    for 15 yrs. Formed own company in 1999 (Digital
    Age LLC) specializing in custom built PCs and
    servers, consulting, hardware and software
    training, networking and web development.
    Currently a Microsoft Partner and has been a
    member of the Great Lakes Web Developers
    community.

Planning Checklist
  • FreeConferenceCall meetings should be organized
    by meeting leader
  • Accounts are free and easy to create
  • Send meeting information (including agenda) to
    State Office for inclusion in mailing
  • GotoMeeting meetings are setup by State office
    per meeting leaders request
  • Contact Michelle or Mary
  • Send Agenda ahead of meeting
  • Remember, you cannot hand them out at the meeting

What does GoToMeeting Cost?
  • State office subscribed to GoToMeeting on behalf
    of all Michigan Lions so the cost of hosting a
    meeting is 0
  • The States annual cost is 400.
  • Attendee pays the long-distance call (just like
    you normally pay for gas)

  • Want an account of your own?
  • Personal edition allows one meeting at a time (no
    concurrent meetings) - 400/year
  • Can upgrade to Corporate edition to allow
    concurrent meetings and attendee tracking -
    4000/year

  • FreeConferenceCall accounts are free.
  • Attendee pays the long-distance call (just like
    you normally pay for gas)

Phone Protocols
  • Introduce yourself
  • Acknowledge that organizer is ring-leader
  • Try not to speak over top of others (i.e. take
    turns, play nice!)
  • When making comments, remind everyone of your
    name, then proceed
  • Allow for a pause so anyone can speak (even the
    quiet members)
  • Be aware of time

Phone Tips
  • As the presenter, you should remind meeting
    attendees to mute their phone if they have noise
    in the background (kids, tv, dish washer,
    traffic, etc)
  • As the presenter, you should know how to mute
    everyone on the call.
  • The phone key strokes can vary. Check the FAQ
    before the meeting.
  • Mute Everyone is extremely handy if someone
    walks away from the phone and creates noise that
    overwhelms the meeting.

When you click on a link within an email, you
should be connected to your meeting

  • This should only last for a few seconds.
  • If it takes more than a few minutes, press
    Cancel.
  • Wait for the connection failed notification to
    appear on your screen (or about 30 seconds), then
    close Internet Explorer and click on the meeting
    link in your email to start again.

Mixed Group Considerations
  • Scenario One
  • You choose to host the meeting using GoToMeeting
    but some members of the phone conference do not
    have a computer.Potential Issue Some members
    see the presentation while others are left wonder
    what everyone else is looking at and commenting
    about. Tips Consider the majority and maybe
    meet via phone (no video). Or, describe the
    images well enough that the listen-only member
    can adequately follow the discussion.

  • Scenario Two
  • You choose to host the meeting using GoToMeeting
    and everyone is connected but some members
    complain they cannot see the entire
    presentation.Potential Issue Screen resolution
    can be a factor when one computer connects to
    another. GoToMeeting tries to adjust for this
    but there may be times when additional adjustment
    is necessary. Tips Presenter may need to
    adjust their screen resolution up or down.
    (This is a different lesson. Stay after for
    brief demonstration.)

    and everyone is able to connect. You want
    attendees to see the presentation without seeing
    personal things on your Windows desktop. As the
    presenter, you can choose to only show a CLEAN

    presenter will right-click on an attendees name
    and select Give keyboard and mouse
