  • Enter your user name
  • Enter your password
  • User name and password are set up first in
    Purchasing
  • Practice - If you would like to access the
    training site, please contact Purchasing, 94224,
    for further information

Home Page
  • After logging in you will see the Home page.
  • To view requisitions waiting for your approval
    click on My PR Approvals in the Review box on
    the left side of the screen or click on the
    Approvals tab at the top.

Assign a Requisition to Yourself
  • Click on the Select box 1 on the right side
    of the shared department folder. Then click Go
    2 for the Assign 3 action.
  • The requisition will move to the My PR
    Approvals folder. It will be assigned to you.

My Purchase Requisition Approvals
  • For Your Information
  • You can view requisitions that are in either the
    shared department folder or the My PR Approvals
    folder.
  • Assigning a requisition to the My PR Approvals
    folder allows you alone to work on the
    requisition.
  • Items may only be rejected when the requisition
    is in the My PR Approvals folder.
  • Some catalog suppliers may not allow rejection of
    one line vs. all items. This is configured by
    each catalog supplier.

View a Requisition Before Approval
  • Click on the requisition number to view the
    requisition.

Requisition Header
  • On the requisition summary header you can view
  • Prepared By
  • Banner Account Codes
  • Scroll down to see the lower section of the
    requisition

Requisition(continued)
  • On the lower portion of the requisition you can
    view
  • 1. Internal notes from the requestor
  • 2. The Supplier
  • 3. Line items
  • Summary or line details

Line Item Details
  • To switch between the details or summary of each
    line click on the Hide line details / Show
    line details

Add Notes to History
  • Select Add Notes to History from the Available
    Actions
  • Click the Go button
  • Enter your note
  • Click the Attach button

Viewing the History Log
  • The history log shows information for each step
    in the process. Read it from the bottom up.
  • The notes from approvers or requestors are on the
    right side.

Viewing Requisition Status
  • To see the workflow click on the third level tab,
    PR Approvals.
  • Top level tab is approvals
  • Second level tab is requisitions
  • Third level tab is PR Approvals
  • You can see which steps have already taken place
    and which are still to be done.

Reject one or more line items
  • As an Approver, if you wish to reject an item or
    all items, you do it at the line item level.
    Check the appropriate items and click Go next
    to Reject Selected (All) Items.

Approve and Complete Requisitions
  • Once you have reviewed the line items and
    accepted or rejected them, go to the Available
    Actions, at the top of the requisition and
    Approve/Complete your action at the line item
    level. Then hit Go.

History Search
  • To search for requisitions (or POs) select the
    top level history tab.
  • Searches can be conducted by selecting category
    criteria in the boxes in the top section. Or a
    search can be narrowed by checking the filter
    box and selecting additional parameters in the
    lower section.

Email Notification
  • Email notification will be sent directly to the
    individuals involved with the approval process,
    if they wish.
  • Select this option in the email notification
    section of the profile.

Profile and Changing Password
  • You can set email preferences in your profile.
  • You can change your password in you profile. Just
    click on the Change Password button in the
    Profile tab.

Setting email Notifications
  • As an approver you can set your profile so you
    receive an email notice when you have a
    requisition to approve.
  • It is not necessary to receive email notices.

eBucs
  • eBucs is ETSUs electronic purchasing system. The
    host company is SciQuest, a Banner partner. eBucs
    interfaces with Banner to check budget and create
    encumbrances.
