n s   The Asia Electronics Exhibition in Shanghai
2013 (AEES 2013) will provide you a perfect
platform to present your latest achievements in
electronics products for both consumer and
industrial uses. For rounding-up your marketing
activities exhibitors will be able to utilize the
AEES SUMMITfor lectures. We like to ask you
further here-by to fill-in the application form
and enclosed Product Index carefully and
sufficient. Specific hall regulations and further
information for your preparations will follow
with the Exhibitors Manual.
  • 1.   Deadline for application Oct. 8th, 2013
  • 2. Terms of participation
  • 2.1 Shell Scheme (min. 9 sqm) US 2520/per 9
    sqm booth
  • 2.2 Stand Space only (raw space) (min. 36 sqm)
    US 260/per sqm
  • Registration of Co-exhibitors
  • A compulsory registration-fee of US 100,-- for
    each co-exhibitor will be charged for listing in
    the Fair Catalogue and in other related promotion
    material.
  • 4.   Services for the participants
  • 4.1 Specific Services for stand space only (see
    2.2)
  • Booth-allocation within the hall (minimum 36
    sqm)

4.2 Specific Services space plus shell scheme

exhibitor.   All materials and the total
equipment are provided for the duration of this
event on a rental basis only. 4.3.           Gene

GENERAL RULES AND REGULATIONS FOREXHIBITORS

  • Application and Admission
  • (please fill the blank with the name of your
    organization)
  • 1.01 Application for participation which also
    certifies acceptance of these Rules and
    Regulations for Exhibitors, can be made only by
    means of the completed application form, duly
    endorsed with a legally binding signature. This
    application form must be received by ________ .
    within the specified time limit. The application
    is legally binding, independent of admission.
    Terms and reservations added to the application
    are not permissible and have no validity.
  • 1.02 The closing date for application for each
    event can be found in the enclosed Special
    Rules and Regulations for Exhibitors.
  • 1.03 Receipt of the application will be confirmed
    in writing by ________ The application and
    written confirmation of receipt do not
    constitute a right to admission or to a specific
    size or position of stand. In particular,
    ________can reduce the area applied for, if the
    available exhibition area is oversubscribed.
  • 1.04 The applicant will be admitted
  • - according to the available exhibition area
  • - provided he meets the given requirements in
    these General Rules and Regulations for
    Exhibitors and the Special Rules and
    Regulations for Exhibitors
  • - provided his exhibits comply with the general
    overall range and concept of the joint
    companies exhibition.
  • 1.05 Companies which have not fulfilled their
    financial obligations in connection with
    previous events can be refused admission.
  • 1.06 The contract between ________ and the
    exhibitor is binding upon acceptance of the
    application. A plan showing the location and
    dimensions of the stand will be enclosed with
    the acceptance. ________ is not liable for
    dimensional differences or variations which may
    occur between the plan and the actual size of
    the stand .
  • 1.07 After admission has been granted,
    ________________ may allocate to the Exhibitor
    an exhibition space other than the one specified
    in the admission if such re-allocation is
    required to preserve the overall concept in the
    event that all the exhibition space provided by
    _________ is not rented and a space essentially
    equivalent in size and location is made available
    to the Exhibitor.
  • No liability can be assumed in the event that
    _____ is compelled due to extraordinary
    circumstances beyond ist control such as orders
    by public authorities or instructions by the
    trade-fair or exhibition management to relocate
    or alter individual stands or exits entrances or
    gangways.
  • 1.08 After admission has been granted by ______
    the registration and resulting financial
    obligations remain legally binding even if, for
    example the exhibitors import wishes are not
    met or are met only partially by the responsible
    authorities. The exhibits do not arrive at all
    or do not arrive in time for the event (for
    exampleg due to loss, transit or customers
    delays), entry visas for the exhibitor or his
    representatives are not available in time.
  • 1.09 if the exhibitor or his representatives do
    not take over the stand at least three days
    before the opening of the event, then the stand
    can otherwise be disposed of in this case the
    No. 5.0.3 of these Rules and Regulations for
    Exhibitors is applicable.
  • 1.10 ________________has the right to revoke
    admission if it was granted on the strength of
    incorrect information or if the conditions for
    admission are no longer applicable .

  • 2. Sub-Tenants
  • 2.01 Stands are assigned principally as whole
    units and to one contracting party only. Only
    after prior written consent from ______ does this
    party have the right to accommodate other
    exhibiting companies, which must be named in
    advance as sub- tenants on his stand. ______
    grants permission only after the sub- tenant
    companies in question have accepted in writing
    the General Rules and Regulations for
    Exhibitors. The sub-tenant is subject to the
    same conditions as the principal exhibitor.

