Using ERM to Manage E-Resources
  • George Machovec (george_at_coalliance.org)
  • Associate Director

What I Plan to Cover
  • What is an ERM?
  • How it can help you to manage e-collections
  • Key features in an ERM system
  • The Alliance and ERM
  • Free Digital Library

3
Who Are We?
  • Colorado Alliance of Research Libraries
  • A non-profit consortium of 11 libraries founded
    in 1974. 501c3
  • History of innovation
  • CARL ILS (sold in 1995) now TLC
  • UnCover (sold in 1995) now Ingenta
  • We are no longer related to the above

4
Who Are We?
  • Member of ICOLC
  • We do standard consortial stuff with a twist
  • Database licensing, shared collection development
  • Data hosting Software development (e.g. Gold
Rush, Prospector, Alliance Digital Repository The
    Charleston Advisor)
  • Operates over 20 servers with multiple T1s and
    BGP Internet redundancy

5
Confronted with the Problem
  • Libraries are spending an increasing amount on
    electronic resources
  • Difficult to search and manage electronic
    resources
  • DPL has 1139 print periodical subscriptions
  • DPL has access to over 14,000 titles from various
    aggregators print in Gold Rush
  • Need a way to integrate local journal holdings
    with online databases

6
Data from LRS 2005 Public Library Survey

7
Solution ERM
  • ERM is electronic resource management software
  • Makes online databases accessible thru common
    search interface
  • Helps librarians manage e-resources including
    contracts and subscriptions

8
More on ERM
  • Provides collection analysis report to help in
    making purchasing decisions
  • Provides direct access to articles without
forcing patrons to drill down to article level
    links

9
More on ERM
  • Can be integrated in your library home page thru
an A-Z list, citation finder, or search boxes

10
Typical ERM system includes
  • Subscriptions Management
  • A-Z list of journals (print and electronic)
  • OpenURL linking
  • Content Comparison

11
Examples of Companies offering services
  • Serials Solutions
  • SFX/Verde (Ex Libris)
  • WebBridge/ERM (III)
  • TDNet
  • Gold Rush (Colorado Alliance of Research
    Libraries)

12
Examples of How ERM Works Using Gold Rush as a
Model
First Some Background
13
Knowledge Base
  • Gold Rush currently has 1300 title lists loaded
    representing more than 50,000 journals
  • Primary publishers
  • Aggregators
  • Indexing abstracting services
  • Gold Rush contains many Open Access (free)
    journals available as title lists

14
OpenURL History
  • Concept created by Herb van de Sompel in 1999 as
part of his PhD work at the Univ of Ghent
  • Concept papers published in D-Lib Magazine in
    1999
  • LANL and Univ of Ghent first test sites
  • First commercialized by ExLibris (SFX)
  • Resolvers now available from many sources

15
OpenURL now 2 versions
  • Version 0.1 the original developed in 1999
  • NISO version 1.0 approved in late 1995
  • Some services support both and some only one
  • Gold Rush handles both

18
OpenURL vs DOI
  • Digital Object Identifiers CrossRef is a
publisher based initiative to provide article
    level linking from their websites.
  • CrossRef DOI resolver covers publisher based
articles which may not be your appropriate copy
and does not include what is available in other
    local loads, aggregators, etc.
  • DOI works best in conjunction with a local
    OpenURL resolver

ILS and integrate into Holdings module
  • Ability to update or create new holdings records

  • Incident tracker-keep track of times with

Open Access Journals/Magazines
  • open access is wonderful
  • Free to the end user
  • Increased use of these titles
  • Promotes scholarly research in developed as well
as third world countries and smaller poorer
    libraries
  • Open access journals are not free to produce
    (someone pays somewhere)

39
Definition of Open Access
  • Lund University Directory of Open Access
    Journal
  • We define open access journals as journals that
use a funding model that does not charge readers
or their institutions for access. From the BOAI
definition 1 of "open access" we take the right
of users to "read, download, copy, distribute,
print, search, or link to the full texts of these
articles" as mandatory for a journal to be
included in the directory. 1 http//www.earlham.
    edu/peters/fos/boaifaq.htmopenaccess
  • Quality Control The journal must exercise
peer-review or editorial quality control to be
    included.
  • Research Journal Journals that report primary
results of research or overviews of research
    results to a scholarly community.
  • Periodical A serial appearing or intended to
    appear indefinitely at regular intervals,
generally more frequently than annually, each
issue of which is numbered or dated consecutively
and normally contains separate articles, stories,
    or other writings.

40
Gold RushElectronic Serials Mgmt System
  • Gold Rush offers
  • Includes many of the major open-access title
    lists
  • Collaborative building of metadata and title
    lists with participating libraries
  • Currently has 80 different open access lists of
    which DOAJ is only one

41
No definitive list but GR has the most
comprehensive list
  • Lund DOAJ 2500 titles as of early 2007
  • Specialized lists from different organizations
and specialties will include titles missed in the
Lund directory. For example in Gold Rush
  • Geoscience Open Access list created by the
Colorado School of Mines has 50 titles 38 of
which are NOT in the Lund DOAJ

Future Developments
  • Incorporate Web 2.0 by creating an XML
    gateway-fully customizable interface
  • Incident Tracker-subscriptions
  • Add your own field and reorder sections in
    subscriptions

51
Libraries
  • Selected libraries now using Gold Rush include
  • Colorado Alliance of Research Libraries member
    libraries
  • Several medical libraries in Oklahoma and Texas
  • University of New Mexico (UNM), Santa Fe
    Institute
  • Brigham Young University
  • University of Alaska
  • Chicago Public Library
  • Fort Collins Public Library
  • Aurora Public Library
  • and others

52
Conclusion
  • Gold Rush is successful because of member
    libraries and ongoing customers
  • We have continued to develop the software as
    ERMs have evolved
  • Gold Rush has been a partnership between
    libraries and the CO Alliance

53
Do you need an ERM?
  • Is my library to small?
  • How many databases do you get?
  • Most libraries in CO have databases through AIRS
and some others locally subscribed to. If you
only get the AIRS databases from BCR then you
probably dont need a local ERM
  • Do you have trouble tracking what you have and
when the subscriptions are coming due
  • Can your patrons efficiently find your printed
    and electronic subscriptions?
