Mass Activation using GradeSpeed

  • TEAs Student Attendance Accounting Handbook
    requires the District to verify that all
    students are reported on attendance records and
    that no-show students are purged from the
    system.
  • The teacher recording the initial absence is
    responsible for the accuracy of the report and
    attests to the validity of the data with his or
    her signature.
  • Official attendance is a snapshot taken at
    the designated time.

The Process
  • All students will be scheduled in classes on
    the first day of school.
  • All students are considered no-shows until
    coded as physically present in school (enrolled
    or activated) by the teacher.
  • After two weeks all no-show students will be
    removed from class rosters.
  • Membership counts are critical and only include
    activated students.
  • Students may also be enrolled by data clerks
    using lists from the counselors office or
    other school offices.

Teacher Responsibilities
  • Regular Attendance Posting in GradeSpeed
  • Take attendance at 1000 a.m. Second period is
    the official ADA posting period.
  • Sign the weekly attendance verification report
    that will be provided by the attendance office.
  • Return the signed attendance verification report
    to the attendance office within 24 hours of
    receipt.

Teacher Responsibilities
  • If unable to post attendance in GradeSpeed
  • Contact the Attendance Clerk immediately.
  • Send a student to the clerk to obtain a printed
    class roster.
  • The clerk will give the student a printed
    roster.
  • Complete the printed attendance roster
    immediately after receiving the document from
    the attendance office.
  • Return the completed attendance roster to the
    attendance office no later than 30 minutes after
    receiving the roster.

    have theNS (No- Show) button selected.

  • List names of students in class but not on
    your list in the Notes area.
  • When all students present have been changed to
    enrolled, click on .

    appear.
  • Review the information.
  • If data needs to be changed, click No.
  • If data does not need to be changed, click
    Yes.

  • The Submit button will gray-out and a message
    will display indicating that any additional
    changes must be made by the clerk.
  • You will be able to post absences for activated
    students beginning the day after activation.
