2Inventory System Set Up
- Before staff can begin using the Inventory
System, the System Administrator or other
authorized All Systems - Privileges (AS) user must set up the WebVenice
database, particularly the following reference
tables - AGENCY (including Preferences and Masks)
- VENDOR
- CLASS
- For information on creating these reference
tables, refer to the Venice Maintenance Guide. - Once the WebVenice database is in place, the
System Administrator or authorized AS user can
log into WebVenice - and set up the Inventory reference tables in this
order - Inventory Site Information (INVSITE) Use this
table to enter and maintain an inventory site,
specify the sites operational accounts, and
enter functional details for the site. For
instructions, see the Inventory Site Information
topic in the Venice Inventory System
Administrator's Guide. - Inventory Categories (INVCATEGOR) Use this table
to enter and maintain inventory categories and
category types. For instructions, see the
Inventory Categories topic in the Venice
Inventory System Administrator's Guide. - Inventory Stock Item Information (INVITEM) Use
this table to enter and maintain your inventory
items. For instructions, see the Stock Item Tab
in this manual. - Inventory Computations (INVCOMPUTE) Use this
table to enter and maintain the computation
values, operational parameters, and account
information for specific inventory sites, change
inventory-wide pricing, and execute
inventory-wide calculations. For instructions,
see the Inventory Computations topic in the
WebVenice Inventory System Administrator's Guide.

5Inventory Maintenance Menu
Click the Inventory menu option to display the
Inventory submenu.
Click the Maintenance menu option to display the
inventory maintenance submenu.
6Site Maintenance
Click the Sites menu option on the inventory
maintenance menu to display inventory site
administration options.
Click the Add Inventory Site button to add a new
site without a search.
Click the Search button to display a list of
inventory sites or edit an existing site.
WebVenice displays a list of inventory sites
based on the specified criteria. Click the Clear
Fields button to clear all criteria fields and
enter new criteria.
7Site Maintenance Add Site
Click the Add Inventory Site button to add a new
inventory site from the search results screen.
Click the hyperlinked site description to edit an
existing site. On the General Info tab, enter the
Site ID and Department and click Save Changes.
To add a new site, enter the Site ID and
Department fields, then Click the Save Changes
button.
8Site Maintenance General Info
Enter or change fields as appropriate for your
organization. You can change any field except
Site ID and Department when editing an existing
inventory site.
Assign accounting associated with site
activities. Account definitions are shown on the
next slide.
TIP Set the site e-mail address. This ensures
that WebVenice error or warning messages are
received by the WebVenice administrator or other
designated person.
Enter the green-shaded fields so your
organization can track and report site operations
costs. See Slide 10 for field definitions.
9Site Maintenance Accounts
Account Definitions
Write Up Account An account number for physical
inventory overages. It is used as the default
account for making adjustments to an inventory
items book value based on a variance in physical
count and book value when the physical count is
more than the book value. When you enter count
information, an adjustment record is created to
show the difference between the physical count
and on-hand book value. Click the eyeglasses Look
Up icon to select an account from the
list. Write Down Account An account number for
physical inventory shortages. It is used as the
default account for making adjustments to an
inventory items book value based on a variance
in physical count and book value when the
physical count is less than the book value. When
you enter count information, an adjustment record
is created to show the difference of the physical
count and on-hand book value. Click the
eyeglasses Look Up icon to select an account from
the list. Reorder Account An account number to
which reordered items are charged. Click the
eyeglasses Look Up icon to select an account from
the list. Returns Account An account number for
returned items. This account is used to record
restocking charge for returned stock items. Click
the eyeglasses Look Up icon to select an account
from the list. Overhead Account An account
number for the overhead percentage. This account
is used to record the overhead charged on items
issued. Click the eyeglasses Look Up icon to
select an account from the list.
10Site Maintenance Percentages
Quantity Threshold A percentage for variance
between the physical inventory quantity and the
book quantity. If you exceed the threshold when
entering physical count information, WebVenice
gives you a warning so that you can recount the
items. Carry Cost A percent of the value of
the item to maintain it in stock. Restock
Dollars An amount charged to departments when
items are returned to inventory by using
departments. Restock An amount used to
calculate the restocking charge when items are
returned to inventory. WebVenice multiplies the
quantity returned by the unit cost by the
restocking percent to determine the restocking
charge. Threshold Amount An amount for
variance between the physical inventory quantity
and the book quantity. If you exceed the
threshold when entering physical count
information, the system gives you a warning so
that you can recount the items. Std Order Cost
The cost in dollars of placing an order for the
item. The order cost is used for EOQ
calculation. ABC Code A B C The ABC
percentages of items used. A defaults to 20.00
B defaults to 30.00 C is calculated as 100.00
- A - B. These are the percentages used when
calculating A/B/C items.
Dollar Threshold A percentage for variance
between the physical inventory dollar amount and
the book dollar value. If you exceed the
threshold when entering physical count
information, the system gives you a warning so
that you can recount the items. Overhead A
percentage of the item cost. The system adds the
overhead percent, if any, to the current price to
derive an item issue price (the price you will
charge the user). If no overhead percent is used,
the current price and issue price are the
same. Deliver/Walk-In Stock items issued can be
delivered to a department or picked up by someone
from the department (Walk in). Reorder Mail
ID Identifies the user who will be sent notice
via WebVenice email when an item needs to be
reordered.

