    screens and many functions in common. Both deal
    with the same type of information, only from a
    different point of view. The Process Patient
    Appointments Routine deals with appointments for
    a single patient, while the Process Department
    Appointments Routine deals with all the
    appointments for a department.

    when you want to
  • Schedule, view, or edit an appointment or
    appointment set for a patient
  • Register or pre-register a patient, enter a
    patient questionnaire, capture basic patient
    data, or edit pre-existing patient information

  • Identify a patient by entering a full or partial
    name and using the Master Patient Index (MPI)
    Search Routine
  • The Master Patient Index (MPI) Search allows you
    to identify patients in our Medical Records Index
    databases using the patient's name, sex, and date
    of birth as search criteria.
  • After you enter a patient's name in the Patient
    Field, the Sex and Birthdate prompts appear on
    the screen.
  • After you enter your response, the system uses
    the information you enter, along with a Soundex
    version of the name, to match the entered patient
    to existing patients in the MPI.

  • On this screen, you can do one of the following.
  • To view additional information about a patient on
    the list, select that patient. If the patient's
    information matches the information for the
    patient you are searching, you can confirm your
    choice. After the confirmation, the patient's
    name and related information appear in the
    routine from which you started the MPI Search.
  • To bypass the Master Patient Index Search screen
    and to continue to the next search level, click
    on the Next Search button.

  • If you do find the patient you are looking,
    double click on patient name, the Confirmation
    screen appears.
  • You can do one of the following.
  • To identify this patient, click on the Yes button
  • To continue the MPI Search, click on the No
    button. The Lookup for the next search level
    appears.

  • The amount of information you enter at the
    Patient prompt and at the Sex and Birthdate
    prompt determines the search level where the MPI
    search begins. For example, if you enter the full
    name, sex and birth date, the search starts at
    the NAME, SEX, DOB level. If you enter the last
    name, first initial, sex and birth date, the
    search starts at the LAST NAME, 1st INITIAL, SEX,
    DOB level.
  • The more information you enter, the more
    selective the MPI search becomes. If, for
    example, you enter the patient's full name and
    sex, but not the birth date, the search still
    begins at the NAME, SEX, DOB level, but finds all
    patients with the same Soundex last name, first
    name and sex, regardless of birth date.
  • If you do not enter at least some of the
    information required by a search level during the
    MPI search, the search skips that level. For
    example, if you enter only a last name, without a
    sex or birth date, the system starts the search
    at the LAST NAME ONLY level. Here, it finds all
    patients with the same Soundex last name,
    regardless of sex or birthdate.
  • Similarly, if you do not specify a birthdate, the
    search skips the DOB ONLY level.

  • The MPI search goes through several levels in the
    order. At each level, the system displays
    patients whose data matches that of the patient
    entered (based on that level's criteria).
  • After going through all the search levels, you
    will be prompted to enter a possible maiden name
    or a name of Other Family member if known
  • If you do not know this information, press F12 or
  • If you complete the MPI search without
    identifying the patient, you will be prompted to
    continue by either entering a new patient into
    the system or editing the incorrect name and
    starting the MPI Search again or stop searching
    or finding a visit.

  • If you are certain that the patient is not in the
    System, you can create a New Patient.
  • When you click OK you will taken to the following
    screen

  • This screen is designed to capture or to allow
    you to edit the following basic information for
    new patients
  • Patient account number (If this is a new visit,
    NEW is displayed instead of the account number.)
  • Patient's name, date of birth, sex, and age (Age
    is automatically calculated when the date of
    birth is entered.)
  • Primary care physician
  • Home and work addresses and phone numbers
  • Social Security number
  • Insurances
  • Reason for visit
  • If some or all of this data already exists in the
    MRI database, it appears in the appropriate
    fields. You may then edit and update it, if
    necessary.
  • For completely new patients (that is, with no
    prior visits (accounts) in MRI), you must enter
    at least the patient's name, age, and sex. The
    system then creates an account number for the new
    patient and stores this basic information in the
    ADM database.
  • Once you have captured as much information as
    possible, you can Save this information by
    pressing the F12 key or clicking on the

