  • The purpose of this module is to give ACC
    faculty and staff an overview of the equipment
    found in an IVC classroom. Details on IVC
    equipment operations are available in subsequent
    modules.

  • Local (Near) Site the site you are located at
  • Remote (Far) site the site you are sending a
    signal to (Note TV monitor images at the front
    of the room display the near and far sites)
  • Origination site (where the instruction
    originates from)
  • Destination site (where the instruction is
    delivered to)
  • Dialog box is a small screen that appears on the
    AMX touch panel once an option is selected

Rooms-AMX
  • Polycom AMX Rooms use an AMX Touch Screen
    controller to control the rooms equipment. AMX
    rooms can be found at all ACC campuses except
    Cypress and HBC. AMX rooms are located at

Rooms-VTEL
  • The equipment in VTEL rooms is controlled by a
    Penpal controller. This controller uses a pen
    device to activate various room cameras and
    equipment.
  • VTEL Rooms are at the following locations

  • HBC 301.3
  • EVC 3203

between VTEL and Polycom AMX Rooms
  • The main differences between VTEL and AMX
    Polycom rooms are the following
  • Polycom AMX rooms use a Touch Panel Controller,
    VTEL rooms use a Penpal.
  • Polycom AMX rooms have Dell PCs, VTEL rooms have
    VTEL PCs

(Polycom and VTEL)-Monitors and Video Projectors
  • Monitors and Video Projectors display both the
    Local and Remote sites. There are two monitors in
    the front of the IVC room and one monitor in the
    back of the room. The monitor in the back of the
    room displays the remote site.
  • One of the front monitors displays the local
    site and the other displays the remote site.
  • Some of the Polycom AMX Room Monitors are high
    resolution Sony Plasma Monitors.
  • The EVC Health Sciences Building I (8263) and
    HSB II (9229) and HBC 103.6 use a video
    projection system.

(Polycom and VTEL) Cameras
  • The Instructor camera is located in the back of
    the classroom. It has zoom, tilt and pan
    controls. It also has Instructor Preset Settings.
    The instructor camera is controlled by the AMX
    touch panel (Polycom rooms) or the Penpal
    controller (VTEL rooms)
  • The Student camera is in the front of the room.
    It can be adjusted manually via the instructor or
    the students can automatically focus the student
    camera by pressing the Push to Talk Microphones.

Camera, Elmo
  • The Document camera (Elmo) is located on the
    Instructor Console. It is an overhead projector
    with a camera which displays whatever is on the
    document camera. Images placed on the overhead
    projector can be viewed on the monitor or video
    projector to both the local and remote sites. The
    instructor can control the document cameras
    zoom, color, and camera focus.

Camera, Elmo
  • An instructor can switch between the upper
    and base lamps of the Document Camera (Elmo),
    switch between Black and White and Color, adjust
    the focus, and zoom in and out. In addition, the
    camera head of the projector can be adjusted to
    display items too large to fit on the document
    camera glass display area.

  • The Instructor microphone is located on the
    instructor console at the front of the room. It
    is a high powered omni-directional microphone
    that can be muted. When it is muted the Remote
    Site can not hear the Local Site.
  • The Student Microphones are located on the
    students desks. These microphones are operated
    by a Push-to-Talk mechanism. When the button on
    the microphone is pressed, the student camera
    automatically zooms and adjusts to the location
    where the button was pressed.

  • The Polycom Speakerphone is located on the
    instructor console.
  • It can be used for audio conferences or to
    maintain a Local to Remote site connection in the
    event that an IP connection is lost.
  • The speakerphone is available in all AMX rooms
    and some VTEL rooms.

  • The DVD/VHS Player is located on the equipment
    rack (generally on the left side) below the
    instructor console. The DVD/VHS Player allows the
    instructor to use a variety of multimedia in the
    IVC classroom (Note All IVC rooms have a combo
    VHS/DVD player).
  • The VHS Recorder is located on the opposite side
    of the equipment rack as the DVD/VHS player
    (generally the right hand side below the
    instructor console). The VHS Recorder enables
    instructors to record IVC class sessions.

  • PC Software Applications enable the instructor
    to use a variety of programs in the Interactive
    Video Classroom (Powerpoint, Word, Excel, etc.)
    as well as access the Internet via a high speed
    IP connection.

  • The SmartBoard is located at the front of the
    IVC room. It allows instructors to display text
    written on the whiteboard.

  • The Fax Machine enables instructors to send
    and receive the following fax documents
  • assignments
  • exercises
  • lessons
  • activities
  • course documents
  • assessments
  • IVC Fax numbers are pre-programmed on the fax
    machine.

Preparing the Room
  • Access the IVC room by pressing the 3 digit code
    on the front door. These codes are generally
    changed at the beginning of each semester.
  • To obtain a room access code, contact Dick
    Anderson at rcand_at_austincc.edu or 223-8072.
  • Turn on room lights.
  • There are a set of lights over the instructor in
    the front of the room and another set over the
    students. There are two types of room lights
    florescent and incandescent.