Click the Stock Item Categories menu option on
the inventory maintenance menu to display the
stock item category administration options.
Click the Add Stock Item Category button to add a
new Master category (Parent List)
Click the hyperlinked category name to display a
list of associated sub-category types.

When you click the Add Stock Item Category button
on the Data List tab the Data Detail tab becomes
active so you can create a new master stock item
category.
TIP The Active Flag should always be set to
Active unless a category is made inactive or
deleted.
You must enter a category ID and description,
then click the Save Change button in order to
save the new master category.

category from the list to display category
sub-types associated with the master category.

category.
When creating a new category type you must enter
a category type ID and description.

23Kit Categories
WebVenice users can use the Kit Categories option
to create unique sets of data that their
organization commonly uses. For example, a
Uniforms kit would include a shirt, pants, and
shoes.
Click the Kit Categories menu option on the
Inventory Maintenance menu to display the kit
category administration tabs.
Click the Add Kit Category button to add new kit
categories
Click a hyperlinked kit category description to
edit details for the kit category.

28Stock Item Maintenance New
If automatic stock numbering is active, this
field is protected and displays the phrase
Automatically Generated. WebVenice
automatically assigns the next sequential stock
number to the item when you save it. (The
WebVenice Administrator activates this feature
and sets the length, format, and current sequence
number for automatically-generated stock numbers
in the AGENCY reference table.) If manual entry
is used, this alphanumeric character string can
be a maximum of 20 letters and numbers in length.
This entry can contain dashes but it cannot
include spaces, punctuation, or special
symbols. Once a new stock item is saved, this
number cannot be changed.
Click the New Stock Item menu option on the
Inventory Maintenance menu to display the New
Stock Item Administration tabs.
Short Descriptions are typically what an
organization calls an item. Purchase
Descriptions are defined by the vendor who
supplies the item.
TIP Use a general noun followed by a specific
adjective for a stock items Short Description.
For example, enter Screwdriver, flathead, not
Flathead screwdriver.
Designate the Site, Aisle/Bin, Quantity on hand
and the unit of measure (UOM) for issuance of the
item.
29Stock Item Maintenance New List
Click the New Items List tab to display all newly
created stock items that still have an item
status of New.
When an item is initially created, it must be
selected by clicking the hyperlinked description
in the New Items List to complete the item set-up.
30Stock Item Maintenance Search
Click the Stock Item Search menu option on the
inventory maintenance menu to display the stock
item search criteria tabs.
Click the Recent Changes tab to view the list of
your most recently modified stock items.
Click the Search for Stock Items button to
display a list of stock items based on the
specified criteria.
TIP The Site IDs list is limited to sites for
which you, or a group you are a member of, have
stock item maintenance access configured.

Click the Search button on the Search Criteria
tab to display a list of stock items based on the
specified criteria.

