Proposed process to submit regulatory items
  • Submitting company completes Regulatory Change
    worksheet
  • Completed worksheet is forwarded to Regulatory
    Chairperson, who will assign tracking number and
    forward to XyberNET President for initial
    comments
  • XyberNET will respond to Regulatory Chairperson
    within one week either with initial comments or a
    timeframe when comments will be received
  • When received, Regulatory Chair will send to
    representative from all companies using the
    affected system
  • Original request for regulatory change
  • XyberNETs initial comments

  • All interested companies review and send comments
    to Regulatory Chair within 2 weeks
  • Regulatory Chair compiles consensus of comments
  • Results are forwarded to XyberNET President for
    review
  • Within two weeks XyberNET communicates to
    Regulatory Chair an opinion of acceptance, change
    or rejection or a timeframe when that opinion
    will be received
  • When received from XyberNET, Regulatory Chair
    communicates the opinion to the representative of
    each company using the affected system

  • If users and XyberNET agree to requested change
  • Within 1 week of communicating opinion, XyberNET
    communicates delivery date for design document
  • Upon completion, design document will be sent
    to Regulatory Chair, along with date, time and
    call information for conference call
  • Regulatory Chair will forward design document and
    conference call information to originating
    company and representatives from each company
    using the affected system
  • Two weeks allowed for client review
  • Above conference call will be scheduled for
    middle of week 2

  • Once finalized, Regulatory Chair and XyberNET
    sign design doc
  • Signed document is forwarded to all companies
  • Within 1 week of receipt of approval, XyberNET
    will communicate a delivery date for completed
    project
  • Every reasonable attempt will be made to complete
    project in accordance with client requested
    timeframes
  • Retro fits to additional / different release will
    be discussed and coordinated by XyberNET on a
    client by client basis

  • If users and/or XyberNET DO NOT agree requested
    change is regulatory
  • Request and arguments are returned by company in
    disagreement to originating company, Regulatory
    Chair, XyberNET and all responding companies.
  • Within 1 week of receipt of notice, all
    participating companies are asked to submit to
    originating company and Regulatory chair
    additional documentation in support of their
    position (positive or negative).

  • Originating company modifies documentation and
    resubmits to responding companies for review.
  • Final document is sent to Reg Chair and XyberNET
    for review.
  • Within 2 weeks XyberNET will communicate final
    decision.

  • In the event of a disagreement between users and
    XyberNET
  • Special meeting can be called by Regulatory Chair
    to discuss and decide what actions need to be
    taken
  • Every effort will be made to come to a final
    resolution on this item during the meeting
  • If a decision cannot be reached, an action plan
    and timeline will be agreed upon
  • Assignments will be made to bring issue to
    closure

  • To make this work
  • User Group Chairperson should be copied on all
    correspondence
  • All companies should act quickly at each step
    along the way
  • Give as much notice of impending issues as
    possible
  • Review items internally with all
    affected/interested parties
  • Make a corporate commitment to the process
    overall
