• USA Swimming Privacy Policy
• Information concerning members of USA Swimming
  acquired during the registration process is the
  property of USA Swimming and its use is within
  the control of USA Swimming. USA Swimming
  strictly limits the use of members personal
  information to that information necessary for the
  conduct of the business of USA Swimming and its
  LSCs.
• To clarify the issue of publishing information
  regarding USA Swimming members by USA Swimming
  and its LSCs, the Board of Directors of USA
  Swimming has approved the following policy
• The following information, and only the following
  information, shall be acceptable for publication
  in any form, including but not limited to the
  world wide web, regarding any USA Swimming member
  without the express written authorization from
  the athlete, if of majority the athletes
  parent/guardian, if a minor or the non-athlete
  member name, age in years, club affiliation,
  time and place achieved in an event, and any
  awards or honors received by the athlete.
• USA Swimming membership numbers may be published
  when done for data transmission only. USA
  Swimming membership numbers may not under any
  circumstance be published together with the name
  of the athlete or in sequence with a series of
  reports that when taken together will reveal the
  name and membership number of the athlete. USA
  Swimming trouble lists (either registration or
  monetary) shall not be published on the web.
• The foregoing policy shall be effective
  immediately. All LSCs need to review their
  publications and website to determine if there is
  any information published therein which is not
  permitted pursuant to this policy, such as
  members address, telephone number, birth date or
  USA Swimming ID number. If any of this
  prohibited information is published, then the LSC
  needs to take steps to remove the information by
  March 1, 2005 or sooner.

Example LSC Policy

• BE IT RESOLVED THAT the xxxx shall treat as
  private and not release, publish, sell, trade or
  otherwise distribute in any manner, electronic or
  otherwise, any and all information collected
  regarding athlete members of xxxx except for the
  following, which may be released as part of meet
  results or articles, publications, announcements
  etc regarding an athlete and / or his
  accomplishment. The release of other information
  shall require written authorization of the
  athlete, or in the case a minor athlete, the
  athletes parent(s) or legal guardian(s).
• Items which may be released 1) Athletes Name
  2) Athletes Age, stated in years 3) Club
  affiliation 4) time and place achieved in an
  event and 5) any award and / or honor received
  by the athlete.
• BE IT FURTHER RESOLVED that such policy shall not
  be interpreted to prohibit the LSC from using the
  information held by xxxx in furtherance of its
  exempt function. xxxx may thus use other
  information held by it to communicate with or
  otherwise notify other xxxx athletes, xxxx member
  clubs, and xxxx non-athlete members of items
  related to and necessary for the conduct of
  competitive swimming program(s). Regardless of
  purpose, in no case however, shall xxxx permit
  the use of such data by third parties.
• BE IT FURTHER RESOLVED that the General Chair
  shall appoint a committee to draft the policy
  delineated above. Such committee shall be
  charged with developing and submitting a written
  policy together with suggested tools such as
  password protected data bases which allow xxxx to
  effectively communicate the information necessary
  for the conduct of competitive swimming to its
  member clubs and individual athletes.

CSI Policy

• BE IT RESOLVED THAT the Colorado Swimming, Inc.
  shall treat as private and not release, publish,
  sell, trade or otherwise distribute in any manner
  any information collected regarding members of
  Colorado Swimming, Inc. except for those items
  listed in the next paragraph. The release of
  other information shall require written
  authorization of the member, or in the case a
  minor athlete, the athletes parent(s) or legal
  guardian(s).
• Items which may be released without written
  authorization 1) members name 2) members
  age 3) club affiliation 4) time and place
  achieved in an event and 5) any award and / or
  honor received by the member 6) contact
  information for officers, coaches or officials.
• BE IT FURTHER RESOLVED that such policy shall not
  be interpreted to prohibit the LSC from using the
  information held by Colorado Swimming, Inc. in
  furtherance of its exempt function. In no case
  shall Colorado Swimming, Inc permit the use of
  member demographic information by third parties.
• BE IT FURTHER RESOLVED that the Policies and
  Procedures Committee be charged with developing
  policy and tools which allow Colorado Swimming,
  Inc. to effectively communicate information and
  protect privacy of member clubs and individuals.

So what does it all Mean

• If your LSC does not have a policy you are bound
  by USA Swimmings
• What the LSCs Policy should do is exempt you
  from things that are part of doing business of
  the LSC
• Publishing meet results (paper and data)
• Publishing TopN reports
• Publishing Psych Sheets

So Bottom Line

• Dont publish anything with a combination of Name
  and anything with a birthdate in it
• FYI Team Manager Exports are plain text with the
  forbidden data in it, Meet Manager Databases
  has it as well but are weakly protected. But
  both are part of doing the business of the LSC
  and were never intended to be excluded.

Site Cleaning

  items with a birthdate like expression
  (http//www.regexlib.com )
• Use your site tool to search for date items
• Take your time, have some one else crawl through
  your site tree.
