2International Relations Management Structure at
The University of Zimbabwe
- The University of Zimbabwe has a decentralized
system for the management of international
relations
3The International Relations Committee
- It is a Committee of the University Senate
- It works in close liaison with the International
Relations Office in administering the
Universitys co-operation agreements with
international institutions of higher education,
research and training institutes and other
relevant organizations. - Its specific role is the approval, coordination,
monitoring and evaluation of co-operation
agreements between the University and its
international partners.
4- On occasions, the University appoints ad hoc
committees to administer and manage specific
donor funded projects. - Such committees normally assume an oversight
role, hence their name Oversight Committees. - Oversight Committees are normally appointed in
cases where the projects are huge in terms of
their funding, significance and relevance to the
development and/or mission of the institution.
5The International Relations Office
- The Office reports directly to the Vice
Chancellory and plays a central and supportive
role in the administration and management of the
Universitys international affairs - It is the secretariat to the International
Relations Committee - It provides a central contact point for
international students
6- It facilitates and manages, in close liaison with
the International Relations Committee, the
Universitys inter- institutional agreements - It maintains a data base of the Universitys
Memoranda of Understanding and Agreement - It markets the Universitys programmes, research
and teaching expertise
7- It stimulates the development of
internationalization in all aspects of the
Universitys activities (research, learning,
curriculum development, staff and student
recruitment) - It liaises with the international offices of
other institutions of higher education on matters
of mutual interest - It coordinates the activities of the University
Science, Humanities, and Engineering Partnerships
in Africa (USHEPiA), the International Human
Rights Exchange Programme (IHRE), the Eastern and
Southern African Research Programme and other
University donor funded projects.
8With respect to students, the Office
- Is the first port of call for international
inquiries, forwarding as appropriate - Assists students with the procurement of visas
- Is the contact point for international students
with respect to academic and non academic issues
9- Develops an off campus housing resources list
- Assists international students secure
accommodation - Provides support and guidance to the University
of Zimbabwe International Students Association
and local students clubs/associations whose
activities have an international focus
10- Provides a resource centre on international
universities and education opportunities for
local students - Develops exchange opportunities for local
students - Provides information materials for local and
international students and - Develops services to enhance the academic
experience of international students.
11For staff, the Office
- Raises the profile of internationalization at the
University - Assists with negotiating inter-institutional
agreements - Streamlines the administration of international
students - Assists with the recruitment of international
students
12- Markets programmes and courses to international
students - Provides a resource centre on international
universities and educational opportunities and - Assists with contact and sabbatical leave
placements.
13Faculties/Institutes/Centres
- International Agreements can be signed between
Departments, Faculties, Institutes or Centres. - Efforts to establish International Agreements can
be initiated by any staff member. - While encouraging international research and
teaching links, every effort should be made to
ensure that agreements contribute towards the
Universitys mission, providing direct benefit to
the University staff and/or students.
14Agreements can be
- Those of strategic significance to the
University. These are signed by the University
Executive. - Purpose specific institution to institution
agreements (those with financial implications to
the University must be submitted to the
International Relations Committee for approval)
15- Research or teaching collaborations facilitated
by department to department or faculty to faculty
agreements. These are negotiated and signed by
the Deans or Heads of department with copies
lodged with the International Relations Office). - Those with financial implications to the
University must be submitted to the International
Relations Committee for approval.
16Academic Registry Department
- The Department, through its Student Admissions
and Student Records and Registration sections is
responsible, in cooperation with the
International Relations Office, for the admission
of all students (local and international) and the
maintenance of student registration and academic
records.
17The Specific Funds Office, Bursars Department
- It is the custodian of international benefactor
funds. - It administers and manages, on behalf of, and in
close liaison with fund beneficiaries, funds
donated to the University for Specific Projects
or programmes. - While some projects/programmes have their own
finance officers (in order to ensure flexibility
and speed of operation), the Specific Funds
Office takes overall charge of the funds

- It comprises a public relations expert
- It publicizes Universitys Events (Gives Press
Release) - It monitors the information outflow
- It publishes a monthly newspaper in English,
Amharic(Official Language of the Country), and
Tigrigna(Local Language of the Region)
20- It prepares workshops, panel Discussions etc on
current issues - It builds the image of the University
- It receives and guides guests
- It posts letters, posters etc from the offices
out of the University
21Information Desk
- It comprises an information desk secretary
- It gives information to any stranger to the
University - It makes available journals, books, pamphlets,
etc from insiders and outsiders
22Audiovisual Center
- It comprises two cameramen and two audiovisual
professional - It documents all events in the University
- It prepares banners, posters, documentary films
to promote the University and events - It offers audiovisual services to all offices of
the University
23International Relations Office
- It comprises an International Relations Expert
who is responsible to International relations - It makes links with donors, Universities,
governmental and nongovernmental organizations

- Duties and responsibilities
27- Ensures that institutional culture are developed
and maintained inline with the mission of the
university - Ensures that university environment is properly
communicated to the government, society, etc - Ensures that university programs, products and
services are effectively marketed - Ensures that museums containing
models/collections of national (or international
or institutional) historical, natural, and
cultural values are established and administered
28- Ensures that all events in the university are
properly organized, communicated, implemented and
registered - Initiate and inculcate team sprit in the office
to accomplish effectively and efficiently the
teaching-learning and research and community
service activities at the university - Ensure collective integrity, responsibility and
accountability for every activity of the office - Ensure recognition of creative performance and
out come.
29Reporting
- Accountable to the President
30- At least second degree in fields of communication
and marketing and related fields with rich
experience public relations - Must have experience in communication and
promotion policy - Must demonstrate the capacity to lead
communication projects - Must have an understanding of national and
international policies and agreements related to
communication management
31- Must have a demonstrated capability in
institutional communication, including
fundraising and legislative relations
32Requirement, experiences and qualification
33Term of office
- The Director is a full time post (no teaching and
no research during working hours of the
university). - Appointments will be subjected to a one year
probationary period and lasts for five years and
may compete for a second term.
