  • A presentation software program
  • Graphical approach to presentations
  • A slide show
  • Word processing, outlining, drawing, graphing,
    presentation management application

  • The presentation can be printed and distributed
  • The presentation can be displayed on a projector
    or computer screen

  • To introduce a product, organization, service, or
    offering
  • To visually accompany a verbal speech or pitch
  • To show pictures to family and friends
  • To ask for financial support or donations
  • To teach and explain a concept, class, or idea
  • Basically, PowerPoint is used to share
    information with others!

Commonly used PowerPoint terms
  • Slide each page of a PowerPoint presentation is
    called a slide. A slide can have text, graphics,
    and/or charts.
  • Is this a slide?
  • Yes!
  • Slide Show / Presentation a collection of
    multiple slides that are logically connected to
    convey information to an audience

Commonly used PowerPoint terms
  • Text box a box surrounded by dotted lines that
    you can type words into. The words wrap (or
    are constrained) by the size of the box
  • Object anything that you can move around on a
    slide (text box, picture, shape, etc)

  • Ribbon / Toolbar strip of buttons across the
    top of the main window. The buttons are arranged
    in different tabs depending on function.
  • For example Insert contains the commands
    needed to include pictures, shapes, charts, etc.
    Animations contains the commands needed to
    animate certain objects.

  • Menus and Tabs make up the Ribbon and divide
    the commands into logical areas
  • There are several tabs File, Home, Insert,
    Design, Transitions, Animations, Slide Show,
    Review, View, and Format

  • Design Theme Coordinated colors, fonts, and
    designs for a single PowerPoint presentation.
  • PowerPoint comes with several built-in themes,
    and you can search for more online.
  • But I have created a theme for Pentok Institute.
    Lets try to use this one for all of our
    presentations!

  • Usually in the professional world, we dont use
    slide transitions. But they can be fun if you
    want to use them for your personal presentations.

    unprofessional or silly.

Create a new file
  • When you open a new file, the first slide will
    already be there, with at least one box
    surrounded by dotted lines.
  • This is a TEXT BOX. You can type right into it.
  • Usually the first slide is your Title Slide. You
    want to add the name of your presentation and
    maybe a few more pieces of information into the
    text boxes
  • Name and company of those presenting
  • Date
  • Any additional detail

  • To add a slide, go to the Home tab and click on
    the New Slide button

  • Or you can right-click in the Slides pane
    (which is to the left-hand side of the main
    slide) and select New Slide

Add Content to Slides
  • Adding text to slides is easy! You can just
    click on the text box and begin typing. Just
    like Microsoft Word, you can edit the font, font
    size, effects (bold, italic, underlined), color,
    justification (left, right, center), and
    bulleting.
  • All of this is in the Home tab.

  • Adding pictures is easy also! You can use CTRLC
    (copy) and CTRLV (paste) from other documents
    (Word, Excel), the Internet, or other PowerPoint
    presentations to insert pictures.

  • If you want to add your own shapes, like the box
    I drew around this bullet, just go to the
    Insert menu and click on the Shapes button.
  • If the shape is not the color or format you want,
    you can click on the shape, click on the Format
    tab, and make any adjustments. This includes
    Shape Fill and Shape Outline

  • What if you want to resize your text box,
    picture, or shape? Just drag the dimensions of
    the shape around. It is intuitive and easy.

  • The easiest thing to do is copy the existing box
    and paste it into the same slide. This way,
    youre guaranteed it will have the same
    proportions and formatting.
  • What if you want more than one box?

  • What if you made a mistake?
  • No problem! You can just click CTRLZ, which
    means Undo. Depending on the program, you can
    do this many times. You can also use CTRLY,
    which means Redo. Note that this trick works
    for ALL Microsoft Office applications (Word,
    Excel).

Organizing your presentation
  • The best presentations are the ones that are
    intuitive and easy to follow. You can do this by
    breaking out your presentations into several
    sections.
  • For example, this presentation is broken up into
    the agenda on the previous slide
  • The organization will depend on the subject. Try
    to keep it sensible!

Applying a theme
  • To apply a theme, go to the Design tab and
    click on one of the available templates you see

  • Remember, for Pentok, we will be using the same
    theme, which is called Pentok Template
  • You can use this template either by opening up a
    blank presentation and applying this by clicking
    on the expand button and selecting Browse for
    Themes
  • Alternatively, you can just open up an existing
    Pentok presentation and overwrite these slides
    with new material. This is actually my personal
    preference.

Grouping
  • Sometimes you have a group of pictures, text
    boxes, or shapes that you would like to move and
    resize together
  • In order to do this easily, highlight all the
    objects, right click, select Group and then
    Group again
  • Now all the objects are essentially a single
    picture
  • You can ungroup the objects by selecting the
    group, right click, select Group and then
    Ungroup

  • If you have overlapping objects, you might want
    one to be in the background

  • You can change this by right-clicking the object
    and selecting an option from the Bring to Front
    or Send to Back menus

  • Bring forward or Send backward will bring the
    object only one step forward or backward
  • Bring to Front or Send to Back will bring the
    object all the way to the front or all the way to
    the back
  • Usually, you will only need to use the Bring to
    Front or Send to Back options, unless you have
    three or more overlapping objects
