Heres a really big spreadsheet showing paper use
from January through December 2006. Youll make
it fit on one page by highlighting the area to
print, then selecting it in File gt Print Area.

Then you go to Print Area gt Set Print Area.

Then click Print Preview to see how it will
appear on your printed page.

Here are other tricks to make your Excel
spreadsheet fit the page without wasting paper.

First click on Print Preview to see how your
spreadsheet will look as its set up currently.
Only the first two columns show this isnt what
you want!

Go to Page Setup to see how its set.

Its set to Portrait orientation and Letter paper
size. That can be changed.

Change it to Landscape and Legal. Then go back
to Page Preview to see how it looks.

This is better, but the two far-right columns
still arent printing on one page.

Scroll down a little and youll see theyre going
to print on a separate page. What a waste of
paper that would be!

Fix it by using the Scaling feature in Page
Setup. Click the Fit to button and enter 1
in page(s) wide. Take out any number that
appears in by page(s) tall. Then click OK.

Check Print Preview to make sure all your columns
will print now. Yes they will.

But your headings only show on the first page.
Its a long document -- your reader might forget
what each column contains unless you label the
columns on all pages.

Theres an easy way to make column headings
appear on each page. First go to Page Setup gt
Sheet gt Rows to repeat at top.

Now click on the document icon at the right of
Rows to repeat at top.

The program prompts you to enter which rows you
want to repeat at the top of each page.

Click on the 1 at the left of the first row to
automatically enter the Rows to repeat at top.

Now click on the icon to return to Page Setup,
where youre still on the Sheet tab.

Click OK.

To verify that your pages look the way you want
them to, go to Print Preview and scroll down.
The first row is repeated on each page,
displaying column headers on each page of the
printed spreadsheet. Success!

And if you decide you dont want to print the
entire document, its easy to print only a
selected area.

Use the cursor to highlight the area you want to
print

Then go to File gt Print Area gt Set Print Area.

To verify that youve selected the area you
really want to print, go to Print Preview to see
the portion that will be printed.

If you want to clear or reset the print area,
just return to File gt Print Area.