Polycom Equipment
  • If any of the equipment console rack lights is
    OFF, switch them on
  • The Polycom IVC room equipment racks should
    remain ON at all times so instructors will not
    have to turn the equipment ON or OFF.
  • The IVC only needs to turn off the monitors and
    the Elmo document camera at the completion of a
    class session

  • Video Projectors or Monitors in AMX Rooms
  • If you are in an AMX Touch Panel Room, and the
    Touch panel is dark, it is in hibernation mode.
  • Touch anywhere on the screen and it will change
    from hibernation mode to operational mode.
  • Select the Monitor Power Icon in the upper left
    corner of the screen
  • Press the All Monitor option in the middle of
    the screen (within the Monitor Power dialog box)
    of the AMX Touch Panel
  • Video Projectors or Monitors in VTEL Rooms
  • Remove remote control device from the top right
    hand drawer of the instructors desk console
  • Point the remote at the monitors or projectors
    and turn them on, or turn the monitors on
    manually

  • Turn on the document camera (Elmo) by pressing
    the button on the side of the camera
  • Some Elmo Document Cameras have the ON/OFF switch
    on the top right hand side of the camera

  • The computer should already be on but if not,
    press the power button on the CPU.
  • Note Do not turn off the computer at the end of
    class. The computers CPU should remain on at all
    times.

Rooms- AMX Panel
  • The AMX Touch Panel operates all of the
  • Equipment in Interactive Video Classroom.
  • The top of the screen contains the local, remote
    and desktop computer screens.
  • The middle of the panel is where an instructor
    turns on the monitor, and controls the settings
    for the student camera, the instructor camera and
    the multimedia equipment
  • The bottom Local Source Panel (Green section) is
    the primary area the instructor will work in.
    This is where all the room cameras can be
    switched.

Local Source Controls
  • From left to right, the icons on the Local
    Source panel are the following
  • Student Camera
  • Instructor Camera
  • Document Camera
  • Desktop Computer
  • VCR Player
  • DVD player
  • The camera, VCR and DVD control icons are
    immediately above the Local Source Panel.

Room Equipment
  • General Polycom Room Equipment
  • IVC Polycom AMX rooms are equipped with a
    student camera, an instructor camera, an AMX
    Touch Panel controller, student and instructor
    microphones, monitors or projectors, a Dell
    computer, a document camera, a Polycom
    speakerphone, a fax machine, a DVD and VHS
    player, a Smartboard, a VHS recorder, stereo
    surround sound equipment and an Internet Protocol
    (IP) connection.

Instructor Console
  • Polycom AMX Room Instructor Console
  • The Polycom AMX room instructor console is
    equipped with an AMX Touch Panel controller, an
    instructor microphone, a Dell computer, a
    document camera, a Polycom speakerphone and a fax
    machine.
  • Note some of the AMX rooms (e.g. EVC-HSB,
    have small video monitors which display the
    remote site. These monitors are located on the
    instructor console)

Dell PC
  • Polycom AMX rooms are equipped with Dell Personal
    Computers. These computers function just like a
    regular PC.
  • The operating system for this computer is
    Microsoft XP and it has MS Office 2002 software

AMX Smartboard
  • The Polycom AMX Room Smartboard is controlled
    from the AMX Touch Panel. To display text,
    Instructors need to do the following
  • Select the Desktop Computer Icon (AMX Touch
    Panel)
  • Select the Smartboard Notebook Software icon on
    Dell computer desktop
  • Smartboard handwritten text and graphs will be
    displayed on the Local and Remote monitors.

Penpal Controller
  • VTEL rooms use a Penpal Controller to operate the
    IVC equipment.
  • Instructors work primarily in the green section
    (right half of the tablet) and select the
    numbered icons to operate the room equipment.

  • The numbered icons switch the room cameras and
    display the camera selected to both the local and
    remote sites.

  • VTEL room consoles are equipped with a VTEL
    Penpal controller, an instructor microphone, a
    VTEL computer, an Elmo document camera, a
    telephone, and a fax machine.

  • If the VTEL Room Equipment Rack is locked use
    a key in the upper right hand drawer of the
    instructor console desk and unlock the cabinet

  • The VTEL Room Equipment Rack is equipped
    with the following
  • VTEL computer
  • Stereo receiver
  • DVD/VHS player
  • VHS recorder

VTEL Equipment
  • Open cabinet if needed
  • Check the top red button (master switch) and
    verify the red button light is on (illuminated)
    NOTE There is a master switch for both racks so
    be sure to turn both the left and right master
    switches (rack riders) on
  • If any of the console rack lights is OFF, switch
    them on
  • Polycom room equipment racks should remain ON at
    all times

VTEL PC
  • VTEL rooms are equipped with VTEL Personal
    Computers which use a VTEL propriety based CPU
    and Windows 95 operating system.
  • Note if you have created documents or
    Powerpoints, etc. with MS 2000 or above, they may
    not work on the VTEL system. Check with your
    facilitator before the beginning of class.

Troubleshooting IVC Technical Issues
  • Step 1 Try to fix the problem. Verify that all
    the equipment is turned on.
  • Step 2 The room facilitator trouble shoots the
    issue.
  • Step 3 If instructor or facilitator can't
    resolve the problem, the facilitator will contact
    the Video Services Help Desk at the following
    number 223-8146 or (888)935-2006
  • Step 4 If the Video Help Desk can't solve the
    issue, theyll send people to the IVC room to fix
    it.
  • Note All IVC room phone numbers and help
    desk contact numbers are on the instructor
    console

Module 2 Intro to IVC Equipment Role of the
IVC Facilitator
  • Facilitators are the liaison between the
    instructor and the remote location students.
    Facilitators also help to troubleshoot equipment
    issues.
  • Facilitators coordinate the operations of an IVC
    class from a remote site.