This tab also displays when you select a stock

Create an asset code relationship for any asset
stored as a stock item.
View the transaction history associated with an
item.
Identify the Order Method that will be used to
replenish this item.
Identify a commodity code and/or class/class item
code for this item.
Tip Be sure to change the Active Flag status to
Active when you are ready to start using the
item.
View who last edited the current stock item and
what date/time the change occurred.
33Stock Item Maintenance Linked Assets
Click the Fixed Asset Code Relationship button on
the Stock Item tab to associate the current stock
item to a fixed asset. For example, if you are
storing computer monitors in a warehouse that are
also being tracked as assets with asset tags, you
can associate the assets with a stock item and
track how many of your computer monitors are at a
particular aisle/bin. If any relationships had
already been defined, they would be listed here.
Click the Create a New Asset Code Relationship
button to view a list of asset codes that can be
associated with the stock item because they are
not currently associated with any stock item.

Click the Create a New Asset Code Relationship
button to associate an asset code with the
current stock item. The asset codes listed are
not currently associated with any other stock
item.
Click the hyperlinked description to associate
the asset code to the current stock item,

Once the asset code relationship has been defined
it is listed on the screen displayed when you
click the Fixed Asset Code Relationship button on
the main Stock Item Maintenance tab.
Click the Delete Relationship link to clear the
relationship between the asset code and the
current stock item. This also creates adjust
out inventory transactions if any assets
associated with the asset code are currently
residing in a site and aisle/bin for the current
stock item.

Click the Transactions button on the Stock Item
Maintenance main tab to display inventory
transactions associated with the current stock
item.
The table header displays in two rows, one row in
bold black and the second row in bold red and
brown.
Data is shown in black text for the first row of
information, and in red text for the second row.
Click the hyperlinked Inv Doc ID number to open
the inventory document.

When you click the Site Info tab a list of sites
for the stock item appears (if more than one has
been set up). If only one site has been
configured for the current stock item, the
maintenance tab for the site displays when you
click the Site Info tab.
Click the hyperlinked site ID or description to
display the site maintenance screen for the
current stock item.

When you click the Site Info tab this tab
displays if only one site has been associated
with the current stock item. Otherwise, a list
of associated sites must be displayed and a site
selected before this tab displays for the
selected site.
TIP Data shown is for the current site only
Items can have unique bar code information

associated with an item can be viewed and
modified.
Items can have an alternate identification
number(s ) in addition to the stock item number

39Stock Item Maintenance Site Dollars
Minimum Overhead Dollars are used to charge set
service fees for inventory transactions.
Overhead Percent is used to charge a percentage
of the transaction cost as service fees for
inventory transactions.
Minimum Restock Dollars are used to charge set
service fees for inventory returns.
Restock Percent is used to charge a percentage of
the transaction cost as service fees for
inventory returns.
TIP As you enter fields on the Site On Hand tab
and Site Reorder tab, remember that you are
entering information about a particular stock
item at a particular inventory site. Therefore,
the crucial concept for this set of tabs is item
at site.
40Stock Item Maintenance Site Status
Changing the status of the site can potentially
affect the status of the aisle/bins for the
site Active -gt does not propagate to aisle/bin
statusCount -gt sets all aisle/bins to a status
of Count that are not in the Delete
statusFreeze -gt sets all aisle/bins to a status
of Freeze that are not in the Delete
statusManual -gt does not propagate to the
aisle/binOrder -gt does not propagate to the
aisle/binRecount -gt sets all aisle/bins to a

