to
create a conversion factor between different
units of measure
Issue, Overhead and Charge to accounts to
default to the accounts configured for the site
Current stock levels are listed for the source
site of the transfer
An error message appears if the source and
destination site units of measure do not match
and a conversion factor does not exist

the item detail screen to define a new conversion
factor between two different units of measure
Read and understand the examples before you set a
value

If you want a note associated with the transfer
transaction in the inventory log you can enter a
note here when you save the changes with the
transfer quantity specified

can enter a quantity to transfer from the source
to the destination site
The quantity on hand for the source site changes
when you click the Save Changes button

Counts Count Wizard (Manual Method)
You must enter the stock item, site and aisle/bin
when counting items using the count wizard. The
stock item must be in a Count or Recount status.
After you enter or scan a valid stock item
number, you can enter a new count value.
Note that this method is a blind count.
Click the Finalize Count button after you enter
the new count to update the WebVenice item
record.
You can now count the next stock item. The Site
and Aisle/Bin fields remain populated so you
dont need to re-enter the data. After you enter
or scan the next item number, you can change
these fields if needed.

A status message verifies that the new count is

The new count value is displayed in the New Count
field. You can now finalize the count by

Counts Stock Item Aisle/Bin
Stock item maintenance for the item being counted
reflects the status change to Recount and the
newly entered quantity on hand.
Recount the item and click Save Changes, then
click Finalize Count.
If the item quantity now matches, the item is
finalized and removed from Recount status. If
the quantity doesnt match, your manager or
authorized staff may need to create an inventory
adjustment.

Reporting Select Inventory Reports
Users can run a variety of Inventory
reports. Select Reports on the WebVenice main
menu, then select Inventory Reports on the Select
Report tab.

You can type in a report title, if desired.
Some inventory reports criteria windows include
both a stock item number field and an alternate

before and after each number. You can enter
either type of field to run the report for the
specified stock number(s).
