  • In this lesson we will cover
  • Learn how to use TaxWise Explorer to manage your
    TaxWise files
  • Learn how to copy Tax Form Defaults to disk
  • Learn how to use Utility File Menu
  • Learn how to send TaxWise customer support a tax
    return using Compose/Send message

TaxWise Utility handles setup, file maintenance,
software updates, and e-mail
  • Steps to opening the TaxWise Utility Program
  • Login as Admin
  • Open the Tools menu
  • Select Utilities/Setup Options
  • TaxWise Utility has the following menus
  • File
  • Communication
  • Tools
  • Setup
  • Help

The Site Administrator can use TaxWise Explorer
to manage files
  • The Admin user has access to files in all user
    directories
  • All other users can only access files belonging
    to the active user
  • Locating TaxWise Explorer from the Utility
    Program
  • Open the File menu
  • Select TaxWise Explorer

Actions that are available for file management in
TaxWise Explorer
  • Copy Files to Another User -- Use this action to
    copy Tax Form Defaults, Form Print Defaults, and
    History lists from one user to another.
  • You cannot copy tax returns to another user.
  • Delete Files -- Use this action to delete tax
    returns and other files.
  • The file cannot be restored.
  • Move Files to Another User -- Use this action to
    move tax returns and other files  from one user
    to another.

Use the Look in box to find the file or files you
want to select
  • Expand the folder or drive to show subdirectories
  • Click the plus sign ()
  • Admin user can select files in any folder or
    drive
  • Other user names can only select files from their
    own user name

Statistical information displays for the
highlighted return
  • SSN/EIN
  • Taxpayer Name
  • Return type
  • Date created
  • Date last edited
  • Date last printed
  • Preparer ID

Use the Restrict File List to box for file
selection
  • Common file choices are
  • All
  • Tax Form Defaults
  • Packet Forms Lists
  • 1040 Individual
  • The files will appear in the File name/Package
    list
  • NoteThe list will open to 1040 Individual. Use
    the arrow keys to scroll up to Tax Form Defaults.

Copy Tax Form Defaults from the Admin User to the
Guest User Name
  • Select User name
  • Select Tax Form Defaults in the Restrict file
    list to box
  • Select Copy Files to Another Location
  • Select Users in the Copy to Box
  • Click Copy
  • You cannot copy return files

Use TaxWise Explorer to delete returns
  • Select user name
  • Select file name
  • Select Action Delete files
  • Click the Delete button
  • Click Yes on Confirmation box
  • Note You cannot recover deleted files or
    returns. Make sure you have a backup before
    deleting returns.

Move returns from one user name to another user
name
  • Select user name
  • Select file name
  • Select Action Move files to Another User
  • Select a user name
  • Click the Move button

Troubleshooting Tip Copying Tax Form Defaults
to Disk
  1. Login as the ADMIN user
  2. Open Tools menu
  3. Select Utilities/Setup Options
  4. Open File menu
  5. Select TaxWise Explorer
  6. Expand the Users folder in the Look In section
  7. Choose the ADMIN user
  • 8. Select Tax Form Defaults from Restrict file
    list to
  • Select Action Copy Files to Another Location
  • Select Browse from the Copy to box
  • Select the disk drive
  • Click OK
  • Click Copy

    are stored
  • 8. Select Tax Form Defaults from the Restrict
    File List to box

  • Open the Tools menu
  • Select Utilities/Setup Options

Remove tax return e-files that were created by
mistake
  • Open the File menu
  • Select Erase e-files
  • Select the e-files to erase
  • Click OK
  • Re-create an e-file by opening the return and
    running Diagnostics or by using Make IRS e-file

Delete Pending e-files under thedirection of
TaxWise Customer Service
  • Pending e-files have been transmitted to the
    Electronic Filing Center (EFC) and are awaiting
    acknowledgement
  • Deletes all pending e-files
  • Cannot be recovered
  • Does not erase returns
  • Delete them only under the direction of TaxWise
    Customer Service
  • 800-411-6391

Reset DCN for Returns andCopy Proforma files to
disk
  • Reset DCN for Return
  • Used to clear the Declaration Control Number
    (DCN) of a return that has been assigned the same
    DCN as another return prior to transmission
  • Copy Proforma Files
  • Copy prior year data files to a removable disk
  • Copy prior year data files to the UTS08\Proforma
    folder of a non-networked computer

  • Compose/Send Message
  • Get E-Mail
  • Download electronic mail
  • Print E-Mail
  • Print electronic mail
  • System Snapshot

  • Test Modem
  • Send a test transmission

Creating and sending TaxWise Mail messages
  • Open the Communication menu
  • Select Compose/Send Message
  • Destination defaults to TaxWise Customer Service
  • Enter a subject in Subject
  • Press Tab
  • Type in a message
  • Click Send

Options on the Compose/Send Message window
  • Open -- Retrieve a previously saved message to
    resend or send to a different recipient
  • Save -- Save the message and the addressee(s)
  • Address -- Enter additional EFINs to which to
    send the message
  • Send an email to your sites using TaxWise Mail.
  • Print -- Print the TaxWise Mail message
  • Attach -- Attach a tax return or file to the
    message
  • Cancel -- Close without sending a message

Sending a tax return to TaxWise Customer Service
  • Open Compose/Send Message
  • Enter a subject and press Tab
  • ATTN IRS Tax Help
  • Enter a detailed message
  • Click Attach
  • A window will appear with returns and/or files of
    the active user
  • Highlight the return
  • Click Open
  • Click Send

When should you expect a response from TaxWise
Customer Service?
  • TaxWise Mail messages without a tax return
    attached
  • 4-6 hours
  • TaxWise Mail messages with a tax return attached
  • 6-12 hours
  • Tax returns can only be viewed by a select group
    of employees
  • Must have security clearance
  • TaxWise Mail is not for urgent problems