Click the Add New Site button on the Site Info
maintenance screen to display a list of inventory
sites.
Click a hyperlinked site ID or description to
associate the site to the current stock item and
display the Site Info maintenance screen for the
selected site.
43Stock Item Maintenance Site Categories
Click the Categories button on the Site Info
maintenance screen to define associated inventory
categories with the stock item. If no currently
defined categories exist for the stock item, the
list of inventory categories displays first.
Click the Add Category button to associate
another inventory category with the stock item.
Click the Delete link to remove the associated
inventory category.
44Stock Item Maintenance New Site Category
When you click the Add Category button from the
tab listing the associated inventory categories
to the current stock item this tab appears. This
tab also displays if you click the Categories
button on the Site Info maintenance tab and there
are no inventory categories associated with the
current stock item.
TIP Use inventory categories and category
sub-types to restrict a groups WebVenice
Inventory Shopping privileges to only shop items
in the specified categories.
Click a hyperlinked inventory category
description to associate the clicked category
with the current stock item.
45Stock Item Maintenance Site History
Click the History button on the Site Info
maintenance tab to display summary data
calculated for the current stock item.
FY Beginning Balance The number of units of the
item that were stocked at the inventory site at
the beginning of the current fiscal year (FY).
The begin and end dates of the fiscal year are
entered on the AGENCY reference table. Stock
Outs The number of times the inventory site was
out of the stock item since the beginning of the
current fiscal year. Date Last Issued The date
and time the inventory site last issued the stock
item. Date Last Received The date and time the
inventory site last received a shipment of the
stock item. Fiscal Year/Month/Issues The number
of units issued by the inventory site during each
month. (Note Only those months in which the
stock item was issued by the site are listed.
Months in which no items were issued are not
listed.) Total Issues for the Year The total
number of units issued by the inventory site
since the beginning of the current fiscal year.
Average Monthly Issues The average number of
units issued each month by the inventory site.
Venice calculates this average as follows (Note
Venice rounds this average up) Total Issues for
the Year / number of issue months
46Stock Item Maintenance Site Advanced
Click the Advanced button on the Site Info
maintenance tab to maintain all advanced settings
used to configure site calculations.
47Stock Item Maintenance Site ABC
ABC Code ABC codes are usually assigned
according to movement. Typically, items placed
in the A zone are the fastest moving items, B
zone is slower moving items and the C zone is
the slowest moving items. WebVenice allows items
to be categorized this way and then reported on
to assist with placement and how often an item
may need to be replenished. A defaults to 20.00
B defaults to 30.00 C is calculated as
100.00 - A - B. These are the percentages used
when calculating A/B/C items.
48Stock Item Maintenance Site Averages
Average Lead Days WebVenice calculates this
field if the Replenishment Order process is being
utilized. Calculations for the recommended order
amount will include the average number of days it
has taken for an item to be placed on a Purchase
Order and then received into the warehouse.
Average Daily Issue If this check box is
selected, WebVenice considers the traffic
associated with the item in question. If the
item has not been issued or transferred for an
extended period of time, WebVenice recommends a
lower order quantity. If the item is in great
demand, WebVenice may recommend an order quantity
greater than the maximum stocking level.
49Stock Item Maintenance Site Order Points
Economic Order Quantity This method recommends
the quantity of an item to order by formulating
the items carry cost percent, the order cost and
the average daily issues.
Order Point This method recommends the quantity
of an item to order when no minimum/maximum order
quantity has been set.
50Stock Item Maintenance Site Percentages
Minimum Lead Days The minimum time span between
order and receipt of an item, calculated from
your five most recent purchase transactions of
the item. Maximum Lead Days The longest time
span from requisition to receipt of an item,
calculated from your five most recent purchase
transactions of the item. Previous Average
Issues An average of quantities issued. This
quantity is used with the smoothing percent to
calculate average daily issues. Order Cost The
cost in dollars of placing an order for the item.
The order cost is used for EOQ calculation. Carry
Cost A percentage (usually supplied by the
accounting department) added to an items cost to
determine actual stocking (carrying) cost.
Carrying Cost is the cost of keeping an item
stocked in inventory, usually thought of as a
percentage of the value (cost) of the item. This
includes labor cost, utility cost, storage cost,
and other such costs. Carrying cost percentage,