  • To find the earliest time slot, enter Y at the
    Find Earliest Time Slot? prompt on the Schedule
    Appointment Screen and follow these steps
  • 1) If there are suitable time slots in the
    resources' schedules, the date and time of the
    first available slot appear in the Date, and Time
    prompts.
  • 2) Tab over to the Ordering Prov field and enter
    the first three letters of the Doctors last name
    and the first two letters of their first name or
    press the F9 button.

    there is no choice of slots. The scheduler simply
    presents the earliest available time slot that
    fulfills the criteria and this is accepted or
    rejected. Often this simple, straight-forward
    method is sufficient.
  • However, if you need to find additional slots,
    use the Automatic Search for All Available Slots

  • If the automatic search for first available slot
    is not suitable, you may want to try to search
    automatically for any available slot based on the
    search criteria you set
  • If you want to initiate an automatic search for
    all available time slots,
  • Press ltEntergt to bypass the Find Earliest Time
    Slot? prompt and go to the Date prompt.
  • At the Date prompt, press F9 or click .
    A pop-up search choice window appears, allowing
    you to choose between automatic or manual
    searching.

    next with the first available day highlighted on
    the calendar.

    Schedule Appointment Screen, press at
    the Date prompt, and choose Manual from the
    Search Choice pop-up. This allows you to search
    the books for the resource(s) involved to find a
    suitable time slot.

  • Finding and Booking an Appointment Manually
  • If the automatic search for a suitable time slot
    is not successful, you may want to try searching
    manually. This process involves choosing the most
    important resource group, if several are
    required, (that is, the one most critical for the
    appointment) and manually examining the schedule
    for that resource group. This is similar to
    looking through the pages of a resource's
    appointment book.
  • To begin the manual search process, do the
    following
  • 1) Press the F9 key or click on the at
    the Date or Time prompt to get the Search Choice
    pop-up.
  • 2) Click on the Manual button
  • 3) If more than one resource group is involved in
    this appointment, you must choose the resource
    group whose books you want to search. A list of
    resource groups appears. Highlight one of them
    and press Enter.

  • If you must set an appointment at a particular
    date and time, you may do so by simply entering
    that date and time at the Date and Time prompts
    on the Schedule Appointment Screen.
  • If you need to view a calendar to choose the
    date, you can Press the F9 key or click on the
    at the Date or Time prompt to get the
    Search Choice pop-up.

  • Booking an Appointment Series
  • After you book an appointment or an appointment
    set for a recurring outpatient (patient type
    RCR), the system asks if you want to create a
    series of similar appointments for the patient.
    If you enter Y, the Book an Appointment Series
    screen appears allowing you to set up a series of
    appointments like the one you just booked.
  • The Book an Appointment Series screen appears
    first with information about the appointment you
    just booked. You then enter the frequency and
    either the total number of appointments or the
    final date for the series. You cannot enter both
    a quantity of appointments (Qty prompt) and a
    final date (Thru Date prompt). You may enter more
    than one frequency for the appointment series
    (for example, EVERY TUE and EVERY THU).

  • Booking an Appointment Series
  • The system then searches for time slots for the
    appointments. If it finds the right quantity of
    time slots at the same time of day as the
    appointment or appointment set you're copying,
    information for the new appointment series
    appears at the bottom of the screen. Press the
    F12 button to accept.
  • If the time slot for one appointment in the
    series is not available, the system informs you
    that it is not available and asks if you want to
    try another time. A choice screen appears where
    you can choose to exit the routine,attempt to
    overbook for the same time, continue your search
    with the next date, or try to find other times
    for that date. Any times that are found appear
    in the time slot fields at the bottom of the
    screen.
  • If the automatic search finds no slots, you can
    try to edit the frequency and run the search
    again, (for example, try EVERY MON and EVERY WED
    instead of EVERY TUE and EVERY THU). Also, you
    can manually book one or more of the appointments
    in the series by entering a date and time at the
    Date and Time prompts on the Schedule Appointment
    Screen.

