Naming and Renaming Documents
  • There are no subfolders in your either your
    workarea or your attachments directory. As a
    result, hundreds of documents could exist in your
    workarea, and hundreds more in your attachments
    directory. Accordingly, following this naming
    convention will help you differentiate your
    documents and attachments from other documents
    and attachments. It will also prevent two
    employees from choosing the same name for
    different documents, and thereby prevent the
    overwriting of your files.
  • When saving a New Data Record, you will be asked
    to type a file name in the File Name box. The
    following rules must be followed when naming all
    documents and attachments.
  • Use lower case, except for the Division name.
  • Do not use spaces, use underscores instead.
  • Use only alphanumeric characters (letters and
    numbers), with the only exception being
    underscores instead of spaces.
  • If you are naming a DCR, you must enter (.dcr) as
    the file extension at the end of the name. If you
    are naming an attachment, normal Windows file
    extensions apply.
  • The following naming conventions apply
  • div_dept_doc_date.dcr
  • div your division abbreviation
  • dept your department abbreviation
  • doc document title
  • date date, shown as mmddyy (May 3, 2001 would be
    050301)

Naming and Renaming Documents
  • You must follow TeamSite naming conventions when
    naming and renaming both documents and
    attachments.
  • 1. If you are renaming a DCR, navigate to the
    templatedata directory. If you are renaming a
    BWD, navigate to your workarea. If you are
    renaming an attachment, navigate to the
    attachments directory.
  • 2. Check the box to the left of the file that you
    want to rename.
  • 3. Choose "Edit -gt Rename."
  • 4. In the Rename File window, change the file's
    name that is listed under the "New Name" heading.

  • 5. In the Rename File window, click the Submit
    button.
  • 6. Close the Rename File window.
  • 7. Click the Refresh button.
  • 8. Note that if you have renamed either the BWD
    format of a document or the DCR format of a
    document, both the DCR and BWD formats are
    renamed.
  • 9. Note that if you have renamed an attachment,
    any document references to that attachment are
    not automatically updated. In this case, you must
    start a job to edit any document

Adding, Editing, and Formatting Text within a
Template
  • Basic Text Formatting within any TeamSite
    template, you can create
  • Bolded Text
  • Highlight the text you want to bold
  • Click the "B" button at the top right of the
    TeamSite Templating window or press Ctrl B.
  • Italicized Text
  • Highlight the text you want to bold
  • Click the "I" button at the top right of the
    TeamSite Templating window or press Ctrl I.
  • Underlined Text
  • Highlight the text you want to bold
  • Click the "U" button at the top right of the
    TeamSite Templating window or press Ctrl U.

Data Content Records (DCRs)
  • Every document that is published to BlueWeb
    exists in two different file formats. One file
    format is for people using TeamSite and the other
    file format is for people using BlueWeb.
  • When you are creating or editing a document in
    TeamSite, you are using a DCR. When you are
    viewing that same document on BlueWeb, you are
    viewing a BWD.
  • Similarly, if you were to have the same document
    on a floppy disk and on a sheet of printed paper,
    it would exist in two different formats. The
    floppy disk format would allow you to make
    changes to the document. The paper format would
    allow other people to see the document.

DCRs
  • DCRs are exist once you first create your
    document in TeamSite. Once your document is
    approved, the BWD format is created and that BWD
    is published to BlueWeb. Returning to the "disk
    versus piece of paper example," you can save your
    document on a disk, but your document only exists
    on paper once you review it and send it to your
    printer.
  • You might wonder what the acronyms DCR and BWD
    mean. DCR stands for Data Content Record. BWD
    stands for BlueWeb document.
  • All DCRs are located in the templatedata
    directory. All BWDs are located in your workarea.
  • Just remember, DCRs and BWDs are two different
    formats of the same document. DCR is for TeamSite
    and BWD is for BlueWeb.