then, is the percentage of your inventory value
that it costs you to maintain that inventory. The
system uses the carrying cost percentage you
enter to calculate EOQ. Smoothing A
percentage used to forecast average daily issues,
safety stock, order point, and EOQ. Loading
The percentage used to accelerate or decelerate
orders and to calculate Safety Stock.
Safety Stock This method ensures that the stock
item is never below the specified level and
recommends order quantities beyond this amount.
51Stock Item Maintenance Site On Hand
If you click on the Site On Hand tab and have not
previously selected a site, the following error
message is displayed. The error occurs if more
than one site is associated with the current
stock item. If only one site is associated with
the stock item, then that site is selected by
default and the list of aisle/bins is displayed
for the default site.
52Stock Item Maintenance Aisle/Bins
Click the Site On Hand tab to display the list of
aisle/bins for the currently selected site.
Click the Add Aisle/Bin button to add a new
aisle/bin for the currently selected site and
stock item.
Click the hyperlinked aisle/bin name to edit the
aisle/bin details.
If no aisle/bins have been configured the list is
empty.
53Stock Item Maintenance Edit Aisle/Bin
Click a hyperlinked aisle/bin name to display
details for the selected aisle/bin. Click the Add
Aisle/Bin button to display this tab with blank
values, including the aisle/bin name.
Quantity on hand can be modified and any changes
made are kept in an audit file.
If the Add Aisle/Bin button is clicked, this tab
displays with a blank aisle/bin.
You can set information about the last inventory
count or the next inventory count.
Lot numbers for sensitive items can be maintained
on this tab.
You can set rebate information here.
54Stock Item Maintenance Site Reorder
If you click on the Site Reorder tab and have not
previously selected a site, this error message is
displayed. This will only occurs if you have more
than one site associated with the current stock
item. If only one site is associated with the
stock item, then that site is selected by default
and the list of aisle/bins is displayed for the
default site.
55Stock Item Maintenance Site Reorder Detail
Issues Per Order Unit (Optional) This factor
converts the Issue Unit of measurement into the
Order Unit of measurement. For example, if the
stock item is reordered by the dozen (DOZ) but
issued singly (EA), the conversion factor would
be 12 (read 12 to 1) since there are 12 issue
units in each order unit. Conversely, if the
stock item is reordered singly but issued by the
dozen, the conversion factor would be 0.0833
(read 1 to 12) since there are 0.0833 issue units
in each order unit. (1 / 12 0.8333). If the
Order Unit is the same as the Issue Unit, the
conversion factor is 1. Qty On Order
(Protected) The number of issue units of the
stock item currently ordered but not yet received
at the inventory site. This field displays the
number entered in the Qty On Ord field on the
Site Info tab. Minimum Qty (Optional) The
minimum number of issue units of the stock item
at the inventory site below which the reorder
process is triggered. When the on-hand quantity
of the stock item drops below this number,
WebVenice automatically enters the stock item on
a reorder list. (Note If you enter an Order
Point on the Advanced page within the Site Info
tab, that entry takes precedence over this
quantity in determining when to trigger the
reorder process.) Maximum Qty (Optional) The
maximum number of issue units of the stock item
at the inventory site that the reorder process is
to achieve. When the on-hand quantity of the
stock item drops below the Minimum Qty, WebVenice
automatically enters that item on a reorder list
with a suggested order quantity that will bring
the on-hand quantity up to this maximum. (Note
If you specify an Economic Order Qty on the
Advanced page, that entry takes precedence over
this entry when determining the number of items
to reorder.)
The site reorder data applies to the currently
selected site for the stock item.
Order Unit (Required) The unit of measurement
used when reordering the stock item. Since this
unit of measurement is often different than the
Issue Unit of measurement, the Issues Per Order
Unit is used as the conversion factor. Issue
Unit (Protected) The unit of measurement in
which the stock item is typically bundled and
issued at the inventory site. This unit of
measurement is specified in the Issue Unit field
on the Site Info tab. Except where specifically
noted, all quantities of a stock item are in
issue units.
56Stock Item Maintenance Reorder Vendor
The percentage of the stock item's cost that is
collected by the state at the point of sales and
added to the item's cost to determine the total
cost of reordering the item. The options in this
drop down list have been entered in the TAX RATES
reference table. Once a tax rate is selected from
this drop list you can change but not delete it.
TIP If you set the order method for this stock
item to Vendor on the header tab you must
specify a vendor number in order for this stock
item to show up on a replenishment.
Select the blanket purchase order from which this
item is ordered.

