Since Resource Central integrates fully with
Microsoft Outlook, your users will be able to
start utilizing all the features and benefits
with minimum training. 1st step begins within
the calendar of Microsoft Outlook. Drag a time
slot / right-click with your mouse and youre
half way there!

Fill out the standard Microsoft Outlook meeting
request as you usually do. Type in the agenda for
your meeting and select the internal attendees
via the Global Address List. 2nd step begins with
the activation of ResourceFinder. ResourceFinder
will help you locate the meeting room that fits
your needs nothing more or less.

3rd step is the actual usage of
ResourceFinder. ResourceFinder will provide you
with a RealTime overview of the meeting rooms
which you have access to this is controlled by
the Outlook permission settings. You can limit
the list of resources by location, capacity,
definition or a combination of them all.(This
configuration is customizable)

Should you not be able to recognize the meeting
room or if it is the first time youre trying to
book it then you can get more detailed
information just by clicking on the actual
meeting room in ResourceFinder. The layout of
this is fully customizable and is based out of
html. You can use the standard html editor in
Resource Central or your favorite application
such as Microsoft FrontPage or similar products.

During the 4th step the Microsoft Exchange server
will send a booking response back to you, since
the meeting room is defined as a resource on the
Exchange server. The days with double bookings
are over count on that! Youll be prompted at
this stage should there be a conflict.

The 5th step is an automated email from Resource
Central which is based on the booking that you
just made. Resource Central reacts on all the
events which are happening on the resources -
defined on the Microsoft Exchange server. If you
need any associated services in regards to the
meeting and the booked meeting room just click on
the button displayed in the email thats all!

During the 6th step youre presented with the
order form which is attached to this meeting
room, a group of meeting rooms or all meeting
rooms defined in Resource Central. The order form
is based on html also, meaning that your
creativity is the only limitation to what the
order form is going to look like. You decide if
you want to use your favorite html editor or the
standard one in Resource Central.

After youve filled out the order form with the
needed services you just need to push the Send
order button. After doing so, Resource Central
will send emails to all people who are required
to provide any services for this meeting. This is
based on the location of the meeting room. All
items can also be attached with a price and this
will enable Resource Central to allocate costs
based on the individual meetings.

Did you forget to order the services for your
meeting or do you just want to see if the
catering has been declined or confirmed? At any
time thats convenient for you just click the
My meetings button in Microsoft Outlook and
this will generate the overview for you.Here you
also have the ability to change your order etc.

13The administration interface
?
The service providers dont need to reply to
their notification email. Theres an interface
for their convenience too. If youre to provide a
service for an Enterprise organization then you
need a tool which is capable at handling this.
This is one of ResorceCentrals many
advantages. Here youll get an overview for the
orders and services which youre responsible for
and need to deliver at a certain time. The user
definition here can be attached to the Active
directory.

14The administration interface
?
The notification emails are really good for -
notification! When were talking about an
Enterprise organization then the service
providers dont need to only rely on emails. We
have predefined reports as a standard platform in
Resource Central however you can also create
your own custom reports.Either by utilizing the
SQL based interface or 3rd party tools such as
Excel, Access or Crystal Reports etc.

15The visitor module
?
When youve registered your external attendees on
the order form they will appear automatically in
the visitor module. The front desk will be able
to welcome visitors, printout badges with or
without Picture ID, scan barcodes and register
them as arrived. Badges can also be printed out
in advance as this will ease the registration
process.