  • The Edit function in the Process Patient and
    Department routines allows you to edit most of
    the filed information for pre-existing
    appointments. You cannot edit patient information
    such as name, account number, unit number,
    patient type, appointment type, and facility.
    When editing single or multiple appointments, the
    Edit Appointment screen appears for patient and
    department appointments.

  • To edit a single appointment, select it on the
    Appointment Process screen and click on the Edit
    Button.

    Date or New Time prompt and select Manual from
    the popup menu. The system branches to the
    Process Book Appointment Book Schedule Routine.
    Use this method if entering a date and time or
    the automatic search method does not work.
  • If one or more resources are not available, a
    PROBLEMS popup screen appears, listing which
    resources are unavailable or overbooked and when.
  • Editing Multiple Appointments
  • To edit multiple appointments, select them on
    the Appointment Process screen and click on the
    Edit Button. The screen displays information
    about the first appointment. The screen for the
    next appointment automatically appears after you
    edit and file each appointment. If you exit from
    the routine while you are editing appointments, a
    choice screen appears. You can do any of the
    following
  • Stop and exit from the routine.
  • Return to the previous appointment.
  • Repeat the same action on the current
    appointment.

  • Enter a Reschedule Reason
  • When you enter a new date and time, you must
    enter a reason for doing so at the Resched Reason
    prompt before you can file the edited
    appointment.
  • Editing an Appointment within a Set
  • Usually, with a predefined appointment set, you
    do not want to edit the order of the appointments
    in the set. You may want to edit individual
    appointments, however, especially the resources
    used.
  • The Edit Appointment Screen appears when you
    choose to edit an appointment within a set. This
    screen is a modified version of the Schedule
    Appointment Screen and has the same title even
    though you cannot use it to actually find and
    book a time slot. It displays only the
    information you can edit about the appointment.
    It does not have Time and Date prompts like the
    Schedule Appointment Screen, so you cannot use it
    to book a new time slot.
  • This screen allows you to edit, for an
    appointment within a set,
  • the resource group and resources needed
  • the minutes after the start of the appointment
    set that each resource is needed
  • the length of time that each resource is needed
  • length of the appointment type and location

  • Switch Account Numbers
  • When you make two different appointments for a
    patient, two separate account numbers are
    sometimes created. This means that two different
    bills are created¾one for each account number. To
    avoid this situation, it's desirable to put both
    of these appointments on the same account (visit)
    number, so they are billed together.
  • To deal with this situation, the Process Patient
    Appointments Routine provides a selection on the
    Options menu, The Switch Account function
    allows you to move an appointment from one
    account number to another. The Process Department
    Appointments Routine does not provide this
    option. To change the account number associated

  • 1) On the Process Patient Appointment Screen,
    select the appointment(s) for which you want to
    change the account number.
  • 2) Click the Options Button and choose Switch
    Acct from the pull-down menu. The Patient
    Visits Lookup Screen appears. There are three
    options for switching account numbers
  • Creating a New Account Number
  • 1) Click the Options Button and select Switch
    Acct from the pull down menu.
  • 2) Press ESC to make the Patient Visits Lookup
    Window disappear.
  • 3) Click Yes at the Switch appointment(s) to a
    new visit? Prompt. The Switch Acct Number Window
    appears.
  • 4) Enter the patient type you want associated
    with the new account. The system assigns a new
    account number.

  • Sometimes you need to transfer appointments from
    one resource to another. This might happen, for
    example, if a provider calls in sick and asks
    that another provider in the department take his
    or her appointments for the day.
  • In the Process Department Appointments and
    Process Appointment Book routines, you can use
    the Transfer option.
  • To Transfer an Appointment from One Resource to
    Another
  • 1) Highlight an appointment or check several
    appointments to transfer.
  • 2) Click the Options Button at the top of the
    screen. The Options menu appears.
  • 3) Select the Transfer option.

  • 4) Enter a resource from which you are
    transferring and a resource to which you are
    transferring the appointment. To transfer the
    appointment to any available resource in the
    group, enter ANY.

    booked at the appointment's time.