59Issue Kits
Click the Inventory menu option to display the
Inventory submenu.
Click the Issue Kits menu option to display the
Issue Kit administration tabs.
When a site is associated with an issue kit, only
inventory issues created from the same site can
use the kit.
Click the hyperlinked description to display the
kit header detail and select the Kit Items and
Kit Issue Docs tabs.
The list of issue kits is grouped by kit category.
60Issue Kits Select Kit
If you clicking the Kit Header, Kit Items or Kit
Issue Docs tab without first selecting a kit,
this error message appears.
61Issue Kits Kit Header
Click the hyperlinked issue kit description to
edit the kit header details.
Once a kit has been used to create issue
documents it cannot be deleted.
The kit category is used when grouping the kit in
the list of defined issue kits.
If you set the Read Only flag on the kit header,
a user who creates an issue document using this
kit cannot delete any of the kit items from the
created issue document.

Click the New Issue Kit button from the Issue kit
list to create a new issue kit.
The Site ID field is left blank until a stock
item is associated with a kit item.
63Issue Kits Kit Items
Click the Kit Items tab to display a list of kit
items associated with the selected kit.
If a stock item is associated with the kit item,
the stock item information is listed here.
If the kit item does not already have an
associated stock item, the stock item must be
associated at the time of issue. You can then set
up general item descriptions without having to
specify a specific stock item until an issue
occurs. For example, you could have a kit item
called pants and associate it with various
stock items based on size and color at the time
of issue.
Click the hyperlinked item description to edit
kit item details.

Click the Add Item button on the Kit Items list
to create a new kit item for the selected issue
kit.

item AND a specific site with the kit.
If the read only flag is checked at the kit item
level, the quantity and associated stock item
cannot be changed for the kit item once it has
been placed on the issue document.

Click a hyperlinked kit item description on the
Kit Items list tab to edit kit item details. In
this example, the kit item has an associated
stock item defined.
Click the Clear Stock Item button to change the
kit item back to a general item with no
associated stock item.
Click the link to change the associated stock
item for this kit item.

The stock item search criteria tab displays when
you click the link to associate a new stock item
with a kit item or to change the currently
associated stock item.
Enter desired criteria, then click the Search for
Stock Items button to search for an item.
Search results are displayed for the specified
criteria .
Click the hyperlinked aisle/bin name to associate
a stock item with a kit item.

issue documents created using the currently
selected issue kit.

Click the Warehouse menu option to display the
Warehouse submenu.
Click the Counts menu option to display the
Counts submenu.
Click the Set Count Status menu option to display
the currently configured count lists.
Click the Delete link to delete the count list.
Click the hyperlinked count list description to
display a list of items associated with the
selected count list.
Click the Edit Desc link to change the count list
description.
Click the New Count List button to create a new
count list.
Click the Count ON and Count OFF links to change
count status for all associated items on the
count list.
72Counts Edit Count List
Click the Edit Desc link from the index of count
lists to display details for the selected Count
List. If you click the New Count List button,
this tab opens and the Site ID field can be
edited to define a new count list for a
particular site.
Count Lists are created for an individual
inventory site and cannot span multiple sites.
Users can schedule a periodic Count.
Enter a description of the counts purpose for
future reference.

Click the hyperlinked count list description to
display a list of stock items for the selected
count list.
The total number of count list items is displayed
in the header bar.
Count slip buttons create a report that can be
printed and used when counting.
Use the Add Stock Item(s) button to add multiple
items to the count list at once.
If an item is currently being counted a status
indicator appears.
Users can remove items from the count list
manually, one at a time.
Use the Remove Stock Item(s) button to remove
multiple items from the count list at once.

multiple stock items to the count list based on
criteria. If no criteria is entered, all stock
items for the specified site are added to the
count list.

Click the Count Slip With Qty button on the Count
List Items tab to create the Physical Count With
Qty on Hand report for use when counting items in
inventory.
TIP The quantity on hand is displayed for this
report. Do not use this report to print a slip
for use in a blind count.

List Items tab to create the Physical Count
report for use when counting items in inventory.

Click the Transaction Log menu option on the
Inventory Maintenance menu to display the
Inventory Transaction Log search criteria tab.
Enter criteria to limit the results displayed.

matching inventory transaction log records.
The table header displays in two rows, one row in
bold black and the second row in bold red and
brown.
Data is shown in black text for the first row of
information, and in brown text for the second
row.
Click the hyperlinked Inv Doc ID number to open

82Error List
When Pocket Venice cannot successfully complete
the sync process for a transaction, the
transaction appears on the Error List. The System
Administrator or All Systems User should monitor
these errors to ensure that they are resolved and
the transaction data is added to the WebVenice
database.
Click the PocketVenice menu option, then click
Errors.
Click the Error List tab to view a list of
transactions that did not successfully complete
processing.
Only the System Administrator or All Systems User
can view the Error List. The Error Detail tab is
not currently active.