5.03 Following admission (1.06), withdrawal or
reduction of the exhibition space by the
Exhibitor shall no longer be possible. In the
event that the Exhibitor fails to occupy the
exhibition space allocated to him, he shall  
- pay the entire participation fee, provided that
the space cannot be other- wise rented by
______ - pay 50 percent of the participation
fee, however, no more than USD 500 , provided
the space can be othenwise rented by
__________ 5.04 Withdrawal by the Exhibitor or
failure to occupy the exhibition space allocated
to him (5.03) shall become effective only upon
receipt of the written declaration by
________   6. Stand Equipment, Design and
Inscriptions Equipment and the individual
design of stands, provided they exceed the
services named in the Special Rules and
Regulations for Exhibitors are the
responsibility of each individual exhibitor.
The building regulations in force for the
location of the event, as well as ______ building
directives are, however, the decisive factors
for the type of design. The exhibitor is obliged
to have his design plans approved in advance by
the ______. A stand design which does not comply
with building regulations in force for the
location of the event, or with ______ building
directives can be removed or altered by ____. at
the expense of the exhibitor.   7. Exhibits
All exhibits are to be listed individually and
described exactly in the application. Exhibits
involving fire hazard, strongly smelling
exhibits or those which cause noise during
demonstration may be displayed only after prior
consent from ______. Exhibits may not be removed
during the exhibition. The Exhibitor agrees to
provide for proper care and staffing of his
stand throughout the entire duration of the
event.   8. Transport, Erection and Dismantling
of Exhibits and Stand Equipment The transport
of exhibits to and the display stand, storage of
empty packaging materials the use of lifting
and conveying equipments the employment of staff
for packing and unpacking, for erecting and
dismantling exhibits, the re-packing and any
other related activity are all exclusively the
responsibility of the exhibitor. Liability of any
nature whatsoever of ______. in this connection
cannot be accepted. An official forwarding
agent can be appointed by ________________for the
handling of all carrier activities.   9.
Customs Guarantee Declaration Should an
official representative of the exhibitors
country abroad give a declaration guaranteeing
reexport, then the exhibitor is directly liable
to the representative abroad if, after closure of
the event, exhibits are not exported within the
appropriate time limit and/or are not exported in
their entirety.   10. Insurance and
Liability 10.01 The insurance of exhibits
against all risks during transit and during the
exhibitions particularly against damages theft,
etc. is only the responsibility of the
exhibitor. 10.02 The exhibitor is liable for all
damages caused to third parties through his
participation in the exhibition, including
damages to buildings on the exhibition grounds,
the exhibition grounds themselves and
installations. 10.03 ________________in no way
whatsoever liable for damage to persons or
property. In particular, ________________is not
liable for damage to or theft of exhibits even in
cases where they take over stand building or
display work. Moreover, through acceptance of
these Rules and Regulations, the exhibitor
expressly releases ________________from all
claims for recovery of damages by third
parties which might arise.   11. Circulars
After stand space has been allocated, exhibitors
will be advised by circulars on questions
concerning preparation and organisation of the
joint exhibition. The exhibitor alone is liable
for any consequences arising from nonobservance
of these circulars.   12. Reservation 12.01
Regulations and guidelines issued by responsible
agencies of the host country that deviate from
these Rules and Regulations for Exhibitors or
cause additional limitations shall have priority
at all times. The organizers of the trade fair
and/or the lessor of the exhibition grounds and
______ shall not be liable for damages nor other
disadvantages suffered by the Exhibitor
thereby. 12.02 The Organiser of the trade and/or
________________shall be entitled to postpone
shorten, extend or cancel the trade fair or
joint exhibition and to close it down
temporarily or permanently, in part or in whole
if unforeseen events such as force majeure,
natural disasters, armed conflict, civil unrest,
strikes, failure or hindrance of traffic and/or
communications links make such measures neces
sary. In the event of postponement, curtailment,
extension or closure, the Exhibitor shall not be
entitled to claim compensation for any damages
incurred by him thereby. If the Exhibitor is no
longer interested in participation by virtue of
the measures taken and he declines to occupy the
exhibition space allocated to him as a result
thereof, he may withdraw from the contract. The
Exhibitor shall provide notification of said
withdrawal in writing immediately upon becoming
aware of the change. Nos. 5.02 and/or 5.03 shall
apply corre spondingly to obligations of the
Exhibitor.   13. Concluding Provisions 13.01
Reference is made to the Special Rules and
Regulations for Exhibitors for matters
concerning the range of services covered by the
participation fee. 13.02 if the exhibitor has
commissioned ________________with chargeable
services beyond the range in the Special Rules
and Regulations for Exhibitors, then the
incurred costs will be charged to him. 13.03 The
mutual rights and obligations resulting from this
contractual relationship are subject to the Law
of ________. 13.04 Place of jurisdiction for
legal proceedings and the place of settlement of
financial obligations is ________. 13.05 Should
one of the conditions given above be void, the
remaining conditions are still valid. These
must be interpreted in such a way that meaning
and purpose of the contract are maintained. 13.06
All claims of the exhibitor against the
________________lapse after 6 months this period
commencing at the end of the month in which the
final day of the exhibition occurs.   China
